Wage runs, advances, bank file and slips
Pay site workers from their attendance. A wage run fills itself and works out basic, overtime, deductions and advance recovery. It goes for approval, then is paid by a bank file or in cash against the worker's signature. Wage slips print in each worker's language.
PLANSEvery plan
The problem it solves
- Wages are worked out on a calculator from the muster roll every Saturday.
- An advance given in cash is never recovered, or recovered twice.
- The same days are paid twice when a run is redone.
- Cash wages leave no proof that the worker was paid.
How it works
- Open Construction Site > Labour > Wages > Wage Runs > New. Give a project (or all), who (own workers, contractors' workers, all, or one contractor), the period and the pay day.
- Press Fill from Attendance. A line per worker shows days, hours and overtime, and the pay is worked out.
- Check each line: other earnings, food, stay or tools charges, pieces done. Press Work Out Pay Again after a change.
- Send for Approval. A Construction Wages Manager, or your Site Wage Run chain, approves or sends it back with a reason.
- Approval locks the attendance it pays and recovers advances.
- Pay: Bank File, then Mark Bank Lines Paid; cash lines one by one after the worker signs. The run is Paid when every line is.
- Print the Wage Slips for the run, or one slip for a worker.
Everything it does
Working out pay
- Per day: days x day rate (present 1, half day 0.5); per hour: hours x hour rate
- Per month: monthly rate / Paid Days in a Month (26 to start with) x days
- Per piece: pieces done x rate, or approved piece-work shares (Growth)
- Overtime: the worker's overtime rate, or the hourly rate x the Overtime Factor (1.5 to start with)
- Other Earnings: bonus, allowances, arrears
- Net pay below zero is refused when sending for approval
Deductions
- Kinds: % of Gross with an optional Gross Up To ceiling, Fixed per Wage Run, Per Day Worked
- For own workers, contractors' workers or all; By Law flag; per country or everywhere; per entity or all
- India: PF 12 % up to 15,000 and ESI 0.75 % loaded, Professional Tax there but archived
- USA: Social Security 6.2 % and Medicare 1.45 %; Saudi Arabia: GOSI 9.75 % (archived)
- Advance recovered and Food / Stay / Tools charges count as deductions
- The ceiling counts on each run's gross, so set it to match the length of your runs
Advances
- Worker, date, amount, Recover per Wage Run (empty: all at once), reason
- Draft, Given to the Worker (wages managers), Recovered
- Each run recovers one advance per worker, the oldest open one, never more than the pay left
- Recovered and balance on the advance; the Recoveries tab lists the runs
Paying
- Bank File: a CSV of the unpaid bank lines with Name, Account Number, Bank Code, Bank, Amount, Currency and Reference, saved on the run
- The bank file is a plain CSV, not a particular bank's upload format. Map it in your bank's bulk upload or ask us to shape it
- Workers without an account number stop the file, named one by one
- Cash: the worker signs or thumbs on the phone or screen, then Mark Paid; Mobile Wallet lines are marked paid one by one
- Payment reference and paid on date per line
Slips, books and cost
- Wage slip PDF in the worker's language: worker, period, trade, contractor, project, earnings, deductions, paid on, reference
- With accounting: approval books gross wages against wages payable and deductions payable; the payment is booked when every line is paid
- With the budget: approved and paid wages are the actual cost of the project's labour cost code, shared by hours
- With the cash flow plan (Growth): net pay as money out at the end of the period

Questions
Which bank formats does the bank file support?
One plain CSV with name, account, bank code, bank, amount, currency and reference. Many banks' bulk upload can read it with a column map; a bank-specific format is not built yet.Can the same day be paid twice?
No. Approving a run locks its attendance, later runs leave locked days out, and approval is refused if another run paid some of them meanwhile. Can we pay contractors' workers ourselves?
Yes. Choose Contractors' Workers or one Labour Contractor on the run. Usually the contractor pays them, so own workers is the default. Are PF and ESI worked out?
As deductions on each run, from the lines loaded for India. Employer shares and the monthly returns are not made here. Can we pay weekly?
Yes. A run covers any period you choose, a week, a fortnight or a month.Related features
