Transport fees on the fee ledger

Transport fee plans by service (pickup and drop, pickup only, drop only) and period put each student's bus fee on the SmartMy Campus fee ledger. If you choose, students whose transport fees stay unpaid are left out of new runs, and the parents and the office are told.
PLANSFrom GrowthWith SmartMy Campus

The problem it solves

  • The bus fee is kept in a separate register, so the fee office and the transport office never agree on who has paid.
  • A child who rides one way pays the same as one who rides both ways. Or the office works out the difference by hand.
  • Families stop paying the bus fee for months and the bus still stops at their gate.
  • A child stops riding and the bus fee keeps being charged.

How it works

  1. Open Transport > Configuration > Fees and Days > Fee Plans and press New. Give a name, such as Bus fee 2026-27, how often it is charged and the three amounts.
  2. Set Days to Pay (10 to start with) and check the Fee Head (the Entity's Transport Fee head to start with). Limit the plan to some routes if fees differ by route.
  3. Open a student rider, go to the Fees tab, choose the Fee Plan and the date Fees From. The first period starts on that date.
  4. Every day, each rider's fee for the current period is charged on the student's fee ledger, once. Charge This Period does it at once.
  5. Parents pay it with the other fees. The rider's Fees tab shows each period, due date, amount, balance and status.
  6. If you set Stop Riding After Unpaid, a student whose transport fee is overdue longer than that is left out of new runs. The parents, or the student, and the transport office are told, once a day.

Everything it does

Fee plans

  • How often: Every Month (the default), Every Quarter, Every Half-year, Every Year or Once
  • Amounts: Pickup and Drop, Pickup Only, Drop Only; the rider's service picks the amount
  • Days to Pay: 10 to start with
  • Fee Head: the Entity's Transport Fee head to start with, with its receipt book and income account
  • Only These Routes: empty for every route, or the routes this plan serves
  • Late Fees: a late fee rule for the plan, where the school has late fees in SmartMy Campus
  • Every change to a plan is recorded

Charging

  • Periods count from the rider's Fees From date
  • A daily job charges the current period of every rider with a plan; never twice for a period
  • Charge This Period on the rider charges it at once
  • A period with no amount for the rider's service is not charged
  • Each due is named with the plan, the service and the period, for example 01-06-2026 to 30-06-2026
  • Student riders only; employees and other riders are never charged

Stopping the bus for unpaid fees

  • Stop Riding After Unpaid (days) on the Entity: 0 (never) to start with
  • A student with a transport fee overdue longer than that is left out of new runs; runs already planned keep them
  • The people told about the student and the transport office get a message, at most once a day
  • With the Campus fee blocks, a transport block rule also stops riding, and a block override for transport lets the student ride
  • The student is planned again from the next runs once the fee is paid

Who uses it

Fee officeMakes the fee plans, checks the fee head and late fee rule, and grants overrides.
Transport officePuts each student rider on a plan and sees who is stopped for unpaid fees.
ParentSees the bus fee with the other fees and pays it the same way.

Where you use it

  • Web: Transport > Configuration > Fees and Days > Fee Plans, and the Fees tab on a student rider
  • Web: Stop Riding After Unpaid (days) on the Entity's Transport tab, group Transport Fees
  • With SmartMy Campus: the dues on the student's fee ledger, paid like any other fee
  • Not for staff: Transit does not charge employees for transport

What you control

Settings

  • Frequency: every month; Days to Pay: 10
  • Fee Head: the Entity's Transport Fee head
  • Only These Routes: empty (every route)
  • Late Fees: the institution's default late fee rule when empty
  • Stop Riding After Unpaid (days): 0, never

Questions

Can a child who rides one way pay less?

Yes. Each plan has three amounts: pickup and drop, pickup only, drop only. The rider's service picks the right one.

Will the bus stop for a family that has not paid?

Only if you set Stop Riding After Unpaid to a number of days. It is 0, never, to start with. The fee office can also give a transport override so a child keeps riding.

Can we charge staff for the bus?

Not inside Transit today. Transport fees are for student riders, on the Campus fee ledger.

Can parents pay the bus fee online?

The bus fee is a due like any other fee, paid by the ways your Campus fees allow. Online payment of transport fees is not offered yet.

Do we need SmartMy Campus?

Yes, its fee ledger. Without Campus, Transit has no fees.

WITH SMARTMY CAMPUSStudents as riders, with transport attendanceWith SmartMy Campus, a student becomes a rider from their own record, with class and admission number. In a school the parents are told, in a college the student and the parents. Transport attendance shows each student by class, day and leg, and parents see a Transport card on each child's page.STOPS, ROUTES, RIDERSRiders with their route, stop and daysEach rider has their service (pickup, drop or both), the route and stop for each leg, and the days they ride. Then they hear when the rider boards, is dropped or misses the bus. Delays, a change of vehicle or driver and a cancelled run are told too, the moment they happen.WEB PAGES FOR RIDERS AND PARENTSThe My transport web pageA web page for riders and parents, with no app to install. It shows today's rides with the planned and expected time at the stop and the rider's state. "Tell the school" says the rider is not riding. To watch the bus move, parents use the Rider app.
