Loyalty points for paying customers

Each store runs one points programme. Customers earn whole points on what they buy. They use them as a discount at the counter, in the browser, the app or the back office. Refunds take points back, and every movement is kept in a ledger that cannot be changed.
PLANSScale only

The problem it solves

  • Regular customers get nothing for coming back, so they try the shop next door.
  • A paper stamp card is lost, or stamped twice by a friendly cashier.
  • A customer returns goods but keeps the points they earned on them.
  • Points given away are never seen in the books until they are used.

How it works

  1. The POS Administrator creates the store's programme under Point of Sale > Configuration > Products and Offers > Loyalty Programme. It has points per 1.00 spent, value of a point and a minimum to redeem.
  2. The cashier chooses the customer before payment. The walk-in customer earns nothing.
  3. When the sale is paid, points are added on the lines that earn, taxes included, after discounts. The receipt shows points earned, used and the new balance.
  4. To redeem, the cashier types the points under the cart (browser), on the Pay screen (app) or with Redeem Points (back office). A Loyalty reward line takes the value off the bill.
  5. A refund takes back the points the refunded part earned, and gives back points that were used on it.

Everything it does

Programme settings

  • Points per 1.00 Spent: 0.01 to start with, one point for every 100
  • Value of a Point: 1.00 to start with
  • Minimum Points to Redeem: 0 (no minimum)
  • Products That Earn and Categories That Earn: empty means every product
  • Gift cards and the reward line never earn points
  • One programme per store; a second one is refused; archive it to stop

Redeeming

  • Not more than the customer's balance, not below the minimum, not worth more than the bill
  • The balance is checked again at payment, in case the points were used at another counter
  • The reward line has no tax and cannot be discounted
  • No supervisor is needed
  • The app checks the points on the device; the server checks them again when the sale is sent

Ledger

  • Point of Sale > Reports > Loyalty Points: date, customer, order, kind, on amount and points
  • Kinds: Earned, Redeemed, Taken Back (Refund), Given Back (Refund)
  • Lines cannot be changed or deleted; the balance also shows on the customer's form as Loyalty Points

Accounting

  • Points Are a Liability: off to start with; redeemed points then simply lower the income
  • When ticked, the value of points earned moves from Income Deferred From to Loyalty Points Owed in the session entry. Redeemed points use that liability

Where you use it

  • Web: Redeem points under the cart of the selling screen, and Redeem Points on a back-office order. Point of Sale > Configuration > Products and Offers > Loyalty Programme; Point of Sale > Reports > Loyalty Points
  • The SmartMy POS app: points next to the customer and Loyalty points on the Pay screen. It is built and in testing, not in the app stores yet
  • Not built: points that expire, and tiers such as silver or gold. Nor a customer portal or app to see one's points, or messages to customers about points
  • Not shared between stores: each store has its own programme and balances

The deposit pays a later sale or a confirmed invoice of the same customer, in one go or in parts. What is left can be paid back, in part or in full, with a reason and a supervisor's approval.SELLINGFind or add the customer at the counterFind a customer by typing two letters of the name or digits of the mobile number. Or add a new one with just a name and a phone. Without a customer the sale goes to the register's walk-in customer.STOCK AND ACCOUNTINGOne accounting entry per sessionWhen a session is closed, one balanced journal entry is posted for all its sales that have no invoice. It holds income per account, taxes with their tax report lines and money per payment method. It also holds rounding, cash moves and the cash difference.
