Cash, card and UPI payments

Take cash with change, card and bank or UPI with a typed reference, or any mix of them on one bill. Each payment is kept with its method and reference, and adds to the session's figures per method.
PLANSEvery plan

The problem it solves

  • A customer pays 300 by UPI and the rest in cash, and the bill shows only one of them.
  • At closing nobody can say how much came by card and how much by UPI.
  • A UPI payment is claimed but never arrived, and there is no reference to check.
  • Change is given on a card payment by mistake.

How it works

  1. The cashier presses Pay. The payment screen shows To pay and one button per payment method of the register.
  2. Tapping a method adds a line with the amount still to pay. For cash, the cashier types what the customer hands over.
  3. For card, bank or UPI they check the money arrived on the machine or the phone, then type the slip number or UPI reference.
  4. To split, they change the first amount and tap the next method, which takes what remains. The same method can be used twice.
  5. Remaining must reach zero. Change shows what to give back, in cash only.
  6. Validate pays the sale and gives the receipt number. The receipt lists each payment with its method, reference and amount.

Everything it does

Methods

  • Cash, Card, Bank / UPI / QR, Online Payment Link, Other, on every plan
  • Customer Account (pay later) from Growth; Voucher / Gift Card and Customer Deposit on Scale
  • Student Fee Account, Hostel Bill and Deduct from Salary with SmartMy Campus, Hostel and HRMS
  • Only the methods added to the register can be used there

Rules

  • A sale is paid in full before it is validated
  • Only a method with Give Change (cash) may take more than is due ("Only cash can be paid over the amount")
  • With a split payment, change is counted on the cash part
  • The reference is optional for card, bank and UPI; required for a gift card code or a deposit number
  • The counter records what the cashier types; it does not check the payment with the bank
  • Cash totals are rounded when the register has a Cash Rounding

Where the money goes

  • Cash payments, less change, add to the session's expected cash
  • The X and Z reports show the payments per method
  • From Growth each method posts to its journal, and card and UPI can wait in an outstanding account until the bank statement

Who uses it

CashierTakes the payment, types references, gives change.
POS AdministratorAdds the methods to each register, with the accounts team choosing the journals.
AccountsMatches card and UPI with the bank statement (Growth).

Where you use it

  • Web: the Pay box of a back-office order, and the payment screen of Point of Sale > Counter > Sell (Growth)

  • Not built: a UPI QR code shown on the screen, automatic UPI confirmation, payment links sent from the counter, tap to pay on the phone

What you control

Settings

  • Give Change: on for cash methods
  • Payment Methods: chosen per register; a session cannot open without one

Questions

Does it confirm UPI payments by itself?

No. The cashier checks the payment on the phone or soundbox and types the UPI reference. Automatic confirmation is not built.

Can one bill be paid by cash, card and UPI together?

Yes, in any mix, and the same method more than once.

Can we take card payments without a linked machine?

Yes. Run the card on your bank's machine and type the slip number. Linking the machine is a Growth option.

Does it work without signal?

Yes, in the app. Cash, card and UPI with a typed reference are recorded on the device and sent later. A linked card machine needs signal.

Is this in Starter?

Yes. Cash, card and UPI with a reference and split payments are in every plan.

The sale becomes an invoice at once, part can be paid now, and a sale that would take them over their credit limit is refused.SESSIONS AND CASHShifts, cash count and X and Z reportsEach register runs one session at a time. It is opened with the cash in the drawer, and closed with a count note by note and a reason for any difference. Cash in and out is recorded with a reason, and the X and Z reports give the figures of the shift.LOYALTY, PROMOTIONS AND DEPOSITSGift cardsSell a gift card for any value at the counter. The receipt carries its code and the date it is valid until. Whoever holds the code pays with it later, in one sale or several, until nothing is left. The money stays owed in the books until it is spent or written off.LOYALTY, PROMOTIONS AND DEPOSITSAdvance deposits, used on a sale and paid backTake an advance from a customer at the counter, with a numbered slip. The deposit pays a later sale or a confirmed invoice of the same customer, in one go or in parts. What is left can be paid back, in part or in full, with a reason and a supervisor's approval.STOCK AND ACCOUNTINGOne accounting entry per sessionWhen a session is closed, one balanced journal entry is posted for all its sales that have no invoice. It holds income per account, taxes with their tax report lines and money per payment method. It also holds rounding, cash moves and the cash difference. Your accountant gets one entry per till per shift instead of a pile of slips.
