Trips and kilometres per vehicle
Every night each tracked vehicle's trips of the day before are worked out from its GPS positions. Each has start and end, kilometres, duration, top speed, idle time and who drove. The day's kilometres are added to the vehicle's odometer, marked From GPS.
PLANSFrom Growth
Built and tested in code with a stand-in tracking server. Not yet run with real GPS units; tested with your first unit before go-live.
The problem it solves
- The odometer is read by hand once a month, if at all, so service dates by kilometres are guessed.
- A vehicle is driven in the evening after the last run, and nobody can show it.
- You cannot say how many kilometres each bus does a day, or how long engines idle at the school gate.
- When two drivers share a vehicle, nobody knows who drove which trip.
How it works
- Each night, at about 2:30 in India, the trips of the day before are worked out for every vehicle with an active tracking device.
- A trip starts when the vehicle moves (3 km/h or faster). It ends when it stands for 5 minutes, or when no position comes for 10 minutes.
- Each trip gets its start and end time and place, kilometres, duration, top speed and idle minutes (engine on, standing). It also gets its driver: the driver of the run or booking the vehicle was on then.
- The day's kilometres are added to the vehicle's odometer as an entry marked From GPS, so service plans by kilometres see them.
- Open Transport > Operations > Trips. Group by vehicle, driver or day, or switch to the pivot for kilometres and idle minutes by vehicle and month.
- Press Play Back on a trip to see it on the map.
Everything it does
Each trip
- Vehicle, device, day (in the Entity's time zone), start and end time
- Start and end position (latitude and longitude), seen on the map with Play Back
- Distance (km): jumps faster than 250 km/h are treated as GPS noise and left out
- Duration (min), Top Speed (km/h), Idle (min)
- Driver: from the route run or the vehicle booking at that time
- Harsh acceleration, harsh braking, minutes over the speed limit and the driving score
The list and the pivot
- Columns: vehicle, start, distance, duration and score; day, end, top speed, idle, driver and the harsh-driving columns on demand
- Totals for distance, duration and idle
- Filter by day; group by vehicle, driver or day
- Pivot: vehicles down, months across, with kilometres, idle minutes and score
- Export to a spreadsheet from the list
- Trips are made by the system only; they cannot be typed or edited
Odometer
- One From GPS odometer entry per vehicle and day: the last reading plus the day's kilometres
- Working out a day again replaces its trips and its From GPS entry, never adds twice
- The odometer feeds service plans by kilometres and the trip checklist's comparison of typed and GPS kilometres (Scale)
Timing
- Once a night for the day before; today's trips appear tomorrow
- Only Entities with a tracking server set up, and devices that are active and fitted to a vehicle
- If the tracking server does not answer, the day is not wiped; it is not filled in later by itself
Who uses it
Fleet managerReads kilometres and idle time per vehicle and month, and checks vehicles used outside runs.
Transport officeLooks up a trip and plays it back when a question comes up.
Maintenance staffRely on the GPS odometer for services due by kilometres (Scale).
Where you use it
- Web: Transport > Operations > Trips (list and pivot)
- Web: the vehicle's odometer, entries marked From GPS
- Not in the phone apps
- Not a designed PDF report or a scheduled email
What you control
Settings
- Overspeed Above (km/h): 60 to start with, used for the minutes over the limit
- No other settings: the 5-minute stand and 10-minute gap that end a trip are fixed
Notifications
- Transport Alert: a sudden fuel drop found while the trips are worked out goes to the transport office (see Alerts)
Questions
Why are today's trips not in the list?
Trips are worked out once a night for the day before. Use the live map or playback for today. Is the GPS kilometre figure the same as the odometer on the dashboard?
It is close but not the same: it adds up the distance between GPS points. The trip checklist (Scale) compares the typed odometer with the GPS kilometres and flags a difference beyond your tolerance. How does it know who drove?
From the route run or vehicle booking the vehicle was on at that time. A trip outside any run or booking has no driver. Can we see trips without a tracking device?
No. Trips come from GPS positions. Without a device, kilometres come from the odometer typed on trip checklists or bookings. Can the start and end be shown as place names?
Not yet. Each trip keeps the start and end position; press Play Back to see them on the map.Related features

It is lowered for harsh acceleration and braking, minutes over your speed limit and idling. The formula is still being tuned on real vehicles, so treat the score as a pointer to trips worth a look.TRIP CHECKLISTOdometer and fuel flags by vehicle and driverEvery trip checklist is checked against the vehicle's GPS kilometres, its previous trip and its fuel log.
