Trip checklist
Start / end checklist: odometer, fuel level, remarks, photos of the vehicle sides and meters; required as the company chooses––
Flags for odometer against GPS kilometres, kilometres between trips, fuel fallen while standing; report by vehicle and driver––
Maintenance
Service plans by kilometres, days or engine hours with "due soon" and "overdue"––
Job cards with parts, labour, vendor, cost and downtime; the vehicle is off the road while one is open––
Tyres and batteries: position, serial, fitted and removed, kilometres run––
Fuel log with kilometres per litre and a warning on abnormal mileage––
Documents
Vehicle papers (registration, insurance, pollution, fitness, permit, road tax) with renewal reminders
Driver and helper papers (licence, badge, medical, police verification) with a reminder before expiry
A run does not start with a lapsed paper unless the office writes a reason
Breakdown and replacement vehicle
Breakdown report that takes the vehicle off the road and alerts the office––
Replacement vehicle offered only from those free, with valid papers and enough seats; riders told––
Vehicle booking
Booking requests (purpose, places, times, passengers) from the office or the web page, with a clash check––
