Promotions, happy hours and coupon codes

Set up an offer once and the counter applies it by itself when the cart fits. It can be a % off, an amount off each unit, buy X get Y free, or another product free or cheaper. Or mix and match, a bundle price or a bill over an amount. Limit it to dates, weekdays, hours, registers, products, customer tags or a coupon code. A branch can have promotions approved through an approval chain first.

The problem it solves

  • Each cashier remembers the weekend offer differently, or forgets it.
  • A happy hour discount is typed by hand and given after the hour ends.
  • Discounts given for an offer cannot be told apart from cashiers' own discounts.
  • A branch manager starts a deep offer that head office never agreed to.

How it works

  1. The POS Administrator opens Point of Sale > Configuration > Products and Offers > Promotions, clicks New, names the offer and chooses its kind and value.
  2. Under When, set From and Until, the Hours (for example 16:00 to 19:00, store local time) and untick the weekdays it does not run.
  3. On Applies To, choose products or POS categories, registers and customer tags. Empty means every product that may be discounted, every register, everyone.
  4. Save. To start with the promotion is approved at once. Where the branch's Promotion chain asks for approval, it stays Draft until its approvers decide.
  5. At the counter, a line that fits shows a badge with the promotion's name. Free units get a line of their own, and You save includes the offer. The cashier does nothing.
  6. Close ends a promotion now. Back to Draft changes it and sends it for approval again.

Everything it does

Kinds of offer

  • % Discount on each product of the promotion
  • Amount Off per Unit, at most the unit's price
  • Buy X Get Y Free: with Buy 2 and Get Free 1, every third unit of the same product is free
  • Buy X, Get Another Product: a reward product free (added by itself) or at a Reward Discount (%)
  • Mix and Match: buy any X of the promotion's products, get Y of them free, the cheapest first
  • Bundle Price: a set number of units, mixed or the same, for one price, taxes included
  • Spend Over an Amount: from a bill amount, a % off the bill, an amount off the bill or a free product

How promotions combine

  • On one line, the promotion that saves the customer most is used; on a tie, the first in the list order
  • A discount typed by the cashier on a line replaces the promotion on that line
  • No supervisor is needed, whatever the %, and it does not count against the cashier's discount limit
  • Hints tell the cashier when the customer is one unit short of a free one or a bundle, or close to the bill amount

Coupon codes and customer tags

  • A promotion with Coupon Code runs only when the order carries that code
  • Today the code is typed on a back-office order; the selling screen in the browser and the app have no field for it
  • A promotion with Customer Tags (members, staff, students) needs the customer chosen at the counter

Approval and reports

  • Statuses: Draft, Approved, Closed; only approved promotions run
  • The Promotion chain of each Entity starts as Approved at Once; untick it and set levels, the POS managers to start with
  • Discounts by Cashier with the filter Promotions shows what promotions gave, grouped by promotion

Who uses it

POS AdministratorCreates promotions and sets their order.
POS managerApproves promotions where the chain asks for it, and closes them.
CashierSells; the counter applies the offer and shows it on the line.

Where you use it

  • Web: Point of Sale > Configuration > Products and Offers > Promotions with the filter To Approve. The badge and hints on the selling screen; Coupon Code on a back-office order
  • The SmartMy POS app: promotions priced on the device, also without signal. Managers approve promotions in the app's Approvals. It is built and in testing, not in the app stores yet
  • Not built: a coupon code field on the selling screen or in the app, single-use coupons, and sending offers to customers

What you control

Settings

  • Weekdays: all ticked; Hours: 00:00 to 24:00; From and Until: empty
  • Buy 2, Get Free 1; Bundle Of 3; Reward Quantity 1; Reward Discount 100 %
  • Promotion chain: Approved at Once

Approvals

  • Promotion: each new promotion, or one put Back to Draft, where the Entity's chain is not Approved at Once. The POS managers decide to start with; several levels are possible

Notifications

  • Request Waits for Your Approval: to the approvers of the level a promotion waits at. It goes as a phone notification, else by email, and always in the app

Questions

Can we run a happy hour from 4 to 7 on weekdays?

Yes. Set Hours 16:00 to 19:00 and untick Saturday and Sunday. The time is the store's local time.

Can a cashier type a coupon code at the counter?

Not yet. A coupon promotion applies when the code is typed on a back-office order.

Can head office approve branch offers before they run?

Yes. Untick Approved at Once on the branch's Promotion chain and set the approvers. Draft promotions wait until the last level approves.

Does the app apply promotions without signal?

Yes, from the copy on the device. The server works the figures out again when the sale is sent.
