Tyres and batteries

Keep each tyre and battery of every vehicle by position and serial number, from the day it is fitted to the day it is removed. Keep the kilometres it ran and why it came off.
PLANSScale only

The problem it solves

  • A tyre fails at 18,000 km and you cannot say whether it was the one fitted last year.
  • The workshop says the battery is under warranty, and the bill is nowhere to be found.
  • Tyres are swapped between buses and nobody knows which ran how far.
  • You cannot compare brands because nobody recorded kilometres per tyre.

How it works

  1. Open the vehicle's Tyres and Batteries tab, or Transport > Maintenance > Tyres and Batteries.
  2. Add a line: Tyre or Battery, the position (front left, rear right inner, spare), serial number, brand, the date fitted and the odometer then.
  3. Add the warranty end date on the form, if there is one.
  4. km Run shows how far each part has run, from the vehicle's odometer.
  5. When a part comes off, fill in the date, the odometer and the reason (Worn Out, Damaged, Rotated, Other), and untick Fitted. km Run stops at that reading.
  6. Removed parts stay in the list as the history. Filter and group to compare brands, reasons and vehicles.

Everything it does

Each tyre or battery

  • Vehicle, kind (Tyre or Battery), position, serial no., brand
  • Fitted date (today to start with) and Fitted At (km)
  • Removed date, Removed At (km) and removal reason: Worn Out, Damaged, Rotated, Other
  • Warranty until
  • km Run: from the fitting to the removal, or to the vehicle's odometer today
  • Fitted: unticked once the part is removed
  • Every change is in the part's history

Lists

  • Filters: Tyres, Batteries, Removed
  • Group by Vehicle, Type or Removal Reason
  • Search by vehicle, serial number or brand
  • Export to a spreadsheet

Odometer

  • km Run follows the vehicle's odometer, kept from trip checklists, GPS kilometres or readings typed by the office

Who uses it

Fleet managerRecords fittings and removals and compares brands and reasons.
Transport officeLooks up a tyre or battery by serial number when the workshop calls.

Where you use it

  • Web: Transport > Maintenance > Tyres and Batteries, and the Tyres and Batteries tab of each vehicle
  • Not in the Crew app: tyres and batteries are kept on the web
  • Not as stock: a tyre is recorded once it is fitted; spare stock in the store is not tracked here

What you control

Settings

  • Nothing to set: positions are typed freely, so you name them as your workshop does

Notifications

  • None. No reminder is sent when a tyre has run long or a warranty ends; filter the list to find them

Questions

How do we record a tyre rotation?

Remove the tyre with the reason Rotated, then add it again at its new position with the same serial number. Each line keeps its own kilometres.

Do we get a reminder before a battery's warranty ends?

No. Warranty Until is kept on each part, but nothing reminds you. Sort or filter the list when you need it.

Where do the kilometres come from?

From the vehicle's odometer, which is fed by trip checklists, GPS kilometres or readings the office types. Without them, km Run stays at zero.

Can we see which brand lasts longest?

Filter Removed, group by brand or reason, and compare km Run. Export to a spreadsheet for averages.
