Guard app and guard web page
One screen shows the guard who is expected, waiting for a flat's answer, inside or pre-approved, and which children wait for a parent. It runs in any browser at /guard and as the SmartMy Society Guard app.
PLANSEvery plan
The guard page in the browser is built. The SmartMy Society Guard app is built and in testing, not in the app stores yet.
The problem it solves
- The guard writes every visitor in a register and rings the intercom, while a queue of delivery riders builds up at the gate.
- Nobody at the gate can say who is still inside, or which cab the flat in B tower said to expect.
- A child walks out of the gate and the parents hear about it hours later.
- The night guard does not know that the barrier sticks or that a mover is due at seven.
How it works
- The guard signs in at your address ending in /guard, or in the Guard app, and picks the gate. The device remembers the gate.
- A guest with a pass shows the QR or says the six-digit code. The guard scans or types it, presses Go, sees Pass valid with the flat, and presses Let In.
- A visitor without a pass is registered with + Walk-in: mobile first, so a returning visitor fills in, then the flat. The card waits under Waiting while the flat is asked.
- The flat answers on the phone, or the guard calls the intercom and records the answer. It is Let In, Leave at Gate, Coming Down, Escort or Not Allowed.
- The tiles show the counts: Expected, Waiting, Inside, Gone Out, Pre-approved, Going Out and Asking Parents. Each card has Details and one main button.
- When the visitor leaves, the guard presses Check Out, scans the badge QR, or types the gate pass or vehicle number. The flat is told.
Everything it does
The Gate page
- One box for a QR, a six-digit passcode, a mobile number or a name. Scan QR opens the camera, and a hand-held scanner types into the box
- Buttons + Walk-in and + Parcel, and Emergency and + Vehicle where your plan has them
- Tiles: Expected, Waiting, Inside, Gone Out (today), Pre-approved (today's cabs, deliveries, services), Going Out (exit passes) and Asking Parents
- Visitor cards with the name, kind, flat and time, and badges such as Waiting n min, no reply, Not verified, Overstay and Blacklisted
- A details panel with the flat's intercom extension and the contact's phone number, so the guard can call
- Gate activity: what happened at this gate today, newest first
- Refreshes by itself every 15 seconds, and every 4 seconds while someone waits for an answer
Society answers at the gate
- Five answers: Let In, Leave at Gate (logged as a parcel for the flat), Coming Down, Escort (Start Escort, Escort Done) and Not Allowed
- When the flat does not answer in time, the card says no reply. Your rule sends it to the office, or lets the guard decide after calling
- Daily help shows the flats that expect them today and their hours, for example Maid, A-1204, expected 07:00 to 09:00
- Leaving is never refused
Pages for a society
- Walk-in: mobile first. A known visitor is found with their name, photo and the flat they last came to. The flat is picked from a list of your flats
- Pre-approvals: today's cabs, deliveries, services and always-allowed rules, with the flat, the time window and how many times they came in; filters Cabs, Deliveries, Services
- Going out: a child who wants to leave is tapped; Send to the parents, or Log going out for an older child allowed out alone
- Children: every registered child, with All, Out now and Inside; a child late back is marked
- Visitor history: search by name, mobile, vehicle, company or flat
- Lost and found, Alerts & panic, Gate problems with SmartMy Desk; Parcels, Vehicles, Shift handover, Incidents, Patrol, Messages and Emergencies where your plan has them
- A page shows only when it is in your plan and the guard's login has access
Who sees what
- A guard sees the visits of the gates they are in charge of, and everyone who is inside
- The society office (reception access) sees every gate and has the same screen in the back office under Visitors > Gate > Gate Screen
- The Guards list on Alerts & panic shows who is on duty: the screen or app was open in the last 15 minutes
The Guard app
- SmartMy Society Guard for Android and iPhone, the same pages arranged for a phone
- Opens on the gate console; the other pages sit in the Menu: Gate, Residents (Going out, Children, Pre-approvals, Messages), Goods Vehicles and Patrolling where used
- A number next to a page shows what waits there: visitors, open alerts, unread handover notes, unread messages
- The camera scans QR codes and reads a vehicle number plate from a photo. NFC reads daily help cards and patrol tags where your society uses them
- Calls to a flat or another guard open the phone's dialler; Print badge opens the PDF in the phone's print or share sheet
- Push notifications are built in and start once your app is set up with the notification service
Who uses it
GuardLets visitors, daily help and children in and out, registers walk-ins, records the flat's answer and works the pages of their gate.
Society officeWorks every gate from the back office gate screen, decides when a flat does not answer, and gives guards their gates.
Facility managerSets up the gates, names the guards in charge of each, and gives each guard's login Guard access.
ResidentAnswers the guard's request on the phone; sees who came in and left.
Where you use it
- Web: the guard page at /guard on any computer, tablet or phone browser
- Web: Visitors > Gate > Gate Screen in the back office, for the society office
- The SmartMy Society Guard app: the same pages on Android or iPhone (built and in testing, not in the app stores yet)
- Not a fixed console: any device with a browser and a camera works; a hand-held scanner works too
What you control
Settings
- Gates: name, short code, kind (Main Gate, Pedestrian Gate, Vehicle Gate or a reception desk) and the Guards in Charge
- Guard access: Visitor Management set to Guard on the user's form
- How long the flat has to answer, and what happens then: the office decides, or the guard decides after calling
- Daily Help Only in Their Hours: off to start with; Grace (minutes) around the hours
- Auto Check-out Time: 21:00 to start with
- Maximum Stay (hours) per visitor type, for the Overstay badge
Approvals
- Visitor at the gate: the walk-in goes to the flat's residents who may approve visitors. The first answer counts, and the guard sees it on the card
Notifications
- Flat: Visitor Waiting for Approval: to the flat's residents who may approve. By app push and the first of WhatsApp or SMS that reaches them, and in-app
- Flat: Visitor In / Out: to the flat's residents when the visitor comes in or leaves, or how a waiting visitor was answered. By app push, WhatsApp, SMS, email and in-app
- Visitor Asks for a Call: to the gate's guards when a kiosk visitor presses Ask guard to call on intercom. By app push, SMS and in-app
- Security Alert (Panic): to the guards and the office, by app push, SMS and in-app
- WhatsApp and SMS use paid message credits; in-app notices always arrive

VISITORS AT THE GATEWalk-in visitors approved by the flatThe guard registers a visitor without a pass for a flat. Every resident of that flat who approves visitors is asked on their phone. The first answer wins, with five answers to choose from. If nobody answers, the guard or the office decides and the flat is told who did.VISITORS AT THE GATEIntercom answers and a timed walk to the flatMany residents still answer the gate on the intercom. The guard records what the flat said on the same visit, with their own name, so the record is complete. When the flat asks for security to bring the visitor up, the guard starts and ends the escort on the card. Both times are kept.GUESTS AND PRE-APPROVALPre-approved cabs, deliveries and service visitsA resident tells the gate in advance to let in a cab, a delivery or a service visit. It holds once, for a time window, or always for a company. The guard lets them straight in, and a frequent guest can be allowed always in one tap.PARCELS AND CHILDRENChildren going out, with parent approval and exit passesA child who is not allowed out alone waits at the gate until a parent says yes on the phone. Parents can make an exit pass in advance, alone or with someone, with a time to be back and a call first. The flat is told when the child goes out, comes back or is late.GATE, GUARDS AND KIOSKGuard panic alertA guard holds one button for Panic, Assist, Medical, Fire, Intruder or Other. Every other guard of the society and the office are alerted at once, and the guard sees who is coming.GATE, GUARDS AND KIOSKVisitor kiosk that asks for the flatA tablet at the society gate where visitors check themselves in. They scan a guest pass, or pick the tower and type the flat number. The family approves on the phone while the guard deals with the next car.
