Internal and semester exams and mark entry

Run internal assessments (CIA) and semester end exams with a paper per course. Faculty enter marks on the web or in the Campus app. The internal mark can be built from the CIAs, assignments and attendance.
PLANSFrom Growth

The problem it solves

  • Faculty keep CIA marks in their own sheets, and the exam cell types them again before the semester result.
  • The internal mark is worked out differently in each department: best two of three, average, or a share for assignments.
  • Students short of attendance sit the semester exam because nobody checked the registers in time.
  • Attendance-shortage fines are charged on paper and nobody knows who paid.

How it works

  1. The exam cell sets up the exam types once: Internal Assessment (CIA), Semester End Exam and Supplementary Exam come ready for colleges. Each course keeps its credits and its internal, practical and external maximum and pass marks.
  2. For each exam, choose the semester and add a paper per course with its date, time, room and evaluator. Then set the rules: attendance minimum, the CIAs behind the internal mark, the exam fee.
  3. Press Schedule. The students of the semester are registered: a student writes a paper when enrolled in the course, or when the course is compulsory. Check Clashes confirms nobody has two papers at once, in this or any other exam.
  4. Open Mark Entry. Each faculty member sees only the papers they evaluate, marks each student Present, Absent, Malpractice or Exempted, and types the marks.
  5. For a semester exam, press Import Internal Marks once the CIAs are published. The internal mark comes in by your method, with assignments and attendance where you set them.
  6. The faculty member saves, comes back later, and presses Submit Marks. When every paper is submitted, the exam cell publishes the results.

Everything it does

Exam set-up

  • Exam types with a category: Internal Assessment, Semester End Exam, Supplementary / Re-Exam, and the school categories. Each type is used by colleges, schools or both
  • Per course: Marks or Grade Only; credits; internal, practical and external maximum and pass marks; attendance marks; total maximum and pass mark. A new paper copies them and can change them
  • An exam per semester, limited to some sections if you wish, with its papers, dates, rooms, evaluators and instructions for candidates
  • Statuses: Draft, Scheduled, Mark Entry, Results Published, Closed, Cancelled
  • Check Clashes: no student may have two papers at the same time, across every open exam of the college, open electives and arrear papers included

Mark entry

  • Exam attendance per student and paper: Present, Absent, Malpractice or Exempted
  • Internal, practical and external marks, each checked against its maximum; a grade-only course takes a grade from the exam's grade scale
  • A remark per student
  • Paper states: Mark Entry Open, Submitted, Locked; only the exam cell reopens a submitted or locked paper
  • A paper cannot be submitted while a student who was present has no mark
  • Student Marks (exam cell): every mark of every paper in one list, for checking

The internal mark

  • Choose how the CIAs you pick on the semester exam count. Average of All, Average of Best N (the default, with N = 2) or Sum of Marks (scaled)
  • Assignments Share of Internal (%): part of the internal mark from the graded assignments of the course and semester. For example 30 % assignments and 70 % CIAs
  • Attendance marks: a scale turns each course's class attendance % into marks; one 5-mark scale comes ready
  • Attendance is counted from the subject-wise registers over the exam's attendance period, up to the day before the exam unless you set the dates

Attendance eligibility

  • No Minimum (the default), Minimum per Subject or Minimum on Overall Attendance, with a minimum of 75 % to start with
  • Fetch Class Attendance reads the registers again after late corrections
  • Not Eligible List; Condone per paper or overall with a reason; only the exam cell condones
  • A student who is not eligible cannot be given marks; the result reads Not Eligible (Attendance)

Attendance-shortage fine

  • Slabs on the exam's Fees tab: Attendance From (%), Below (%) and the Fine. For example 65 to below 75: one amount, 50 to below 65: a larger one
  • Charge Attendance Fines raises a due on each short student's fee account, due the same day; nobody is fined twice
  • With per-subject eligibility, the lowest subject percentage decides the slab
  • Paying Condones (on to start with): a paid or waived fine condones the shortage, so the student may sit the exam
  • Below the lowest slab there is no fine and the student stays not eligible

Exam fee

  • Exam Fee per student, per paper, or both, raised as a due when the exam is scheduled; due 7 days later to start with
  • Hall Ticket After Exam Fee: on to start with; without the fee paid a student gets no hall ticket and no seat
  • Reset to Draft or Cancel takes the dues back; money already paid becomes credit

Reports

  • Results Analysis: published results as a pivot and a graph
  • Examination dashboard: exams scheduled, mark entry open, papers waiting for marks, revaluations open

Who uses it

Controller of examinations (exam cell)Sets up exam types, grade scales and exams, schedules them, opens mark entry, imports internal marks, condones attendance and publishes results.
Faculty (evaluator)Enters and submits the marks of the papers given to them, on the web or in the Campus app.
Principal and heads of departmentFollow papers waiting for marks and the results on the dashboard and in Results Analysis.
Accounts officeCollects exam fees and attendance fines with the other fees, and waives a fine when the college agrees.
StudentsSee their exam schedule on the portal, pay the exam fee and fines, and see published results.

Where you use it

  • Web: Examination > Exams (Exams, Mark Entry, Results, Student Marks), Examination > Configuration and Examination > Reporting
  • The Campus app, faculty view: Exam marks, the papers a faculty member evaluates, with a draft saved and Submit. Built and in testing, not in the app stores yet
  • Student portal and the Campus app: exam schedule, published results and marks per course
  • Not in the app: setting up exams, papers and grade scales, which is done on the web

What you control

Settings

  • Exam types: Internal Assessment (CIA), Semester End Exam and Supplementary Exam come ready; add your own
  • Attendance Eligibility: No Minimum to start with; Minimum Attendance 75 % when set
  • Internal Mark Method: Average of Best N, with N = 2
  • Assignments Share of Internal (%): 0 unless you set it
  • Attendance fine slabs: none until added; Paying Condones on
  • Exam Fee Due In: 7 days; Hall Ticket After Exam Fee: on

Notifications

  • Attendance Shortage for Exam: to the student and parents when the exam is scheduled and the student is short for one or more papers. In the app inbox and by the first channel that reaches them (app push, WhatsApp, SMS or email), at once
  • Exam Results Published: to the student and parents when results are published (not for a withheld result), the same way
  • The college can change how each event is delivered; a person can switch off a channel such as SMS, and in-app notices always arrive

Questions

Can faculty enter marks on their phone?

Yes. The faculty view of the Campus app lists the papers you evaluate. It takes the marks, saves a draft and submits, with the same checks as the web. The app is built and in testing, not in the app stores yet.

Can the internal mark be the best two of three CIAs?

Yes. Pick the three CIAs on the semester exam and choose Average of Best N with N = 2, which is the default. Average of All and Sum of Marks (scaled) are the other choices.

Can assignments and attendance count in the internal mark?

Yes. Assignments Share of Internal (%) takes that share from the graded assignments of the course. An attendance mark scale adds marks for class attendance on courses that have attendance marks.

How is the attendance-shortage fine charged?

You add slabs on the exam's Fees tab and press Charge Attendance Fines after scheduling. Each short student gets a due on the fee account. Paying it condones the shortage, unless you switch Paying Condones off.

Our university sets the semester exam. Can we still use this?

Yes. Internal assessments run here as usual. For a programme whose exams the university runs, its marks are typed in or imported, and results and grade cards follow as usual.

Can we bring in earlier semesters' marks?

Yes. The import workbook takes grade scales, exam types, course marks and credits, and past exams with their papers and marks. They come in published, so CGPA and arrears are right from the start.
