Course credits and programme schemes
Every subject carries a course category and credits worked out from its lecture, tutorial and practical hours. A programme scheme holds the credits to graduate, per category and per semester, and the credit summary checks each student against it.
PLANSScale only
The problem it solves
- Credits are typed into each subject by hand, and two departments count a lab hour differently.
- The credits a B.Sc student needs, per category and per semester, live in the university's PDF, not in the system.
- Before convocation the office counts every student's credits in a spreadsheet to see who may graduate.
- Audit courses creep into the CGPA because nothing marks them as non-credit.
How it works
- Switch on Choice Based Credit System on the college's Entity form (Choice Based Credits tab). Only an institution of the type College shows the tab.
- Check the course categories. Eight come ready, from Core Course and Discipline Specific Elective to Project / Internship and Audit Course.
- On each subject choose the category and fill in L - T - P. Credits become lecture + tutorial + half the practical hours, unless you tick Credits Set by Hand.
- Make a programme scheme: the programme, the intake (or every intake) and Credits to Graduate. Add minimum and maximum credits per category, and minimum and maximum credits per semester.
- Students are enrolled in compulsory subjects as before; elective categories are filled through registration windows.
- Open a student's Credits tab: the credit summary shows required, registered and earned credits per category, Eligible to Graduate, and Print Grade Card.
Everything it does
Course categories
- Code, name and kind. Kinds: Core, Discipline Specific Elective, Generic / Open Elective, Ability Enhancement Compulsory and Skill Enhancement. Also Value Added, Project / Internship, Audit / Non-credit and Other
- Elective: students choose subjects of this category; other categories are compulsory
- Counts in SGPA / CGPA: untick for audit courses, which are then left out of both averages
- Eight categories come ready (Audit Course already left out of SGPA / CGPA); rename them or add your own
Credits on a subject
- Lecture (L), Tutorial (T) and Practical (P) hours a week
- Credits = L + T + P / 2 while Credits from L-T-P is ticked for the college (ticked to start with)
- Credits Set by Hand keeps the credits you type
- The category decides compulsory or chosen: a compulsory subject enrols students by itself, an elective only through allotment
- Choice Based Credits > Configuration > Subjects lists only subjects of colleges with the switch on
Programme schemes
- One scheme per programme, for one intake or for every intake without a scheme of its own
- Credits to Graduate
- Credits per Category: minimum, and a maximum (0 for none)
- Semesters: minimum and maximum credits a student may register in each semester (0 for none)
- Elective Slots on each semester line (set out on the electives page)
- Copy to Another Intake: semesters matched by name, basket subjects by code; check what did not match
Credit summary and graduation check
- Per category: required (the scheme's minimum), registered (enrolled now) and earned (passed, latest attempt)
- Eligible to Graduate: total credits met, every category minimum met and no arrears; the student list can be searched on it
- Shown on the student's Credits tab with the elective registrations, window by window
- Students see the same summary on the Electives page of the portal and the Campus app
Mark sheets and grade card
- The semester mark sheet of a college with the switch on has a category column and credits earned per category
- Consolidated Grade Card: every semester, the latest attempt of each subject, category totals against the scheme, and the CGPA
- Audit courses are left out of SGPA and CGPA
- Schools, and colleges that leave the switch off, keep their subjects, exams and mark sheets unchanged
Import
- Subjects take Course Category, Lecture, Tutorial and Practical Hours, Open to Other Programmes, Maximum Seats, Prerequisites and About the Elective
- Sheets for Programme Schemes, Scheme Category Credits, Scheme Semesters, Elective Slots and Subject Enrolments

Questions
Can we use our university's own credit formula?
Out of the box credits are lecture plus tutorial plus half the practical hours. Where your university counts differently, tick Credits Set by Hand on the subject and type its credits.Does switching on credits change anything for our school in the same account?
No. The switch can only be set on a college. Schools, and colleges that leave it off, see none of these screens, and their exams and mark sheets stay as they are.How does the system decide who may graduate?
Eligible to Graduate is ticked when earned credits reach Credits to Graduate, every category minimum is met and no arrear is open. You can filter the student list on it.Can two intakes of one programme follow different schemes?
Yes. Make a scheme per intake, or copy one with Copy to Another Intake. A scheme without an intake serves every intake that has no scheme of its own.Is the consolidated grade card printed across all semesters?
Yes. Print Grade Card on the Credits tab prints every semester, the latest attempt of each subject, category totals against the scheme and the CGPA. Approved credit transfers are printed on it too.Related features
