Workers, attendance and the muster roll

Keep every site worker, your own and each labour contractor's, with their trade, pay and ID. Mark the day on the muster roll, or check workers in and out on the foreman's phone with the site's location. Punches can also come from a fingerprint device or the face kiosk. One attendance line a day per worker feeds the wages and the site report.
PLANSEvery plan

The problem it solves

  • The muster roll is a notebook in the site office, and the wages are worked out from it by hand.
  • A worker is marked present on two sites on the same day.
  • Check-ins are made from home, or from the contractor's office.
  • Attendance is changed after the wages were paid.

How it works

  1. Add workers in Construction Site > Labour > Workers > Workers, or Add worker in the app. Give the name, trade, skill, own or a labour contractor's, the project they work on, how they are paid.
  2. Each morning the foreman opens the Muster Roll for the project and day. Each worker is marked Present, Half Day, Absent or On Leave, with overtime.
  3. Or the foreman checks workers in and out on the phone. Hours and overtime are worked out from the times and the project's normal hours.
  4. A phone check-in farther from the site than the project allows, or without a location, is marked Off Site with the distance. It is not refused.
  5. With a fingerprint device or the face kiosk, punches become the day's attendance by themselves.
  6. The wage run pays from these lines and locks them; the daily report takes its labour from them.

Everything it does

Workers

  • Name, Worker No. (unique per entity), phone, photo, language (wage slips print in it)
  • Trade and skill: Unskilled / Helper, Semi-skilled, Skilled, Highly Skilled, Supervisor / Foreman
  • Own worker, or a Labour Contractor's
  • Works On: the project they are on now
  • Paid Per Day, Per Hour, Per Piece of Work or Per Month; the rate and an overtime rate per hour
  • Joined and Left dates, site induction date
  • ID document, number and valid until (Aadhaar, National ID, Passport, Iqama)
  • Paid by Bank Transfer, Cash or Mobile Wallet; bank, account number, bank code (IFSC, sort code, routing number, SWIFT or IBAN), account holder

Attendance

  • One line per worker per day: Present, Half Day, Absent, On Leave or Holiday
  • In and out times, normal hours, overtime, place, note
  • Source: Muster Roll, Typed In, Phone Check-in, Face, Biometric Device, Imported
  • Hours past the project's Normal Hours a Day (8 to start with) count as overtime; a half day is at most half the normal day
  • Hours between 0 and 24 a day; the worker and the project must be of the same entity
  • Paid in a wage run: locked, never changed or deleted

Muster roll and check-in

  • Muster Roll: a row per worker on the project, and anyone already marked that day; Save Attendance
  • Rows already paid show as locked and are not changed
  • Phone check-in and check-out by the foreman, kept on the phone without signal and sent later
  • Check-in Within (m): 300 to start with, 0 for no check; needs the project's map point
  • Off Site and From the Site (m) on the line; filter Off Site Check-ins

Devices

  • Fingerprint devices through SmartMy's device connection: set the device's Construction Site and each worker's Device Code (empty: the Worker No.)
  • First punch is the check-in, last the check-out, or the device's own in and out
  • Codes nobody has wait in the device log until a worker gets the code and Match Again is pressed
  • Face kiosk at the gate: see Face attendance at the site gate (Scale)

Who uses it

Foreman or site supervisorTakes the muster roll, checks workers in and out, adds new workers.
Site engineerCorrects attendance and fills the report's labour from it.
Construction ManagerSets normal hours and the check-in distance, reviews off-site check-ins.
Wages teamPays from the attendance in wage runs.

Where you use it

  • Web: Construction Site > Labour > Workers > Workers, Muster Roll and Attendance; the project's Workers on Site button
  • The SmartMy Construction app: Site > Labour > Workers > Muster Roll, also without signal. Save the muster roll, check in and out, add a worker. Built and in testing, not in the app stores yet
  • Fingerprint devices: built; your device model is tested with you before go-live
  • Not self check-in by workers on their own phones: the foreman checks them in, or a device or the face kiosk does

What you control

Settings

  • Normal Hours a Day: 8, per project
  • Check-in Within (m): 300, per project (0 = not checked)
  • The project's map point (latitude and longitude) for the distance check

Works with

SmartMy HRMSWorkers who are HRMS employees have their site attendance sent to HRMS for payroll.

Questions

Can we keep labour contractors' workers too?

Yes. Name the Labour Contractor on the worker. Their attendance is kept like your own, and you can check the contractor's bill against it.

Is a check-in from far away refused?

No. It is saved and marked Off Site with the distance, since workers sometimes start at a yard. Filter Off Site Check-ins to review them.

Can a worker be on two sites on one day?

No. A worker has one attendance line a day, on one project.

Which fingerprint devices work?

Devices connected through SmartMy's device connection. We test your model with you before go-live.
