Invitations to classes and an Events tile on the parent portal
With SmartMy Campus, invite the whole school or chosen classes and sections to an event. Each parent and guardian is invited once, whatever the number of children, and you can remind only the families who have not bought. Parents also find your events from an Events tile on their child's page in the parent portal.
PLANSEvery planWith SmartMy Campus
Why it matters
Telling families about a school event means a circular, a WhatsApp forward and a lot of calls. Nobody knows who has seen it, and reminders go to parents who already bought. SmartMy Events sends the invitation to the parents and guardians of the classes and sections you pick, straight from your Campus records. It keeps the list of who was invited and who bought, and reminds only those who have not. Parents then find every event on the parent portal, next to their child's other pages.
The problem it solves
- The annual day circular reaches some families late and others never.
- Reminders go to every parent, including those who bought last week.
- Parents with two children get the same message twice.
- Parents cannot find where to buy and call the office.
How it works
- Publish the event first: the invitation carries the link to its page.
- On the event's Invitation tab, choose Chosen Classes / Sections and pick them, or Everyone of the Institution.
- Click Send Invitation. Each father, mother or guardian of the students chosen is invited once. Students with their own portal login are invited too where your Entity lets students use the portal.
- The list on the tab shows who was invited, when, about which students, and whether the family bought.
- Later, click Send Again to Those Who Have Not Bought. Pressing Send Invitation again reaches only those not invited yet, such as a class you add.
Everything it does
Who is invited
- Chosen Classes / Sections (to start with) or Everyone of the Institution
- The father, mother and guardian of each student, by contact or login, once per event
- Students with a login, where the Entity lets students use the portal
- A contact is never invited twice to the same event
Has the family bought
- Bought when anyone of the family (parents, guardian or the student) has a paid order for the event
- Participant passes given by the office do not count as bought
- The reminder goes only to invitations whose family has not bought; each records when and how many times it was sent
The message
- Invitation to an Event: the event, its next session and the link to its page
- In the app inbox and by the first of WhatsApp, SMS or email; app push once the apps are in the stores
- It is an announcement: people can switch it off, and it is held back during the Entity's no-message hours
- WhatsApp and SMS invitations go only from your organisation's own sender numbers
The Events tile
- On each child's page in the parent portal: the next event and its date, and how many are coming up
- Opens the events list of the child's school
- Shows published events still to come, public ones and those only for your own people
- Can be switched off per Entity: Events in the parent portal sections, on to start with
