Vehicle look-up and number plates read from a photo

The guard types a vehicle number, or only its last digits, and sees whose it is. It shows the flat, the owner, the parking slot and a lost tag, with a Call button. In the Guard app the number is read from a photo of the plate.
PLANSFrom Growth

The problem it solves

  • A car blocks the driveway at 7 am, and the guard walks every tower asking whose it is.
  • A visitor's car stays in the visitor bay overnight, and nobody can say which flat they came to.
  • Guards copy number plates by hand into the register and get them wrong.

How it works

  1. The guard opens Vehicles on the guard page or in the Guard app.
  2. Under Whose vehicle is this?, the guard types the number or its last digits, at least 3, and presses Find. In the app, Scan plate reads the number from a photo.
  3. A resident's vehicle shows the flat and family, the owner, make, colour and Parking with the slot; Tag lost shows in red.
  4. Call opens the phone's dialler with the flat's main mobile number.
  5. The last visits with that number show too, with the flat visited, so a visitor's car can be traced.
  6. For a visitor, the guard types or scans the vehicle number on the walk-in form. On the way out, typing the number in the gate box finds the visit to check out.

Everything it does

Whose vehicle is this

  • Search by any part of the number, at least 3 letters or digits; spaces and dashes do not matter
  • Registered here: up to 10 residents' vehicles with number, type, owner, flat and family, make, colour, parking slot and Tag lost
  • Not registered: Not a registered vehicle of the site
  • Visits with this vehicle: the last 10 visits with that number, with the flat and the time in and out
  • Vehicles inside: the visitor vehicles inside now, newest first, up to 200

Reading the plate (Guard app)

  • Scan plate on the Vehicles page and on the walk-in form: the back camera, then text recognition on the phone itself
  • It picks the most plate-like text: Indian state series, BH series, or any 6 to 11 letters and digits
  • The guard confirms or corrects the number; the photo is kept as the visit's vehicle photo
  • Uses no AI credits, and no number-plate camera is needed
  • On the guard page in a browser the number is typed

Visitors' vehicles

  • Vehicle number on every visit, kept in one form: capitals and digits without spaces, such as KA05XY7788
  • Vehicle photo on the walk-in form
  • A returning visitor's last vehicle number fills in when the guard types their mobile
  • Check-out by vehicle number from the box on the Gate page

Who uses it

GuardFinds whose vehicle it is, calls the flat, and records visitors' vehicles at the gate.
Society officeKeeps the residents' vehicles and slots right, so the look-up shows the right flat.
ResidentAdds the family's vehicles, so the guard can reach the flat when one blocks the way.

Where you use it

  • Guard page at /guard: Vehicles, and the vehicle fields on Walk-in
  • The SmartMy Society Guard app: Vehicles and Walk-in, with Scan plate (built and in testing, not in the app stores yet)
  • Not a fixed number-plate camera or a boom barrier: neither is connected
  • Not plate reading in the browser: Scan plate is in the Guard app only

What you control

Settings

  • Residents' vehicles and parking slots: kept by the office and the residents
  • Photo retention: visitor and vehicle photos of finished visits removed after the days you set (0, never, to start with)

Questions

Does the guard need the full number?

No. The last digits are enough, at least 3 letters or digits. Every match is listed, up to 10 residents' vehicles.

Does the guard see the parking slot?

Yes. A resident's vehicle shows Parking with its slot and where it is, when the resident or the office has put it in a slot.

Is the plate read by a camera at the gate?

No. The guard takes a photo with the Guard app, the phone reads the number, and the guard confirms it. Fixed number-plate cameras are not connected.

Does reading the plate send the photo anywhere?

The text is read on the phone itself. The photo is then saved on the visit as the vehicle photo.

Which plan has this?

The vehicle look-up, the vehicle photo and Scan plate come with Growth.
