Promo code, counter, refund and add-on figures

On Growth and Scale the reports also show which promo codes were used and what they gave away. They show what each seller collected at the counter by cash, UPI and card, and what was paid back. They also show what add-ons sold and were handed over.
PLANSFrom Growth

The problem it solves

  • Nobody can say whether the early-bird code brought sales or just gave away money.
  • The cash at the counter does not match, and nobody knows which seller to ask.
  • Refunds are paid out but never show up against the event's money.

How it works

  1. Open Events > Reports > Promo Codes Used: the sales of each code with the discount given.
  2. Open Counter Collections: what each seller took, by day and by cash, UPI and card, less what they paid back.
  3. Open Money: what was collected, paid back and the fee kept on refunds, with the add-ons apart.
  4. Open Add-ons: sold, held, given back, handed over and still to hand over, by add-on and option.

Everything it does

Promo Codes Used

  • The Sales report by code: sold, held, cancelled, amount and discount given
  • On the event, each code also shows Used and Discount Given
  • A pivot table or a list

Counter Collections

  • Collected, paid back and net, by seller and by cash, UPI and card, per day
  • Received is what was sold less what was paid back from that counter
  • The day's closings are under Events > Counter > Closings, with what each seller declared
  • A pivot table or a list

Refunds in Money

  • Paid Back and Fee Kept on Refunds beside Collected, and Collected less Paid Back
  • Only refunds that are done count; payments after the hold or paid twice are not counted as the event's money
  • The tax paid back comes off the tax

Add-ons

  • Sold, held, given back, handed over, to hand over and the amount
  • By event, session, add-on, option, day, online or counter, and seller
  • Add-ons with tax as their own column in Money
  • Organisers also have Add-ons Bought (filter To Hand over) and Handed over

Who uses it

Event organiserChecks which codes worked and what is still to hand over.

Where you use it

  • Web: Events > Reports > Promo Codes Used, Counter Collections, Money and Add-ons
  • Web: Events > Counter > Closings; Events > Add-ons > Add-ons Bought and Handed over
  • Not built: your gateway's own charges in the money figures

What you control

Settings

  • Nothing to set; the counter journals for cash and UPI or card are set once under Events > Configuration > Tax, Journal and Hold

Notifications

  • Counter Closing with a Difference: to the organisers of the events sold and the event managers, when a seller's declared amount differs. In the app and by email

Questions

Can I see what one seller collected yesterday?

Yes. Counter Collections groups by seller and day, split by cash, UPI and card, less what they paid back.

Are refunds taken off the money collected?

Yes. Money shows Collected, Paid Back, the fee kept and Collected less Paid Back.

Does a promo code reduce add-ons?

No. A code takes nothing off add-ons, so the add-on figures are at full price.

Is the closing difference flagged?

Yes. When a seller declares a different amount, the organisers and event managers are told, and the closing shows the difference in red.
