Exam sittings and subjects examined in parts

Forenoon and afternoon sittings, a rule for what happens to classes on exam days, and periods taken by an exam counted in nobody's attendance. A course can be examined in parts, such as theory, practical and viva on different dates, with the marks merged into one result.
PLANSFrom Growth

The problem it solves

  • Faculty take attendance in periods while half the class writes a paper, and the absences pull attendance below 75 %.
  • Every department decides on its own whether classes run on exam days.
  • The practical, the theory paper and the viva are three marks someone adds in a spreadsheet.
  • A student absent for the viva is failed in the whole course, or passed, depending on who adds it up.

How it works

  1. Set your sittings once under Examination > Configuration > Exams and Grades > Sittings, for example Forenoon 9:30 to 12:30 and Afternoon 2:00 to 5:00. A paper given a sitting takes its times.
  2. Choose what happens to classes on exam days: no change, classes in the other periods, classes only after the exam, or no classes. Set it on the programme, semester or exam.
  3. Once the exam is scheduled, periods taken by a paper become Exam sessions with no register. Students writing a paper are left out of any class still held.
  4. For a course examined in parts, add the parts on the paper: Theory, Practical, Viva, Project or Other. Each has its date, sitting, room, evaluator and maximum.
  5. Faculty enter the marks of each part under Mark Entry by Part. The parts are merged into the course by adding, weighting or best of, and the pass rule you chose is applied.

Everything it does

Sittings

  • Name, from and to; for one college or shared with the group
  • A paper or a part given a sitting takes its times, which can still be typed

Classes on exam days

  • Classes on Exam Days: No change (the default), Classes in the other periods, Classes only after the exam, No classes on an exam day
  • Set on the programme, on the semester, or on one exam, which wins; In Force on the exam shows which rule applies
  • Free Before a Paper and Free After a Paper, in minutes, also drop the periods just before or after
  • A dropped period becomes an Exam session with the paper on it: no register, not closed, so not counted as a lecture
  • Register lines of students in an exam are marked In exam and left out of the attendance %, absence alerts, the portal and the dashboard
  • A paper moved, the exam put back to draft or cancelled: the periods come back by themselves. A period whose attendance was taken is never changed and is listed in the exam's history
  • Students see In place of class on the portal and app timetable; the faculty app shows Exam and opens no register

A course examined in parts

  • Parts of a paper: Theory, Practical, Viva, Project, Other, each with its date, time, room, evaluator and maximum
  • Parts as dates only with one mark for the course, or Marks per Part. With Marks per Part, each part counts as internal, practical or external with its own attendance
  • Merged by adding, weighted (each part scaled to its marks) or best N
  • Pass on the course, or also in each part that has a pass mark; grace is not offered to a student who failed a part
  • Absent in one part: the parts written count, or absent for the whole course, chosen per paper
  • Usual parts kept on the course, so each new paper starts with them
  • In an arrear exam, the parts already passed are carried over
  • Each part's room is booked like the paper's own. Students see the parts under the course, for example "Theory 52 / 70 · Practical 24 / 30"

Who uses it

Controller of examinations (exam cell)Sets sittings and the rule for classes, adds parts to papers and merges their marks.
FacultyEnter the marks of the part they evaluate, and see Exam on their timetable instead of a class.
Heads of departmentAgree the class rule for their programmes in exam weeks.
StudentsSee the exam in place of class on the timetable, and the marks of each part under the course.

Where you use it

  • Web: Examination > Configuration > Exams and Grades > Sittings, and Examination > Exams > Marks > Mark Entry by Part. Classes on Exam Days is on the programme, the semester and the exam
  • The Campus app, faculty view: Exam in place of a class, and a column per part in mark entry. Built and in testing, not in the app stores yet
  • Student portal and the Campus app: In place of class on the timetable, and parts under the course in results

What you control

Settings

  • Sittings: none until you add them
  • Classes on Exam Days: No change, on the programme, semester or exam
  • Free Before a Paper and Free After a Paper: 0 minutes unless set
  • Per paper in parts: how parts merge, whether each part must be passed, and what absence in one part means

Questions

Will students be marked absent in class while they write a paper?

No. Periods taken by a paper become Exam sessions with no register. Where a class is held while some students write, those students are left out of its attendance %.

Can the practical be held a week before the theory paper?

Yes. Give the paper a Practical part and a Theory part, each with its own date, room and evaluator. The marks are merged into the course.

Must a student pass the practical and the theory separately?

You choose per paper: pass on the course total, or also in each part that has a pass mark.

What if a student misses the viva?

You choose per paper: count the parts written, or treat the student as absent for the whole course.
