QR tickets checked in at the gate
Every paid or complimentary ticket carries a QR code. Gate staff scan it with a phone; the screen turns green with the name and seat, or red with the reason. Each ticket lets one person in, once.
PLANSEvery plan
The problem it solves
- Volunteers tick names on a printed list while the queue reaches the road.
- Photocopied paper tickets get in twice, and nobody can prove it.
- Someone with a ticket for Saturday walks in on Friday.
- Free registrations are treated as entry passes, and the hall overfills.
How it works
- Name the gate staff and the gates on the event's Gate and Counter tab.
- On the day, gate staff open the SmartMy Events app or the Gate app. They pick the session and their gate, and point the camera at each ticket.
- Green, Let in: the ticket type, the seat and the name show. The scan records the time, the gate and who scanned.
- Red: Already used (with when and at which gate), Wrong session, Another event, Cancelled or Refunded. Also Event cancelled, Not open yet, Session over, Not a ticket, or Registration only.
- Without signal the phone checks against its downloaded list and sends the scans later.
Everything it does
The ticket and its code
- A paid ticket and a complimentary ticket carry a QR. The code is a random key, kept on the server and the phones only as a hash
- A free ticket (price 0) is a registration: no QR, and the gate refuses it, even by hand
- A complimentary ticket shows VIP before its ticket type; a stall pass shows Stall staff
- A transferred ticket gets a new code; the old one is Not a ticket
What the gate checks
- The ticket is of this event and this session
- It is not cancelled or refunded, and the event is not cancelled
- The gates are open (Gates Open at on the session) and the session is not over
- It has not come in before, unless re-entry is on and it went out
- Another Entity's code is simply Not a ticket
Speed at the gate
- The answer shows for 2.5 seconds when green and 6 seconds when red
- If the server does not answer within 6 seconds, the phone decides from its list and says Checked on the phone (no signal)
- The screen stays on while the scanner is open
- Each scan carries its own id, so a scan sent twice is counted once
Record
- Events > Check-ins lists every scan, accepted or refused, with the ticket, gate, who scanned, the time and the result
- Filters: Accepted, Refused, Duplicates, Let in against the Rules (offline), By Hand, Made Offline
- Scans are never changed by hand
