The Crew app for drivers and helpers
SmartMy Transit Crew puts the driver's and helper's day on their phone: today's runs, start and end. It shows each stop with its riders, boarded, dropped and absent, and the boarding card scan. With higher plans the phone also tracks the vehicle, carries an SOS button, the trip checklist, fuel, breakdowns and boarding by face.
PLANSEvery plan
Built and tested on our test systems; never run on a phone yet and not in the app stores. Try it on one route before every driver relies on it.
The problem it solves
- The driver gets the day's changes by phone call and the rider list on paper.
- The office cannot tell whether a run has started or which stop the bus has reached.
- A child's "not riding today" never reaches the driver, who waits at the stop.
- A GPS unit in every vehicle costs money you have not budgeted yet.
How it works
- The driver signs in with email or mobile number and a password or passkey. Runs lists today's runs where they are the driver or the helper.
- Each run shows the route, pickup or drop, the planned start, the vehicle, and how many riders are on board and not riding. Tapping it opens the stops in order.
- Start run starts the run. The server refuses when the vehicle is off the road or a paper of the vehicle or driver has expired, and says why. The office can let it go with a reason.
- At each stop the crew presses Arrived if the GPS missed it. Then Board, Absent or Drop for each rider, or Scan card. A note shows why a rider is not riding, such as Parent Picks Up.
- End run asks to confirm. Riders never boarded become Missed and riders still on board become Dropped.
Everything it does
Every plan
- Runs: today's runs of the driver or helper, with pull to refresh
- Start run and End run, with the confirmation at the end
- Stops in order with planned time, expected time and the time the vehicle arrived; Arrived by hand
- Board, Absent and Drop per rider; Scan card for QR and Code 128 bar codes
- The rider's not-riding reason shown on the stop
- Board, Drop and the scan need signal
Growth: the phone as the vehicle's tracker
- When the office sets the phone up as the vehicle's tracking device, the app sends its position while the run is on. It sends every 10 seconds moving, 30 seconds standing, also with the screen off
- Positions go to the tracking server; without signal they wait on the phone and go in order later
- SOS at the top while tracking: one confirmation, then the transport office is alerted at once with the vehicle's position. Without signal it goes when the phone is back online
- A banner says when location is off for the app
Scale: the fleet from the phone
- Start and end trip checklist: odometer, fuel, remarks and photos from the camera only, stamped with date, time and place
- Fuel filled: litres, odometer, amount, station, full tank, bill photo; the mileage between full tanks is shown
- Report a breakdown with a photo: the vehicle goes off the road and the office is alerted
- Trips: the vehicle bookings given to the driver, with start and end
- Board by face, working without signal
- Faces: the transport office enrols riders' faces (staff with Transport Face Office)
Sign-in and access
- Email or mobile number, then password or passkey
- A driver sees only runs where they are the driver or helper
- Screens appear only when your plan has the feature
- Drivers and helpers are not counted as back-office users
- Signing out stops the tracker and drops any faces on the phone
Who uses it
DriverStarts and ends runs, marks stops, logs fuel and breakdowns, and carries the tracker and SOS.
Helper (attendant)Marks each rider boarded, dropped or absent, by button, card scan or face.
Transport office (face office)Enrols riders' faces in the Faces screen.
Transport in-chargeSets drivers and helpers on routes and sees on the web what the crew recorded.
Where you use it
- The SmartMy Transit Crew app for Android and iPhone (iOS 15.5 or later): built and tested on our test systems. It has never been run on a phone and is not in the app stores yet
- Web: Transport > Operations > Route Runs shows everything the crew recorded
- Not offline for Board, Drop and the card scan: these need signal; only boarding by face and GPS positions work without it
What you control
Settings

- Run Started, Rider Boarded, Rider Dropped, Rider Missed the Vehicle: sent to parents when the crew acts (Growth)
- SOS: to the transport office at once

Questions
Is the Crew app in the Play Store?
Not yet. It is built and tested on our test systems. It has not been run on a phone and is not in the app stores yet. We set it up with you before go-live.Can the driver's phone replace a GPS unit?
Yes, from Growth. The office sets the phone up as the vehicle's tracker; it sends its position while the run is on, with an SOS button.Does it work without signal?
Positions and face matches wait on the phone and go later. Board, Drop and the card scan need signal.Do drivers count as paid users?
No. Drivers and helpers sign in only to run their own trips and are not counted. Can a driver see other drivers' runs?
No. A driver sees only today's runs where they are the driver or the helper.Related features
BOARDINGBoarded, dropped and absent, with a QR cardThe driver or helper marks each rider Boarded, Dropped or Absent on today's run, by a button or by scanning the rider's boarding card. When the run ends, anyone never marked is Missed, so you know for each child whether they rode.BOARDINGBoarding by face at the vehicle doorThe helper's or driver's phone recognises the rider at the door and marks them boarded, then dropped, on today's run, also without mobile signal. Only riders with consent (a parent's for a child) who were enrolled by the transport office are recognised, and no photo is kept.TRIP CHECKLISTTrip checklist with stamped photosAt the start and end of a run or booked trip, the driver records the odometer, fuel level and remarks. They add camera photos stamped with the time and place. You decide when it is needed; without it the run does not start.TRACKING SET-UPGPS tracking devices on your vehiclesEach vehicle reports its position through a GPS unit or the driver's phone to our own Traccar tracking server. SmartMy Transit reads the positions from there for the live map, arrival times, trips and alerts. Your Entity's speed limit goes to every device.BREAKDOWN AND REPLACEMENT VEHICLEBreakdowns and replacement vehiclesWhen a vehicle breaks down on a run, the driver reports it from the Crew app. A job card takes the vehicle off the road and the office is alerted at once. The office picks a replacement from vehicles that are free, with valid papers and enough seats, and riders are told of the change.MAINTENANCEFuel log with mileage warningsEvery fill-up is recorded with litres, cost, odometer and the bill photo, by the office or by the driver in the Crew app. Kilometres per litre are worked out between full tanks, and a fill-up well below the vehicle's expected mileage is flagged and sent to the office.
