Face attendance at the site gate

A tablet at the site gate recognises workers who agreed, and marks their day. The first recognition is the check-in, the last the check-out, with hours and overtime worked out. No photo is kept, and every worker's consent is on record.
PLANSScale only
Built and checked on a computer; not yet run on a tablet against a server. The app is not in the app stores yet.

The problem it solves

  • Fingerprint readers fail on hands covered in cement and dust.
  • A friend marks a worker present who never came.
  • The foreman's muster roll is filled in at noon from memory.
  • Workers' face data is collected with no consent and no way to remove it.

How it works

  1. Record each worker's consent: Record Paper Consent on the worker for the signed or thumbed form. Or use Consent at the gate on the tablet after the notice.
  2. In the app, open Face Check-in and Enrol faces of the workers who agreed: a blink, then three to five guided photos.
  3. A Construction Manager presses Make this tablet the site kiosk, chooses the site, and sets scans to In, Out or Ask each time.
  4. Open the kiosk. A worker looks at the tablet and blinks; the match marks their attendance on that project.
  5. The first recognition of the day is the check-in, the last the check-out; hours and overtime are worked out as for a fingerprint device.
  6. Wage runs pay from these days like any other attendance.

Everything it does

Matching and attendance

  • The kiosk holds the faces of workers on its project who consented, in encrypted storage on the tablet
  • A blink within 3 seconds is needed: it stops a printed photo or a photo on a phone screen
  • Source Face on the attendance line, with the face match it came from
  • A later scan moves the check-out
  • A day already paid in a wage run is not changed; the match log says so

Consent and privacy

  • Purpose Site Attendance, with a plain notice. It says what is kept, what it is for, who sees it, Google ML Kit on the tablet, how to withdraw
  • Your entity can write its own version of the notice
  • Face Consent on the worker: Not Asked, Asked, Given, Withdrawn; Face Enrolled
  • No photo is kept: only a face template made from the photos
  • Remove Face Data deletes the template; the kiosks drop it at their next sync
  • A worker who leaves (Left date or archived) loses the consent and the face

The kiosk

  • Kiosk status: faces held, last sync, pairing code
  • Signing out wipes the kiosk's faces from the tablet
  • Settings > Face Recognition lists the devices and the match log
  • Works on ordinary Android or iOS tablets and phones (iOS 15.5 or later)

Who uses it

Site officeRecords consent, enrols faces, removes face data when asked.
Construction ManagerMakes a tablet the site kiosk and sets its direction.
WorkerAgrees or says no, and looks at the tablet at the gate.

Where you use it

  • The SmartMy Construction app: Site > Labour > Face Check-in (kiosk, make this tablet the kiosk, status, consent at the gate, enrol faces)
  • Web: Face Consent and Face Enrolled on the worker, Record Paper Consent, Remove Face Data; Settings > Face Recognition
  • Not enrolled from the web: faces are enrolled in the app
  • Not yet run on a real tablet: the accuracy test on devices is still to be done

What you control

Settings

  • The kiosk's site and whether scans are In, Out or Ask each time
  • The consent notice text per entity
  • Normal Hours a Day of the project (8) for overtime

Questions

Do we need to buy a face device?

No. It runs in the SmartMy Construction app on an ordinary Android or iOS tablet. It has not yet been run on a real tablet; we try it with you on yours before go-live.

Is a photo of the worker kept?

No. The enrolment photos are turned into a face template and deleted. The kiosk logs when and where a match happened, not a picture.

What if a worker says no?

Then the foreman marks them on the muster roll as before. Consent can also be withdrawn at any time, and the face is deleted.

Can someone hold up a photo?

A printed photo or a photo on a phone does not blink, so it is not accepted. A video of the person blinking is not stopped, so keep the gate watched.
