Riders with their route, stop and days

Each rider has their service (pickup, drop or both), the route and stop for each leg, and the days they ride. You choose who is told about each rider, the rider, a parent or a guardian, topic by topic.
PLANSEvery plan

The problem it solves

  • The bus list is a printout that was right in June.
  • A child who comes only in the morning is still waited for in the evening.
  • The father gets every message while the mother, who does the drop, gets none.
  • Nobody can say which riders get on at a stop.

How it works

  1. Open Transport > Riders > Riders and press New. Choose the person by their login.
  2. Choose the service: Pickup and Drop, Pickup Only or Drop Only. Only the legs of that service are asked for.
  3. Choose the pickup route and stop and the drop route and stop. Untick the days the person never rides.
  4. On the tab Told About This Rider, add the parent, guardian or the rider, and tick what each is told: Trip, Boarding, Changes.
  5. Save. The rider is on every run planned from then on, at their stop, on the days they ride.

Everything it does

The rider

  • Always a person with a login, so they and their parents can see the bus on the web or in the app
  • Service: Pickup and Drop (the default), Pickup Only or Drop Only
  • Pickup route (pickup or shuttle routes) and stop; drop route (drop or shuttle routes) and stop
  • A leg in the service needs both its route and its stop, or the rider is not saved
  • Riding days: every day ticked to start with; the rider is on a run only when the route also works that day
  • Boarding Card / QR: the card or QR text, unique within the Entity
  • One rider record per person in each Entity

Who is told about the rider

  • One line per person: The Rider, Parent, Guardian or Other
  • Trip: run started, vehicle near the stop, vehicle at the stop
  • Boarding: boarded, dropped, missed
  • Changes: a delay, the vehicle or driver changed, the run cancelled
  • All three ticked for a new line; with no lines at all, the rider is told
  • Everyone listed can see the rider's rides and say not riding for them

Lists and changes

  • Filters Pickup Only, Drop Only, Pickup and Drop and Archived
  • Group by service, pickup route or drop route; search by name, route or stop
  • A change of route or stop applies to the runs planned after it; runs already planned keep the old stop
  • Archive a rider to stop their transport; the history of changes stays

Who uses it

Transport officeAdds riders, sets routes, stops and days, and chooses who is told.
RiderSees their own rides and says when they will not ride.
Parent or guardianGets the messages of the topics ticked for them and acts for the rider.

Where you use it

  • Web: Transport > Riders > Riders
  • Rider and parent web page: My transport, from Growth
  • The SmartMy Transit Rider app for riders and parents (built and in testing, not in the app stores yet)
  • With SmartMy Campus: the Transport button on the student's record

What you control

Settings

  • Service per rider: Pickup and Drop to start with
  • Riding days per rider: every day to start with
  • Topics per person told: Trip, Boarding and Changes, all ticked to start with
  • With SmartMy Campus: Transport Messages To on the Entity (from the institution type, parents only, or student and parents), and Messages To per rider

Notifications

  • From Growth, the ticked topics decide who gets what. Trip: Run Started, Vehicle Near the Stop, Vehicle at the Stop (pickup and shuttle runs).
  • Boarding: Rider Boarded, Rider Dropped, Rider Missed the Vehicle. Changes: Run Delayed, Vehicle / Driver Changed, Run Cancelled.
  • The person can switch off Trip messages; the others go out at once, and only a channel such as email can be switched off
  • Sent in the app and by email; SMS and WhatsApp to parents are not offered yet

Works with

SmartMy CampusStudents become riders with class and admission number; parents and the guardian with a login are added as told about the rider by themselves.
SmartMy HRMSEmployees become riders by choosing the Employee; their HR login is used.

Questions

Does a rider need a login?

Yes. The rider is always a user, so they and the people told about them can see the bus. For a student, SmartMy Campus makes a login from the admission number if there is none; it has no password.

Can both parents be told, about different things?

Yes. Add a line for each parent and tick the topics each wants: Trip, Boarding, Changes. The parent who does the evening drop can take Boarding only.

A rider joined today. Why are they not on today's run?

Runs are planned ahead, for today and the next day to start with. A rider added after that is on the runs planned from then on.

Does the system stop a route from being overbooked?

No. The routes list shows each route's riders next to its capacity, so you can spot a full route and move riders.

Can a student ride only in the morning?

Yes. Choose Pickup Only. The student is left off the drop runs and cannot be marked not riding for a drop.
