Ticket transfers to someone else

When a buyer cannot come, they pass the ticket to someone else from their tickets page or the app. The ticket gets a new QR code, the old one stops working at the gate, and the new holder gets a link.
PLANSFrom Growth

The problem it solves

  • A parent who cannot come forwards a screenshot of the ticket, and two people turn up with the same code.
  • The office is asked to change the name on a ticket by phone, and does it by hand on a list.
  • Nobody can say afterwards who the ticket was given to, or by whom.
  • A buyer gives a ticket away and then cancels it for a refund.

How it works

  1. You allow transfers per event: tick Tickets can be Transferred on the event's Terms and Refunds tab.
  2. The holder opens their tickets page, or My Tickets in the SmartMy Events app, and taps Transfer under the ticket.
  3. They type the other person's name and mobile number (10 digits; email optional) and tick that the ticket is no longer theirs.
  4. The ticket gets a new code at once. The old QR is refused at the gate as Not a ticket, and the attendee name becomes the new person's.
  5. The new holder gets a message with the link to the ticket's own page, and can pass it on again the same way.

Everything it does

What can be transferred

  • A valid ticket that has not been used, of a confirmed order
  • Only while the event is published or its sales are closed, and the session is not cancelled or over
  • Only on events with Tickets can be Transferred ticked (off when you create an event)
  • The new holder is found by mobile number first, or added as a new contact
  • A ticket cannot be given to the person who holds it already

What changes on the ticket

  • A new QR code and a new link: the earlier holder's code and page stop working
  • The attendee name becomes the new holder's name
  • The ticket number, the seat and the price stay the same
  • The buyer's order page then names the ticket as transferred and no longer shows its code or PDF

Cancelling after a transfer

  • The first buyer can no longer cancel a ticket they gave away
  • The person who received it cannot cancel it either
  • An event manager can still cancel and refund it from the order

Record

  • Events > Transfers lists every transfer: when, the ticket, from whom, to whom, the mobile and who made it
  • Filters and grouping by event, session, day and the person who made it
  • The ticket's own form has a Transfers tab, and each transfer is written on the order's history
  • Transfers are never changed or deleted

Who uses it

Buyer or holderGives a ticket to someone else from the tickets page or the app.
New holderGets the link to the ticket, shows its QR at the gate, and may pass it on.
Event organiserAllows transfers on the event and reads the list of transfers of their events.
Event managerReads every transfer and can still cancel and refund a transferred ticket.

Where you use it

  • Web: the buyer's tickets page and the page of a ticket that was received, button Transfer
  • The SmartMy Events app: My Tickets, Give to someone (needs signal; built and in testing, not in the app stores yet)
  • Web back office: Events > Transfers, and the Transfers tab on the ticket
  • Signed-in buyers find tickets given to them under My tickets, Given to you
  • Not in the back office: a button for the office to transfer a ticket for a buyer

What you control

Settings

  • Tickets can be Transferred: per event, off to start with

Notifications

  • Ticket Transferred to You: to the new holder, with the link to the ticket. It goes in the app inbox for buyers with a login, and by the first of WhatsApp, SMS or email that reaches the person. It goes out at once. Only a channel can be switched off, never the message

Questions

Does the old QR code still work after a transfer?

No. The ticket gets a new code at the moment of the transfer. The old one is refused at the gate as Not a ticket.

Can the office transfer a ticket for a buyer?

Not from the back office. The buyer does it from their tickets page or the app. The link to the order page is the key, so you can open Buyer's Page on the order to help a buyer who calls.

Can someone transfer a ticket and then cancel it for a refund?

No. Neither the first buyer nor the new holder can cancel a transferred ticket. An event manager can still cancel and refund it.

Is the new holder told if the date of the session changes?

Not today. Date changes, cancellations and reminders go to the person who bought the order. Ask the buyer to pass the news on, or call the new holder: Events > Transfers has their mobile.

Can a ticket be passed on twice?

Yes. The person who received it can give it on from the ticket's page, and each holder's link stops working when they do.
