Registers, products and barcodes

Each register is one till with its own payment methods, price list, cash rounding, walk-in customer and favourites. Products carry a POS category, a barcode, a picture and the rules for discounts and price changes.

The problem it solves

  • The front counter and the service desk need different payment methods and prices, but the software has one setting for the whole shop.
  • Cashiers scroll through 2,000 products to find the five they sell all day.
  • Cash bills come to odd small-change amounts and the drawer never matches.
  • A packing charge or a deposit gets discounted along with the rest of the bill.

How it works

  1. The POS Administrator adds the payment methods under Point of Sale > Configuration > Registers and Payments > Payment Methods. They are cash, card, bank / UPI / QR, online payment link or other, each with its journal.
  2. Under POS Categories they build the groups shown as buttons on the selling screens, with sub-categories if needed.
  3. Under Products they add each item with its Sales Price, Customer Taxes, Barcode, Internal Reference, picture and POS Category, and tick Point of Sale.
  4. Under Registers they make one register per till. Each has a Code such as CTR1, the Branch, the Payment Methods, the Price List, the Default Customer and the Cash Rounding.
  5. On the register's Products tab they choose the Categories Sold (empty: everything) and the Favourites.
  6. The till shows its own grid, favourites and payment buttons. Cashiers find products by tapping, by name, by code or by scanning the barcode.

Everything it does

Registers

  • Code: up to 8 characters, printed before the receipt numbers; unique within a store
  • Payment Methods: a session cannot open without at least one
  • Price List, Default Customer (for example "Walk-in"), Cash Rounding (for example to the nearest 1.00)
  • Categories Sold (empty: every product ticked Point of Sale) and Favourites
  • Notes Counted: the notes listed for the cash count (empty: the usual notes of the currency)
  • Point of Sale > Counter > Registers shows each register as a card, Open or Closed, with Open Session or Continue Selling
  • Archived, never deleted: old sessions and receipts stay; every change is kept in the register's history

Payment methods

  • Kinds: Cash, Card, Bank / UPI / QR, Online Payment Link, Other. Customer Account (pay later) from Growth; Voucher / Gift Card and Customer Deposit on Scale
  • Give Change is on for cash; only such a method may take more than is due
  • Journal and an optional Outstanding Account where card and UPI wait for the bank statement
  • Each method belongs to one Entity; the order of the list is the order of the buttons

Products

  • Point of Sale tick, POS Category, Sales Price, Customer Taxes, Barcode, Internal Reference, picture
  • Price May Be Changed at the Counter: the cashier may type another price
  • No Discount at the Counter: never discounted or given on the house (deposits, packing, fees collected for others)
  • Pictures are made smaller by themselves when saved; no limit on the number of products
  • From Growth a stocked product shows its quantity, and a product with lots or serial numbers asks for one

Finding products at the counter

  • Category buttons, All, and Favourites
  • Search by part of the name, the internal reference or the barcode; Enter adds the exact match
  • A USB barcode scanner that types the code and Enter works on the web counter and on a till computer

Questions

Can two tills share one register?

One register runs one open session at a time, and the web and the app can sell in the same session. For two drawers counted apart, make two registers.

Can I import my product list?

Yes, with the import of the Products list from a spreadsheet: name, price, taxes, barcode and category.

Does the camera scan barcodes?

Not yet. A USB scanner that types the code works on the web counter and on a till computer.

Can a register sell only some products?

Yes. Fill in Categories Sold on the register. Products of other categories do not appear on its screens.

Which plan has registers and products?

Every plan. The web counter in the browser starts in Growth; on Starter you sell from the app and from the orders of the back office.
