Residents' vehicles and parking slots

The office sets up parking slots by tower, level and zone and allots them to flats. Residents add their own vehicles and park each one in one of their flat's slots. The guard sees whose vehicle it is and its slot.
PLANSFrom Growth

The problem it solves

  • A car is parked in someone else's slot, and nobody at the gate knows whose it is.
  • The slot list lives in a spreadsheet with the secretary, and it is wrong after every resale.
  • A family buys a second car and parks it wherever there is room.
  • A resident loses the vehicle sticker, and the guard still waves through any car that shows one.

How it works

  1. The office adds Parking Levels (Basement 1, Stilt) and Parking Zones (East wing, Visitor bay) under Visitors > Configuration, if it wants them.
  2. Under Parking Slots it clicks Add Slots in Bulk: a prefix such as B2- and a range, 1 to 80, gives B2-01 to B2-80.
  3. On the flat's Parking tab, the office adds the slots allotted to that flat.
  4. On Vehicles, in the portal or the Resident app, the resident adds the number, type, make, colour, owner and one of the flat's slots.
  5. The resident can move a vehicle to another of the flat's slots, report a lost tag, or remove the vehicle.
  6. The guard types a number on the Vehicles page and sees the flat, the owner and the slot.

Everything it does

Parking slots

  • Slot No. as painted on the floor (B2-37), unique in the society
  • Tower / Block (empty for common parking), Level and Zone; Where shows tower, level and zone together
  • Type: Car (to start with), Bike / Scooter, EV (charging), Visitor or Other
  • Covered: on to start with; Capacity: 1 to start with, for example 2 bikes in one bike slot
  • Status: Free, Allotted or Visitor Parking; visitor slots are never allotted to a flat
  • Add Slots in Bulk: prefix, From, To and Digits (2 gives 01, 02); up to 2,000 at a time; numbers already used are skipped
  • Filters Free, Allotted, Visitor parking; group by tower, level, zone, type or flat
  • Levels show their slots and how many are free

Allotting

  • A flat can have any number of slots, added on the flat's Parking tab
  • Release takes a slot back; the flat's vehicles leave that slot
  • Allotting a slot to another flat takes the old flat's vehicles out of it
  • Every change to a slot is kept in its history

Residents' vehicles

  • Vehicle number (kept in capitals), Type (Car, Bike / Scooter, Cycle, Other), Make / Model, Colour and Owner (a member of the flat)
  • Parking slot: only one of the flat's own slots, and only while it has room
  • Tag: No Tag, Tag Active or Tag Lost; the resident can report a lost tag, the office sets the tag
  • Your parking slots at the top of the page: each slot, where it is, covered or open, and the vehicles in it or Free
  • Remove takes the vehicle off the list; it is archived, not deleted

For the office

  • Visitors > Residents > Homes and People > Vehicles: number, flat, type, make, colour, parking, owner and tag
  • Filter Tag lost; group by Type; archived vehicles stay findable
  • Office users can read the lists; users with manager access add and change them

Where you use it

  • Web: Visitors > Configuration > Buildings and Parking > Parking Slots, Parking Levels and Parking Zones (office managers)
  • Web: the flat's Parking tab, and Visitors > Residents > Homes and People > Vehicles
  • Resident portal: Vehicles, under the flat's pages
  • The SmartMy Society Resident app: Household > Vehicles (built and in testing, not in the app stores yet)
  • Guard page and the SmartMy Society Guard app: Vehicles
  • Not connected to tag readers, number-plate cameras or boom barriers: the tag status is a record for the office and the guard

What you control

Settings

  • Slot type: Car to start with; Covered: on; Capacity: 1
  • Bulk add: From 1, To 20 and Digits 2 to start with
  • Levels per tower, or shared by all towers; zones per level, or on every level

Notifications

Questions

Can a resident park in any free slot?

No. A vehicle can only be put in a slot allotted to its own flat, and only while that slot has room for it.

We have 400 slots. Do we type each one?

No. Add Slots in Bulk makes up to 2,000 at a time from a prefix and a number range. Numbers already used are skipped.

What happens when a flat is sold?

Release its slots, or allot them to the new flat. Vehicles of the old flat leave the slot by themselves.

Does Report lost tag alert the office?

It marks the vehicle Tag lost for the office and the guard and notes it in the vehicle's history. No message is sent; the office checks the Tag lost filter.

Can the boom barrier open for residents' cars?

Not yet. Tag readers, number-plate cameras and boom barriers are not connected. The guard checks the vehicle on the Vehicles page.
