Class attendance, and attendance for parents

Teachers mark each period's register on the web or on their phone, starting from all present. Parents see the percentage, every absence and the figures by subject, and are told the same day when their child is absent.
PLANSEvery plan

The problem it solves

  • The paper register is totalled at the month end, so a child missing every Monday is noticed in March.
  • Parents learn about absences from the report card.
  • Attendance for the exam eligibility list is counted by hand the week before the exam.
  • Parade and sports-day attendance is on loose sheets that never reach the register.

How it works

  1. From the timetable, the system makes each day's sessions and a register for each, with every student of the section marked present. Holidays are skipped.
  2. In the period, the teacher opens the register on the web or in the Campus app. They tap All present, then mark the few who are Absent or Late.
  3. Students on approved leave show On leave in the teacher's app.
  4. The teacher saves, and closes the register when it is final. A closed register cannot be changed.
  5. At the time you set, 11:00 to start with, parents of children absent that day are told, with the periods missed.
  6. Parents open Attendance in the portal or the app: the percentage, the absences and late arrivals with the teacher's remark, and the figures by subject.

Everything it does

Registers

  • One register per session (one lesson on one date), made with the session each day for confirmed timetable entries
  • An administrator can make today's session by hand from the timetable entry
  • One status per student and period: present, absent or late, with a remark
  • Only the teacher of the session marks and closes it; other staff read it
  • No register for a future day, a holiday, or a period when the class writes an exam

In the teacher's app

  • Classes > Attendance: today's periods, with arrows for the day before or after
  • Each period shows Not taken, Open or Closed
  • All present, then Absent or Late, a remark per student, Save or Save and close
  • Students with approved leave are flagged On leave
  • With attendance by face, By face and Class photo on the same register

Special days

  • A day outside the timetable, such as a parade on a holiday: title, date, teachers in charge, classes and single students called in
  • Start Marking, Mark All Present, Done; Reopen for administrators; Cancel deletes the marks
  • Counts in Attendance %: per day, starting from the school's setting
  • Teachers in charge mark it on the web or in the app

What parents see

  • Percentage present, periods attended, absent and late, from the start of the academic year
  • By subject: periods attended of the total, with the percentage
  • Absences and late arrivals: date, subject and the teacher's remark
  • Special days, with a note when a day does not count in the percentage
  • A warning line when attendance is below the school's level, 75 % to start with

For the office and the principal

  • Attendances: every line of every session, by student, date and status, as a list to read
  • A ready-made Attendances dashboard, and each school's attendance of the last 30 days and the day's absentees
  • The attendance percentage feeds exam eligibility and attendance marks

Who uses it

TeacherMarks and closes the register of their own periods, on the web or in the app.
Teacher in charge of a special dayMarks the attendance of the students called in.
Principal and officeWatch attendance on the dashboard and set the alert time and levels.
ParentSees the child's attendance and gets the absence alert.

Where you use it

  • Web: Timetable > Student Register and Session, Attendances > Attendances and Special Days
  • The Campus app, staff view: Classes > Attendance (built and in testing, not in the app stores yet)
  • The Campus app for parents: Learning > Attendance; the parent portal: Attendance
  • Not a biometric or RFID gate attendance: registers are marked by the teacher, or by face on the teacher's phone

What you control

Settings

  • Send Absence Alerts At: 11:00 to start with, the school's local time
  • Low Attendance Below (%): 75 to start with, checked on Mondays
  • Warn Parents Below (%): 75 to start with, the warning on the parents' attendance page
  • Count Special Days in Attendance %: the starting value for new special days
  • Class Attendance shown to parents: on to start with, per school

Notifications

  • Absent Today: to the father, mother and guardian once a day at the alert time, with the periods missed. By app notification plus the first of WhatsApp, SMS or email that works, and in-app
  • Low Attendance: on Mondays, to the parents of students below the level, by the same channels. It waits for quiet hours, and parents can switch it off
  • Called In on a Special Day and Special Day Cancelled: to the parents and the student, by the same channels
  • Absent Today and the special-day messages are transactional: they cannot be switched off, only a channel such as SMS
  • SMS and WhatsApp use paid message credits; the app notification and email do not

Questions

Can teachers mark attendance on their phone?

Yes, in the staff view of the Campus app: All present, then the few who are absent or late. The app is built and being tested; it is not in the app stores yet.

When are parents told about an absence?

Once a day at the time you set, 11:00 to start with, for absences marked until then. Each parent gets one message listing the periods missed.

Does an approved leave stop the absence alert?

No. The teacher sees the child as On leave, but a child marked absent still gives the parents the day's alert.

Can a teacher change a register next week?

Only while it is open. Once the teacher closes it, nobody can change it, so check before closing.

Does a parade on a holiday count in the percentage?

You decide per special day with Counts in Attendance %. The starting value is a setting of the school. A day that does not count is still kept and shown to parents as not counted.
