Hall tickets, held for dues or debarment

Hall tickets are printed for the whole semester or one student, and students download them from the portal. A student who owes fees, is short of attendance or is debarred gets no hall ticket until the reason is cleared.
PLANSFrom Growth

The problem it solves

  • Hall tickets go to students who owe fees, and the accounts office chases them after the results.
  • A student debarred by the discipline committee still collects a hall ticket from the exam cell.
  • The exam cell checks attendance and dues lists by hand the night before the exam.
  • Students queue at the exam cell to collect a printed hall ticket.

How it works

  1. On the exam's Fees tab, decide what holds a hall ticket: the exam fee, overdue fees after some grace days, or neither. Hall Ticket After Exam Fee is on to start with.
  2. Set the attendance rule on the exam: no minimum, a minimum per subject or a minimum on overall attendance, 75 % to start with.
  3. Press Schedule. Students are registered, exam fees are raised, and every student whose hall ticket is ready is told at once.
  4. Students download the hall ticket from the portal. The exam cell presses Print Hall Tickets for the batch, or Print Hall Ticket on one student's result. Students on hold are left out.
  5. When a student pays the exam fee, the hall ticket is released and the student is told. The accounts office can let one student through a fee hold, and the exam cell can condone a shortage.

Everything it does

What holds a hall ticket

  • Hold Hall Ticket ticked on the student's result by the exam cell
  • Not eligible for attendance in every paper (overall rule) or in all papers (per-subject rule)
  • The exam fee unpaid, while Hall Ticket After Exam Fee is on
  • Overdue fees, when Hall Ticket and Fee Dues is set to Withhold for overdue fees. A due counts once it is overdue by more than the Grace Days (0 to start with)
  • A debarment decided in a discipline case that covers the exam's first day, or names this exam
  • For distance and online programmes: contact-class attendance short, where the contact programme's rule set holds hall tickets and the shortage is not condoned

Letting a student through

  • The accounts office gives a block override for the hall ticket, until a date
  • Dues a sponsor pays do not count against the student
  • The exam cell condones an attendance shortage per paper or overall, with a reason
  • Paying the attendance-shortage fine condones the shortage when Paying Condones is on

The hall ticket

  • Exam name, student's name and photo, register number, semester and section, exam dates
  • One line per paper: date, time, course code, course, room, and a column for the invigilator's sign
  • The hall and seat once students are placed in halls
  • The exam centre with its address and the university registration number, where modes of study are in use
  • Papers the student is not eligible for are listed under Not eligible (attendance)
  • Instructions for candidates from the exam; signature of the candidate and of the Controller of Examinations

Where the reasons show

  • On each result: Exam Fee (No Fee, Unpaid or Paid), Overdue Fees with the amount, Papers Not Eligible, Contact Classes Short
  • Not Eligible List on the exam
  • The portal shows the download only when the hall ticket is ready

Who uses it

Controller of examinations (exam cell)Sets the rules, schedules the exam, prints hall tickets, holds one or condones a shortage.
Accounts officeCollects the exam fee and dues, and gives a block override to let one student through.
Discipline committeeDecides a debarment, which keeps the hall ticket back for the exams it covers.
PrincipalAgrees exceptions and follows who is held back and why.
StudentsPay the fee, download the hall ticket from the portal and see why it is held.

Where you use it

  • Web: the exam's Fees tab and its Print Hall Tickets and Not Eligible List buttons; Examination > Exams > Results > Results for one student
  • Student portal: Exam Schedule and Results, with "Hall ticket available" and the download
  • Not in the Campus app: the hall ticket is downloaded from the portal, which opens in the phone's browser

What you control

Settings

  • Hall Ticket After Exam Fee: on
  • Hall Ticket and Fee Dues: Ignore fee dues to start with, or Withhold for overdue fees; Grace Days 0
  • Attendance Eligibility: No Minimum to start with; Minimum Attendance 75 %
  • Signature image of the college: printed for the Controller of Examinations

Approvals

  • Discipline cases are decided through the discipline committee; fee holds are let through by the accounts office, not by an approval chain

Notifications

  • Hall Ticket Available: to the student and parents when the exam is scheduled (students whose hall ticket is ready). Also when an unpaid exam fee is paid. In the app inbox and by the first channel that reaches them (app push, WhatsApp, SMS or email), at once
  • Attendance Shortage for Exam: to the student and parents when the exam is scheduled and the student is short for one or more papers. Sent the same way
  • No notice is sent when a hall ticket is released by a block override or a condonation; the portal shows it at once

Questions

Can we hold hall tickets for unpaid tuition fees, not only the exam fee?

Yes. Choose Withhold for overdue fees on the exam's Fees tab, with grace days if you like. Every overdue due of the student counts, except dues a sponsor pays.

How do we let one student write the exam?

The accounts office gives a block override for the hall ticket, until a date. For attendance, the exam cell condones the shortage with a reason. The hall ticket is then printed and downloadable.

Does a debarred student get a hall ticket?

No. A debarment decided in a discipline case holds the hall ticket. It covers every exam starting in its period, or the one exam it names.

Do students collect a printed hall ticket?

They need not. Students download it from the portal once it is ready. The exam cell can still print the whole batch.

Is the hall ticket in the Campus app?

Not yet. The app shows results and marks; the hall ticket is downloaded from the portal, which works in the phone's browser.
