Subject-wise attendance registers
Faculty mark each period's register on the web or on their phone, starting from all present. Students and parents see the overall percentage, each subject's figure and every absence. Exams can hold back students short of attendance, per subject or overall.
PLANSEvery plan
The problem it solves
- Paper registers are totalled at the end of the semester, so a student short in one lab is noticed a week before the exam.
- The eligibility list for the semester exam is worked out subject by subject in a spreadsheet.
- An elective register lists the whole section, and the faculty strikes out names every period.
- Parents learn about absences when the hall ticket is withheld.
How it works
- From the weekly timetable, each day's sessions are made with a register for each. A register lists the students who take that subject with that faculty member, all marked present.
- In the period, the faculty member opens the register: Today's attendance on the web, or Classes > Attendance in the Campus app. They mark the few who are Absent or Late.
- The faculty member saves, and closes the register when it is final. A closed register cannot be changed.
- At the time you set, 11:00 to start with, parents of students absent that day are told, with the periods missed.
- Students and parents open Attendance in the portal or the app: the overall percentage, each subject's percentage, and every absence with the faculty's remark.
- For each exam, the exam cell chooses No Minimum, Minimum per Subject or Minimum on Overall Attendance. Students below it are marked Not Eligible unless the shortage is condoned.
Everything it does
Registers
- One register per session (one period of a subject on one date), made each day for confirmed timetable entries
- The register lists the students enrolled in that subject with that faculty member, so an elective register holds only those who took it
- One status per student and period: present, absent or late, with a remark; late counts as attended
- No register for a future day, a holiday, or a period with no class, such as an exam day
- Student Register: every register, by date, subject, faculty and section
Who marks
- The faculty member of the period, or the faculty member covering it that day
- The principal and the administrator can open the register of any class; an HOD, of any class of the department
- Today's attendance on the web: the day's periods with their state, the day before or after, and the period going on now opened first
- In the Campus app: All present, then Absent or Late, a remark per student, Save or Save and close. Students on approved leave are flagged On leave
What students and parents see
- Overall: percentage present, periods attended, absent and late, from the start of the academic year
- By subject: periods attended of the total, with the percentage
- Absences and late arrivals: date, period, subject and the faculty's remark
- Special days, such as an NSS camp, with a note when a day does not count in the percentage
- A warning line when the overall figure is below the college's level, 75 % to start with
Attendance and exams
- Attendance Eligibility per exam: No Minimum (the default), Minimum per Subject or Minimum on Overall Attendance
- Minimum Attendance: 75 % to start with
- Per subject, a short student is Not Eligible (Attendance) for that subject's paper only
- The exam cell can condone a shortage with a reason
- Where set, an attendance-shortage fine by slabs; paying it condones the shortage, as set
- Attendance per subject can feed the attendance marks of internal assessment
For the office, HODs and the principal
- Attendances: every line of every session, by student, date and status
- A ready-made Attendances dashboard: present, absent and late today, absences, absences by day, present and absent
Who uses it
FacultyMarks and closes the register of their own periods, on the web or in the app.
Head of departmentOpens any register of the department's classes and watches attendance.
Exam cellSets the attendance minimum per exam and condones shortages.
StudentSees their overall and subject-wise attendance and every absence.
ParentSees the same and gets the day's absence alert.
Where you use it
- Web: Attendances > Today's attendance and Attendances; Timetable > Student Register and Session
- The Campus app, staff view: Classes > Attendance. The app is built and in testing, not in the app stores yet
- The Campus app and the portal for students and parents: Attendance
- Not a biometric or RFID gate attendance: registers are marked by the faculty, or by face on the faculty's phone
What you control
Settings
- Send Absence Alerts At: 11:00 to start with, the college's local time
- Low Attendance Below (%): 75 to start with, checked on Mondays
- Warn Parents Below (%): 75 to start with, the warning on the attendance page
- Attendance Eligibility and Minimum Attendance (%): per exam; No Minimum and 75 to start with
- Class Attendance shown in the portal and app: on to start with, per institution
Notifications
- Absent Today: to the father, mother and guardian once a day at the alert time, with the periods missed. It goes by app notification plus the first of WhatsApp, SMS or email that works, and in-app. Transactional: only a channel can be switched off
- Low Attendance: on Mondays, to the parents of students whose overall attendance is below the level, by the same channels. It waits for quiet hours, and parents can switch it off
- Neither message goes to the student; students see their attendance in the app and the portal
- SMS and WhatsApp use paid message credits; the app notification and email do not
Questions
Does an elective register list the whole section?
No. A register lists the students enrolled in that subject with that faculty member. Students who did not take the elective are not on it.Can we bar students short in one subject from that paper only?
Yes. Set the exam's Attendance Eligibility to Minimum per Subject. A short student is Not Eligible for that subject's paper and sits the others, unless the exam cell condones the shortage.Does approved leave count as present?
No. The faculty sees the student as On leave, but the period counts as the faculty marks it. Shortages are handled by condonation. Are students told when they are marked absent?
Not by message. The day's absence alert goes to the parents. Students see every absence in the Attendance page of the app and the portal. Can a faculty member change a register next week?
Only while it is open. Once it is closed, nobody can change it, so check before closing.Related features
ATTENDANCE AND LEAVEAttendance by face from the faculty's phoneIn the period, the faculty member's own phone recognises the class, one by one or in a class photo. It ticks them present for the faculty to check. Students of 18 or more give consent themselves, parents for younger ones; the office enrols the face, and no photo is kept.ATTENDANCE AND LEAVEStudent leave, approved in stepsStudents apply for leave themselves in the Campus app or the portal, for whole days or half a day. The class teacher and then the head of department approve or reject it with a reason. The principal can be added for the leave types you choose.TIMETABLE, ASSIGNMENTS, NOTICESWeekly timetable and holidaysSet the periods of the day, the holidays and each programme's weekly timetable once. Faculty, students and parents see the same week, with each student's elective periods added. Every day's lectures and attendance registers are made from it.EXAMS AND RESULTSHall tickets, held for dues or debarmentHall tickets are printed for the whole semester or one student, and students download them from the portal. A student who owes fees, is short of attendance or is debarred gets no hall ticket until the reason is cleared.EXAMS AND RESULTSInternal and semester exams and mark entryRun internal assessments (CIA) and semester end exams with a paper per course. Faculty enter marks on the web or in the Campus app. The internal mark can be built from the CIAs, assignments and attendance.APPS AND PORTALFaculty view in the appThe faculty view of the Campus app puts the day on the phone: today's lectures and registers, assignments, marks, student leave and exam duties. The same app runs the library counter and the activity instructor's sessions, and each person sees only the pages their role allows.
