Staff paid by SmartMy HRMS payroll
Site engineers and supervisors on your payroll are marked on the muster roll like everyone else, but are paid by SmartMy HRMS. Their site attendance becomes their HRMS attendance day, and the site wage runs leave them out, so nobody is paid twice.
PLANSFrom GrowthWith SmartMy HRMS
The problem it solves
- Engineers are on the muster roll and on the payroll, and get paid from both.
- HR asks the site every month for the days its staff worked.
- Attendance is typed twice, once for the site and once for HR.
- A correction on site never reaches the payroll.
How it works
- On the worker, an attendance officer picks the HRMS Employee they are.
- The site marks the day as for any worker: muster roll, phone check-in, face kiosk or fingerprint device.
- Each site line becomes the employee's HRMS attendance day: in and out times and the status. It goes in as an HR correction with the reason Site attendance (Construction).
- HRMS attendance rules and payroll take that day like any other.
- Wage runs leave these workers out, also for piece work.
- A change on site updates the HRMS day; removing the line takes its values off.
Everything it does
The link
- HRMS Employee on the worker, seen and set by HRMS attendance officers
- One worker per employee; the employee must be of the worker's entity
- Status sent: Present, Half Day, Absent, Leave, Holiday
- The note on the HRMS day names the project and the source (muster roll, phone, face, biometric)
- A day locked in HRMS (pay period closed) cannot be changed from the site
- Filter On the HRMS Payroll on the workers list
Wages
- Fill from Attendance leaves out workers who are HRMS employees
- Their cost, leave and statutory returns follow HRMS payroll

Questions
Are our engineers paid twice?
No. Once a worker is linked to an HRMS employee, wage runs leave them out and HRMS payroll pays them.Do they need the HRMS app to check in?
No. The site marks them as it marks every worker. The day reaches HRMS by itself. What if HR has closed the month?
A day locked in HRMS cannot be changed from the site. HR corrects it in HRMS.Related features
SITEWorkers, attendance and the muster rollKeep every site worker, your own and each labour contractor's, with their trade, pay and ID. Mark the day on the muster roll, or check workers in and out on the foreman's phone with the site's location. Punches can also come from a fingerprint device or the face kiosk. One attendance line a day per worker feeds the wages and the site report.SITEWage runs, advances, bank file and slipsPay site workers from their attendance. A wage run fills itself and works out basic, overtime, deductions and advance recovery. It goes for approval, then is paid by a bank file or in cash against the worker's signature. Wage slips print in each worker's language.SITEFace attendance at the site gateA tablet at the site gate recognises workers who agreed, and marks their day. The first recognition is the check-in, the last the check-out, with hours and overtime worked out. No photo is kept, and every worker's consent is on record.
