Card machine link

Link a Pine Labs, Razorpay POS or Stripe card machine to the counter. The amount goes to the machine, the customer taps or inserts the card, and the sale is paid when the bank approves.
PLANSFrom Growth
Built and tested with simulated machines; it has not yet charged a real card on a real machine. We switch it on with you and test your machine before go-live.

The problem it solves

  • The cashier types 1,250 on the counter and 1,520 on the card machine.
  • A card slip is approved but the bill is never finished, and the money is hard to trace.
  • Card payments in the books do not match the bank settlement.

How it works

  1. The POS Administrator adds the machine under Point of Sale > Configuration > Registers and Payments > Card Terminals and picks the Provider and the Registers it serves. They fill in the provider's credentials.
  2. On the card payment method they choose the Terminal and keep Terminal Required ticked.
  3. At payment the cashier taps the card method and Charge on terminal. The amount goes to the machine and the screen shows "Waiting for the card".
  4. The customer taps, inserts or swipes. When the bank approves, the line shows Approved with the card and the approval code, and the reference fills itself in.
  5. The cashier validates the sale. Declined, Cancelled or Error shows the bank's message, and the cashier tries again or uses another method.

Everything it does

Providers

  • Pine Labs Plutus Cloud, Razorpay POS (Ezetap) with Card, UPI, Bharat QR or All, Stripe Terminal, and a Simulated Terminal for trying it out
  • Test Mode uses the provider's sandbox; untick it to take real payments
  • Credentials are seen only by the role Card Terminals: Administrator; cashiers never see them

At the counter

  • One payment at a time per machine; a payment still waiting from the last 5 minutes keeps it busy
  • Timeout: 15 seconds to wait for an answer of the provider, a setting
  • The amount cannot change while the machine waits or after approval; Validate stays grey while it waits
  • An approved card payment pays one sale only
  • Cancel stops a waiting payment; removing an approved one pays it back to the card where the provider can

Refunds

  • A refund by the card method goes back to the card through the provider with Stripe
  • With Pine Labs and Razorpay the refund is done on the machine itself
  • Terminal Required off: a typed slip number is accepted too, for a machine out of order or the app without signal

Card Payments list

  • Every amount sent to a machine, with Waiting, Approved, Declined, Cancelled or Error
  • Card brand, last four digits, approval code, provider reference
  • Filter Approved, Not Used for card payments approved but not on any sale; the raw answers are shown to POS managers

Who uses it

Where you use it

  • Web: Point of Sale > Configuration > Registers and Payments > Card Terminals; Point of Sale > Counter > Card Payments
  • Web: Charge on terminal on the payment screen of Point of Sale > Counter > Sell
  • The SmartMy POS app: Charge on terminal on the Pay screen; it needs signal (built and in testing, not in the app stores yet)
  • Not tried on a real machine yet. Pine Labs and Razorpay were tested against the providers' published calls with simulated answers, Stripe with its simulated reader. Your machine and provider are tested with you before go-live.

Questions

Which card machines work?

The link is built for Pine Labs Plutus Cloud, Razorpay POS (Ezetap) and Stripe Terminal. It has not run on a real machine yet, so your machine is tested with you before go-live.

Do you charge a fee on card payments?

No. Card payments go through your own bank or provider and their fees.

What if the card was charged but the sale failed?

Open Card Payments and filter Approved, Not Used. Use it for the sale, or refund it on the machine.

Can we keep using another machine?

Yes. Untick Terminal Required on the method, and the cashier types the slip number instead.

Does it work without signal?

No. The machine answers through the provider online. Without signal, type the slip number where the method allows it.
