5 featuresAdmissions from enquiry to student recordEach application moves through your admission stages, from the first call to a confirmed seat. When the admission fees are paid, one click makes the student record, with the parent's login and the fee receipts already on it.Student records, parents and documentsOne record per student with the father, mother and guardian, their contacts and their login. The papers the school holds, from the birth certificate to the previous school's TC, are kept with numbers, dates, scans and where the original lies.Classes, sections, subjects and roomsSet up your academic years, classes, sections and subjects once, with the class teacher of each section and the teacher of each subject. Students are placed in a section and get its subjects, and a whole section moves to the next year in a few steps.Staff recordsKeep each teacher's and staff member's file in the school system: staff ID, joining date, qualifications, earlier jobs and family. With SmartMy HRMS the service dates come from HR and stay the same in both.Set-up from spreadsheetsBring your school in from Excel: staff, classes, sections, subjects, students with parents, the timetable, this year's attendance, fees, marks and library. The whole workbook is checked first, and nothing is saved until every row is clean.
Attendance and leave
3 featuresClass attendance, and attendance for parentsTeachers mark each period's register on the web or on their phone, starting from all present. Parents see the percentage, every absence and the figures by subject, and are told the same day when their child is absent.Attendance by face recognitionIn the period, the teacher's own phone recognises the class, one by one or in a class photo. It ticks them present for the teacher to check. Only with a parent's consent, enrolled by the office, and no photo is kept.Student leave asked for by parentsParents apply for their child's leave in the Campus app or the portal, for whole days or half a day. The class teacher approves or rejects it with a reason. The leave can then go on to a coordinator or the principal, in the steps you set.
Timetable, homework, notices
4 featuresTimetable, holidays and lesson plansSet the periods of the day, the holidays and the weekly timetable once. Teachers, parents and students see the same week. Each day's class sessions and registers are made from it, and a teacher can tie a lesson plan to a period.Homework, classwork and study materialTeachers give homework, classwork, projects and study material to their sections from the web or the Campus app. Students and parents hand the work in online, teachers mark it and return it, and late or missing work is flagged by itself.Class substitution when a teacher is awayWhen a teacher is away, the Substitutions screen lists each period that needs cover and the teachers free to take it, best first. Teachers can also ask a colleague to cover or swap a period. The substitute takes that day's session and its register, and the weekly timetable stays as it is.Circulars and noticesWrite a circular once, choose who it is for (parents, students, staff, chosen classes or sections) and how they are told. It is approved before it goes out, and families read it with its attachments on the portal and in the Campus app.
Apps and portal
3 featuresCampus app for parents and studentsOne app on Android and iPhone for parents and students: attendance, timetable, homework, results, notices, leave, meetings, fees and chat with teachers. A parent signs in once and switches between all their children, even in different schools of your group.Parent and student web portalThe pages of the Campus app, in any web browser on a computer or phone. Attendance, timetable, homework, results, circulars, leave, meetings, certificates and fees are all there. One login shows every child of the family.Teachers' appThe staff view of the Campus app puts a teacher's day on the phone. Today's periods and registers, homework, leave requests, parent meetings and chat with families are there, and each teacher sees only the pages their role allows.
Fees
6 featuresFee structures, instalments and concessionsWrite each class's fees for the year once, with term-wise or monthly plans, and every student gets the right dues. Sibling, staff-child and scholarship concessions, waivers and advance credit sit on the same fee ledger.Fee counter and receiptsYour cashier picks a student, ticks the dues and takes cash, cheque, UPI, card or a bank transfer. The receipt prints with a QR code that anyone can scan to check it, and a bounced cheque opens the dues again.Fees paid online by parentsParents see every due, receipt and the statement on the portal and the Campus app, and pay through your school's gateway. One payment can cover all their children at your school, and the receipts are made at once.Deposits, refunds, late fees and blocks for overdue feesHold caution deposits and give them back when a child leaves, with unpaid fees cleared first. Late fees are added each night by your slabs. The transfer certificate, library borrowing and hall tickets can wait while fees are long overdue.Trips and events parents answer and pay forInvite classes to a field trip, an excursion or the annual day with a consent form and a fee. Parents agree and answer on the portal or the Campus app. The fee lands on their dues, and attendance fills itself in.Cashier closing, fee reports and Tally exportEach cashier closes the day against the system's figures, and every receipt is posted to the accounts. Collection, demand, defaulters, concession and deposit reports show where the fees stand, and receipts, cancellations and refunds go to Tally Prime.
Exams and report cards
7 featuresExams, mark entry and gradingSet up unit tests, term exams and the annual exam with a paper per subject. Teachers enter marks on the web or in the Campus app. The system works out totals, grades, pass or fail and ranks by your rules. Results and report cardsPublish each exam's results with a mark sheet. Then combine the year's exams into the annual report card with weightages, co-scholastic grades, remarks and the promotion decision. Families see them on the portal and in the Campus app.Grace marks, supplementary exams, revaluation and hall ticketsGrace and moderation by a rule you set, and supplementary exams for those who failed. Revaluation, retotalling and script copies asked from the parent portal with their fees, and hall tickets held back for unpaid fees or short attendance.Exam sittings, halls and invigilationForenoon and afternoon sittings, and a rule for what happens to classes on exam days. Students placed in halls and seated, and an invigilation roster made by your rules. Exam attendance taken in the hall by the invigilator on the phone.Valuation of written papersAnswer scripts are marked blind, by dummy number, by one, two or more teachers who never see each other's marks. When their marks differ too much, a further evaluator or the chief examiner decides, and every mark given stays on record for revaluation.On-screen marking of answer scriptsScanned answer scripts are uploaded in bulk and teachers mark them on the screen, page by page, with marks, remarks, ticks and a pen. A bundle is submitted only when every page was opened, and the family can later read the marked copy on the portal.Question bank and question papersTeachers add questions by chapter, difficulty and level, and a reviewer approves them into the bank. Question papers are filled from the bank or typed to your blueprint, set by teachers who do not see each other's work. The selected paper stays sealed until shortly before the exam.
Certificates, library, parent contact
3 featuresBonafide, conduct and transfer certificatesFamilies ask for a bonafide, conduct or transfer certificate on the portal or the Campus app. They pay its fee, if any, and download it signed. Every certificate carries a QR code that anyone can scan to check it is genuine.LibraryKeep the catalogue and every copy with its accession number. Issue and take back books at the desk or on a phone, and late fines go to the student's fee account. Parents see the books their child has out and what is overdue.Parent-teacher meetings and chatPlan a parent-teacher meeting in slots and let parents book a time in the Campus app. Record who came, and share notes and follow-ups with the family. Between meetings, parents and teachers chat about one child, the school can read those chats, and staff chat with each other.
Activities and discipline
3 featuresActivities, clubs and after-school classesOffer in-school activity choices and after-school classes, free or paid, with seats, waiting lists, sessions, attendance and assessments. Parents enrol and withdraw on the app or the portal, and activity fees go on the fee account.Discipline and conductRecord an incident and open a case for each student responsible. Hear it, decide it with actions proposed by your action ladder, and let parents appeal online. Suspensions, fines and exam debarments take effect across attendance, fees and hall tickets by themselves.Pickup and early exit passesParents name who may collect their child and ask for an early pickup on the app or the portal. The office approves, the parents get a one-time code, and the gate checks the code and the photo of the person before the child leaves. Parents are told when the child goes out and comes back.
Group
2 featuresSeveral schools and a group dashboardRun each school of your trust as its own institution in one account. A parent whose children study in different schools signs in once. A group dashboard gives management one scorecard per school every day: students, staff, attendance, fees, exams, messages and discipline.Your own WhatsApp number and agreed termsMessages to parents can come from your school's own WhatsApp number, with your wording and your school's name. A group's own limits and terms are agreed with us. An app under your own name and icon is not built today.
More in the product
2 featuresStudent and staff ID cardsPrint student and staff ID cards from the records you already keep. Each card has your logo, the principal's signature, the photo and a QR code of the ID number. Choose one of eight ready-made designs, or print the classic one with no set-up.Alumni records and eventsStudents who pass out stay on record as alumni, with their register number, batch, class and school. Keep them in alumni groups by batch, and plan reunions and other events for a group.
Assets
3 featuresFixed assets: register, depreciation, tax book and work in progressEvery smart boards, projectors, lab equipment, computers, school buses and furniture your school owns sits in one register with its cost, depreciation and book value. Depreciation posts to your books each month, and income-tax depreciation is worked out by block beside it. A new block or a computer lab being set up gathers its cost until it becomes an asset.Asset care, and assets issued and returnedGive a laptop or tablet to a teacher, or a projector to a room. The teacher confirms in the app before the asset moves to them. Record its condition when it comes back. Keep each asset's warranty, AMC and insurance, and the person looking after it is told 30 days before each one ends.Physical verification of assetsCount the assets in each lab, classroom and office by scanning their QR tags. See at once which were found, which are missing, which turned up in another room and which are not in the register. The count is kept with who saw each asset and when.
