The counter inside Garage and Facility

A workshop selling accessories and a club selling at its pro shop or cafe use the same SmartMy counter, inside SmartMy Garage or SmartMy Facility. Garage staff can put counter items on a waiting customer's job card. Front desk staff can charge a sale to a booking in progress, and members can put it on their account.

The problem it solves

  • Counter sales at the workshop never reach the job card, so the customer pays twice or not at all.
  • Advances for a job are kept on paper slips.
  • A member at the club cafe wants to "put it on my account", and the front desk writes it down.
  • Staff carry one app for job cards or bookings and another for the counter.

How it works

  1. Garage: open Garage > Counter > Registers, open a session and sell. Service advisors are cashiers; workshop managers are supervisors.
  2. To put items on a job card, make the order without taking payment and click Add to Job Card. Type the vehicle's Plate and choose the job card.
  3. The items go on the job card at counter prices and are paid on its invoice. The counter order is cancelled and stays linked both ways.
  4. Facility: open Facilities > Counter > Registers and sell. To charge a booking, make the order without payment, click Add to Booking and choose the booking.
  5. The sale is charged to whoever the booking is invoiced to, with an invoice of its own to pay later. Members with an active membership may charge to their account within their credit limit.
  6. Staff who are cashiers get the counter's Sell, Orders and Session screens in the SmartMy Garage app. They also get them under Counter > Counter Sales in the Menu of the SmartMy Facility app.

Everything it does

Garage

  • Garage > Counter > Registers and Counter Sales; Garage > Reports > Money > Counter Sales
  • Add to Job Card: only a job card in the shop, of the same customer and branch
  • Items put on job cards are billed and reported on the job card, not as counter sales
  • Counter items on a job card are recorded as parts used; from Garage Scale they leave the stock of the register's location with their lots
  • Advances: Take Deposit on an open job card, in the advisor's counter session. The deposits pay the job card's invoice by themselves when it is confirmed, oldest first
  • A job card whose deposits still hold money cannot be cancelled; pay the deposit back first
  • An advance can be taken on the counter's card terminal from the garage app
  • Franchise royalty statements count the franchisee's counter sales without an invoice

Facility

  • Facilities > Counter > Registers, Counter Sales and Sales Analysis
  • Add to Booking needs a payment method of the kind Customer Account (pay later) on the register
  • Only a booking confirmed or in use today, in the same branch; the customer's credit limit applies
  • Members found by membership number as well as by name or phone
  • Members May Charge to Their Account: on to start with, per register

The same counter

  • Sessions, payments, refunds with approval, receipt copies, X and Z reports and closing work as in SmartMy POS
  • Supervisor approvals go through the same Counter approval chain

Where you use it

  • Web: Garage > Counter and Garage > Reports > Money > Counter Sales; Facilities > Counter
  • The SmartMy Garage app (the Sell area) and the SmartMy Facility app (Counter > Counter Sales in the Menu) for cashiers. They are built and in testing, not in the app stores yet
  • Not in the apps: Add to Booking from the Facility app is not offered in any plan yet; use the web
  • Not from the Sell area: counter items are put on a job card from the job card itself

What you control

Settings

  • Members May Charge to Their Account: on (Facility registers)
  • A Customer Account (pay later) method on Facility registers that charge bookings

Approvals

  • Counter approval: refunds and what is above a cashier's limit, decided at the counter by the workshop or facility manager

Questions

Do I need a separate POS app in the workshop?

No. Service advisors who are cashiers sell from the Sell area of the SmartMy Garage app.

Can I put a perfume sold at the counter on the customer's job card?

Yes, for a job card in the shop of the same customer and branch. It is paid on the job card's invoice.

Does Add to Booking work offline?

No. It needs the network and is done on the web.

Do members see the counter?

No. Members keep their booking screens. Only front desk staff who are cashiers see Counter > Counter Sales in the Menu.

What happens to an advance when the job card is invoiced?

The open deposits pay the invoice by themselves, oldest first, up to what is due. Anything more stays on the deposit.
