Students as riders, with transport attendance

With SmartMy Campus, a student becomes a rider from their own record, with class and admission number. In a school the parents are told, in a college the student and the parents. Transport attendance shows each student by class, day and leg, and parents see a Transport card on each child's page.

The problem it solves

  • The transport list and the student list never match: a child leaves school but stays on the bus register.
  • The bus messages go to a phone number typed years ago, not to the parent who uses the portal today.
  • A class teacher asks whether a child came by bus, and the office has to phone the driver.
  • Parents have one login for fees and homework and are asked to install another app for the bus.

How it works

  1. Open the student's record and press the Transport button. The rider form opens with the student, class and admission number filled in.
  2. Choose the service (pickup and drop, pickup only or drop only), routes, stops and riding days, and save.
  3. If the student has no login, one is made from the admission number, with no password and no email. The boarding card code is the admission number unless you type another.
  4. The father, mother and guardian logins on the student record are added as the people told about this rider. In a college the student is added too.
  5. Each run records every student as boarded, dropped, not riding or missed. Transport > Riders > Transport Attendance lists them by date, leg, class and run.
  6. Parents open the child's page on the parent portal and see the Transport card: today's ride, and the bus on its way. It opens the child's My transport page.

Everything it does

Students as riders

  • Started from the student record (Transport button) or from the rider form (Student field)
  • Class section and admission number shown on the rider, class in the riders list
  • A portal login made for the student when missing, from the admission number
  • Boarding card / QR code: the admission number by default
  • Nothing is created until the rider form is saved

Who is told

  • Transport Messages To on the Entity: From the Institution Type, Parents Only, or Student and Parents. The default is From the Institution Type: a school tells the parents only, a college the student and the parents
  • Messages To on one rider: As the Institution, Parents Only, or Student and Parents
  • Rows made from the student record are marked From the Student Record and follow it when a parent's login changes
  • Rows you add by hand are kept
  • Each row has its own topics: Trip, Boarding and Changes

Transport attendance

  • One line per student and run: date, leg, student, class, run, stop, status, time and note
  • Statuses: Expected, Boarded, Dropped, Not Riding, Missed
  • Opens on today's students; filters Today, Missed, Students
  • Group by Class or Date; a pivot by class and status
  • Export to a spreadsheet for a class teacher

Transport card on the parent portal (Growth)

  • On each child's page: the route on its way and the child's status, each ride of today, or No ride today
  • Opens the child's My transport page: the bus on the map, the expected time and Not riding with a reason
  • Switched on per Entity: Transport (bus tracking) in the portal sections, on to start with

Who uses it

Transport officeAdds students as riders from their record and reads transport attendance by class.
Class teacherGets the day's transport attendance for the class, exported from the list.
ParentSees the Transport card on the child's portal page, follows the bus and says when the child will not ride.
College studentGets the bus messages along with the parents and uses the same pages.

Where you use it

  • Web: the student record (Transport button), Transport > Riders > Riders and Transport Attendance
  • Parent portal: the Transport card on each child's page (Growth)
  • The SmartMy Campus app: a Transport page in the School tab with today's rides, the bus position and Not riding (Growth). It is built and in testing, not in the app stores yet
  • Not in the class teacher's attendance screen: transport attendance is a separate list

Questions

Do parents need a separate login for the bus?

No. The parents' Campus portal logins are added as the people told about the child, and the Transport card is on the child's portal page.

Will students in a school get the bus messages?

Not unless you choose so. A school tells the parents only; a college tells the student and the parents. You can change it for the Entity or one student.

How is a student marked Boarded?

By the Crew app or a card reader on the bus. The Crew app is built and in testing, not in the app stores yet, and no card reader has been tested yet. Until then a student who was not marked is shown as Missed when the run ends, so plan this with us before go-live.

Can a class teacher see who came by bus?

The transport office opens Transport Attendance, groups by class and exports the list. Class teachers do not get the list by themselves.

What happens when a parent's phone or login changes?

Change it on the student record in Campus. The rows made from the student record follow it.
