Grading, SGPA, CGPA and mark sheets

Grades and grade points come from your grade scale, and pass rules apply per paper. On publishing, each student gets SGPA, CGPA, credits earned and arrears. The semester mark sheet, a Statement of Grades, prints for the whole batch or one student.
PLANSFrom Growth

The problem it solves

  • SGPA and CGPA are worked out in a spreadsheet, and a formula error reaches the mark sheet.
  • Nobody can say at a glance how many arrears a student carries or how many credits they have earned.
  • A student clears an arrear and the CGPA is not corrected.
  • Grace and moderation are given by hand, without a rule or a record.

How it works

  1. Pick the grade scale for each exam. "College 10-Point (UGC CBCS style)" comes ready: O, A+, A, B+, B, C, P and F below 40 %. Change it or add your university's scale.
  2. As marks are entered, each paper gets its total, grade, grade point and Passed. Every component and the total must reach its pass mark, and the grade must not be a fail grade.
  3. Before publishing, the exam cell can add moderation to a whole paper and press Apply Grace for students who failed narrowly, within your limits.
  4. Press Publish Results. Papers are locked; each student gets credits registered and earned, SGPA, CGPA, arrears and a rank in the exam.
  5. Print Mark Sheets prints the Statement of Grades for the batch, or one student's from the result. Students see the result on the portal and in the Campus app.

Everything it does

Grades and pass rules

  • Grade scales with grade, from and to %, grade point, remark and a fail grade. College 10-Point (UGC CBCS style) comes ready. O 90-100 (10), A+ 80 (9), A 70 (8), B+ 60 (7), B 50 (6), C 45 (5), P 40 (4), F below 40 (0)
  • Total = internal + practical + external (after moderation and grace) + attendance marks
  • A paper is passed when the student is present and every component reaches its pass mark. The total must also reach the paper's pass mark, and the grade must not be a fail grade
  • A failed paper earns 0 grade points even where the scale gives some
  • Result per student: Pass, Fail, Not Eligible (Attendance), Absent or Withheld

SGPA, CGPA, credits and arrears

  • SGPA = sum of credits x grade point / sum of credits over every registered credit course of the semester, failed courses counting 0
  • CGPA over the published semester end, annual and supplementary exams, with the latest attempt of each course. A pass in an arrear exam replaces the failure
  • Internal assessments do not count in CGPA
  • Credits Registered, Credits Earned and Arrears (courses not yet cleared) on each result; CGPA, arrears and total credits earned kept on the student
  • CGPA and arrears are taken again when results are published, unpublished or revalued
  • Rank within the whole exam: passed students first, then by SGPA, then by percentage; equal scores share a rank (1, 2, 2, 4)
  • With choice-based credits switched on, audit and non-credit courses stay out of SGPA and CGPA

Grace and moderation

  • Grace: Max Marks per Paper and Grace: Max Papers (1 to start with), on the exam's Rules tab
  • Grace is given only when a student fails no more papers than the limit and each shortfall is within the limit. It is exactly the shortfall, with the rule as its reason
  • Applied after every paper is submitted; running it again recalculates everyone
  • Moderation: marks added to every student's external mark of one paper, never above the external maximum. Set only by the exam cell, before the paper is locked
  • A student who failed a part of a course examined in parts is not offered grace

The Statement of Grades

  • Programme, semester, register number; per course: code, name, internal, practical, external, attendance and grace where used, total, credits, grade, grade point, result
  • Credits Registered / Earned, SGPA, CGPA, Arrears and the result
  • Signed for the Controller of Examinations with the college's signature image
  • Courses examined in parts show each part under the course

Publishing

  • Publish Results is refused while a paper is open, and names it
  • Withhold Result keeps one student's result back; a disciplinary decision can withhold it too
  • Unpublish (Group Administrator) opens mark entry again; supplementary exams of the exam must be cancelled first
  • Exam Results switch per college (on to start with) hides results in the app
  • Results Analysis: published results as a pivot and a graph

Where you use it

  • Web: Examination > Exams (Results), the exam's Rules tab, Examination > Configuration > Exams and Grades > Grade Scales, Examination > Reporting > Results and Duties > Results Analysis
  • Student portal: each published exam with percentage, grade, SGPA, and CGPA and arrears at the top; Download mark sheet
  • The Campus app: CGPA and the latest SGPA, each exam's result, marks per course and the mark sheet PDF. Built and in testing, not in the app stores yet
  • Not a transcript under that name: the semester Statement of Grades, and with choice-based credits a consolidated grade card over every semester

What you control

Settings

  • Grade scale per exam: College 10-Point (UGC CBCS style) comes ready
  • Grace: Max Marks per Paper (none until set); Grace: Max Papers 1
  • Moderation per paper: none until set
  • Exam Results in the app: on to start with

Notifications

  • Exam Results Published: to the student and parents when results are published (not for a withheld result). In the app inbox and by the first channel that reaches them (app push, WhatsApp, SMS or email), at once
  • The college can change how each event is delivered, for example on every channel

Questions

How is SGPA worked out?

Credits times grade point, added over every credit course of the semester, divided by the credits registered. A failed course counts with 0 points. This is the UGC CBCS method and is the default.

What happens to CGPA when a student clears an arrear?

CGPA takes the latest attempt of each course. When the arrear exam is published, the pass replaces the earlier failure, and CGPA and the arrear count are worked out again.

Can we use our university's grade scale?

Yes. Add a scale with your grades, bands, grade points and fail grade, and pick it on each exam. Rules the settings do not cover, such as a different CGPA formula, are separate work agreed with you.

Does the mark sheet show a rank?

No. Ranks are worked out within each exam by SGPA and shown on the results. The college mark sheet prints SGPA, CGPA, credits and arrears, not the rank.

Can grace be given to one student by hand?

No. Grace follows the rule on the exam, so every student is treated alike, and each grace mark keeps the rule as its reason. Moderation is for a whole paper.

EXAMS AND RESULTSInternal and semester exams and mark entryRun internal assessments (CIA) and semester end exams with a paper per course. Faculty enter marks on the web or in the Campus app. The internal mark can be built from the CIAs, assignments and attendance.EXAMS AND RESULTSSupplementary exams and revaluationArrears from any earlier semester are written alongside the next semester exam, with an arrear fee per paper. Dates are planned so no student has two papers at once. Students ask for revaluation, retotalling or a copy of the answer script on the portal, with their fees.CHOICE-BASED CREDITSCourse credits and programme schemesEvery subject carries a course category and credits worked out from its lecture, tutorial and practical hours. A programme scheme holds the credits to graduate, per category and per semester, and the credit summary checks each student against it.APPS AND PORTALCampus app and web portal for students and parentsStudents sign in to the Campus app or the web portal and act for themselves: attendance, timetable, assignments, results, electives, leave, certificates, placements and fees. Parents get their own login and see the same pages, view only unless you decide otherwise.EXAMS AND RESULTSValuation of answer papersAnswer scripts are valued blind by dummy number, on paper or on the screen from scans. One, two or more evaluators never see each other's marks. When marks differ too much a further evaluator or the chief examiner decides, and every mark stays on record for revaluation.
