Tickets, reminders and session changes sent to buyers

Buyers get their tickets the moment they pay. They get a reminder the day before and on the day with the time the gates open. They get a message when a session moves or is cancelled. Messages go in the app and by WhatsApp, SMS or email.
PLANSEvery plan

The problem it solves

  • Buyers forget the date, and the hall is half empty.
  • A show moves to Sunday and the office calls two hundred parents.
  • Tickets are sent by hand from a personal phone.

How it works

  1. When an order is paid, or a free order is made, the buyer gets Tickets of a Paid Order with the link to the tickets.
  2. From 8 in the morning in the Entity's time zone, the system sends Reminder the Day Before to buyers whose session is tomorrow. It sends Reminder on the Day on the day, with the time the gates open.
  3. When you use Change the Date on a session, each buyer gets Session Changed or Postponed with the new date and any refund offer.
  4. When you cancel an event or a session, each buyer gets Event or Session Cancelled with the reason and what is paid back.
  5. Each message goes in the app inbox for buyers with a login, and by the first of WhatsApp, SMS or email that reaches the person.

Everything it does

Messages to buyers

  • Tickets of a Paid Order: the link to the tickets (every plan)
  • Reminder the Day Before and Reminder on the Day: the session and when the gates open (every plan)
  • Session Changed or Postponed and Event or Session Cancelled (Growth)
  • Refund Made: the amount and how it was paid back (Growth)
  • Waiting List: Tickets are Free and Ticket Transferred to You (Growth)
  • Invitation to an Event: to families of the classes you invite (with SmartMy Campus)

Reminder rules

  • Once per order for each of the two reminders, from 8 a.m. in the Entity's time zone; the job runs every hour
  • None on the day the order was paid: the buyer has just had the tickets
  • Only for orders with a valid ticket, of published or closed events, sessions not cancelled
  • When a session's start changes, its orders are reminded again for the new date

Channels

  • In-app for buyers with a login; WhatsApp, SMS and email in that order, the first that can reach the person
  • WhatsApp and SMS need your organisation's messaging set-up; WhatsApp messages wait for their templates to be approved
  • App push is built in and comes on once the apps are in the stores
  • These messages go out at once, at any hour; a person can switch off a channel, never the message
  • The wording of each message and channel can be changed per Entity

Record

  • Every message sent is in the Delivery Log with its channel and result
  • The order shows Reminded the Day Before and Reminded on the Day

Who uses it

BuyerGets the tickets, the reminders and any change, with the link to the tickets.
Event manager or organiserChanges the date or cancels, and the buyers are told by the system.
AdministratorSets up email, WhatsApp and SMS, and edits the wording under Notifications.

Where you use it

  • Email, WhatsApp and SMS; the inbox of the SmartMy Events app (built and in testing, not in the app stores yet)
  • Web: Notifications in the back office for the wording and the Delivery Log
  • Not built: the person a ticket was transferred to gets no reminder or change message; the buyer does
  • Not built: a reminder at a time you choose; the times are fixed as above

What you control

Settings

  • Wording and channels of each message, per Entity
  • Your WhatsApp and SMS sender, under Notifications
  • Each person's own channels, under their notification settings

Notifications

  • Tickets of a Paid Order, Reminder the Day Before, Reminder on the Day: to the buyer
  • Session Changed or Postponed, Event or Session Cancelled, Refund Made: to the buyer (Growth)
  • All go out at once; in-app notices always arrive

Questions

Can we send the tickets by WhatsApp?

Yes, once your organisation's WhatsApp sender and its approved templates are set up. Sending through a real WhatsApp or SMS provider is built and tried on our test systems, not yet at a customer.

What if the buyer has no email?

The message goes by the first channel that reaches them: WhatsApp, then SMS, then email. The tickets also show on screen right after payment.

Can a buyer stop the reminders?

They can switch off a channel, such as email, but not the reminder itself.

Is the buyer told when we move a show?

Yes, when you use Change the Date. Changing the time directly in the sessions list tells nobody.
