Daily site report with auto-submit
The site enters the day once: work done by place, labour, material, plant, weather, issues and photos. A report still in draft at the project's cut-off is submitted by itself, so the company and client updates go out on time.
PLANSEvery plan
The problem it solves
- The DPR comes in at 10 pm, or the next morning, or not at all.
- The engineer types the same crew every day, and the numbers do not match the muster roll.
- Last week's report is edited after the client saw it.
- Issues raised on site are lost in WhatsApp groups and never marked resolved.
How it works
- Set the project's Daily Report Cut-off (18:00 site time to start with) and keep Submit at Cut-off by Itself on.
- The site engineer opens Today in the app, or Construction Site > Site Work > Daily Site Reports on the web. One report per project per day.
- Fill in the tabs: Work Done, Labour, Material, Plant, Issues and Delays, Photos, Visitors and Notes. Copy Yesterday's Crew saves typing.
- Press Submit. The report is locked, and the project manager is told.
- At the cut-off, a report still in draft is submitted as it is and marked Submitted at Cut-off.
- The company and the client updates are made from the submitted report.
Everything it does
What the report holds
- Weather (Clear / Sunny, Cloudy, Rain, Heavy Rain, Storm / Wind, Very Hot, Very Cold, Snow, Fog), lowest and highest temperature, hours lost to weather
- Work Done: place, activity, quantity and unit or % complete, remarks, Client Sees (on to start with)
- Labour: trade, contractor (empty for own workers), workers, hours each (8 to start with), overtime
- Material received or used: material, quantity, unit, supplier, challan or delivery note
- Plant: machine, hours worked and idle, broke down, remarks
- Issues and Delays: kind, place, severity, Client Must Act, Client Sees, photo, resolved. Kinds: Delay, Quality, Safety, Drawing / Design, Material, Labour, Plant / Equipment, Client Decision, Payment, Other
- Photos with caption, place and Client Sees
- Work done in words, plan for tomorrow, visitors and inspections, internal notes (never shown to the client)
- Totals: workers on site, man-hours, photos, open issues
Submitting and locking
- Submit needs work lines or a few words on the work done
- A submitted report and its lines are locked; issues can still be marked resolved and internal notes added
- Reopen: Construction Managers only, and never once the client update has gone out
- Updates not sent yet are made again at the next submit
Auto-submit at the cut-off
- Checked every 15 minutes in the project's time zone
- Drafts of that day and earlier are submitted as they are, also when no work is filled in
- A day with no report started gets none: someone has to open the day's report
- A report that fails is noted on it and the others still go
Filled from other features
- Copy Yesterday's Crew: labour and plant lines from the last report, and yesterday's weather
- With labour: Labour from Attendance, by trade and contractor; a report submitted with no labour takes it from the attendance
- With plant (Growth): Plant from Log Sheets; a report submitted with no plant takes it from the log sheets
- With the BOQ: a work line names its BOQ item, which shows Done and % Done
- With the schedule (Growth): a work line names its activity, which gets the % complete, actual start and finish

Questions
What if nobody opens the report at all?
Then nothing is submitted for that day. Auto-submit sends drafts that were started; it does not make an empty report. Can we fix a mistake after submitting?
A Construction Manager can reopen it until the client update has gone out. After that, put the correction in the next report.Does the client see our labour and material?
No. The client update shows only work, photos and issues marked Client Sees, and the switches you choose. Labour lines, material, plant, visitors and internal notes stay in the company version. Can the site report be filled without signal?
Yes, in the app. The report is kept on the phone and sent when the signal is back. The app is built and being tested; it is not in the app stores yet.Related features
SITESite updates to the company and the clientEvery submitted site report makes two updates: a full one for your own people and a clean one for the client. The client one has progress and photos but never your costs, crews or notes. Each goes by email or WhatsApp, as a link or as a picture card, after a manager's approval if you want one. Weekly and monthly round-ups add up the days, and clients can comment.SITEWorkers, attendance and the muster rollKeep every site worker, your own and each labour contractor's, with their trade, pay and ID. Mark the day on the muster roll, or check workers in and out on the foreman's phone with the site's location. Punches can also come from a fingerprint device or the face kiosk. One attendance line a day per worker feeds the wages and the site report.ESTIMATINGBOQ with versionsKeep each project's bill of quantities in the system, item by item, priced and tied to places and cost codes. Import it from the client's Excel, make it final, and when the scope changes start a new version: the old one is kept as Replaced. Site progress, the budget, work orders and client bills all work from the same items.PLANT, SCHEDULE, QUALITY, SAFETYSchedule, critical path, Gantt and look-aheadPlan the building as linked activities by place, with durations in working days. Schedule works out the dates, the float and the critical path, and a baseline shows every slip. The daily site report moves progress on, and the look-ahead shows the next three weeks.PLANT, SCHEDULE, QUALITY, SAFETYPlant register, log sheets and servicingEvery machine on your sites, own or hired, with a daily log sheet of readings, hours, idle time, breakdowns and fuel. Confirmed log sheets charge the project, and servicing falls due by date or meter reading. Own plant can become a fixed asset, be rented out, sold or scrapped.PORTAL AND APPThe SmartMy Construction app, also offlineOne app for Android and iPhone for the people on site. It has today's site report with photos, the muster roll and check-in, snags and inspections. It also has material requests and issues, measurements, plant log sheets and safety. What is entered without signal is kept on the phone and sent when the signal is back. Clients, subcontractors and buyers use the same app for their own pages.
