Alerts feed for the flat, with switches per person

Everything the flat is told, from the gate and from the society office, is kept on one Alerts page. Each person in the flat chooses which kinds they want to hear about, and the feed keeps the rest for them to read later.
PLANSEvery plan

The problem it solves

  • A message about the maid arrived on one phone, and the rest of the family never saw it.
  • Residents switch off all notifications because every delivery buzzes, then miss the notice about the water cut.
  • Nobody can look back and see when the courier came last Tuesday.
  • Some family members want every alert and others want none, and one setting does not fit both.

How it works

  1. Something happens for the flat: a visitor comes in, a parcel is kept at the gate, the office sends a notice. It is written to the flat's feed.
  2. The same alert goes to the members who have that kind switched on. It arrives in the app, and by email, SMS or WhatsApp where the society uses them.
  3. A resident opens Alerts on the portal (the bell at the top) or under Alerts in the app's Menu. Unread alerts are marked, and the count shows beside the menu.
  4. Chips at the top show one kind at a time and the search box finds an alert by its words. Mark all read clears the count for that person.
  5. Under Notify me about, each person switches kinds on or off for themselves. What they switch off is still kept in the feed.

Everything it does

Kinds of alert

  • Gate: someone arrives or leaves, or how a waiting visitor was answered
  • Parcels: a parcel is kept at the gate
  • Daily help: your help checks in or out, is late or stays long
  • Kids: children leave or come back (sites with children only)
  • Society: notices from the office
  • Maintenance (bills, reminders and receipts), Homes for rent and Votes (elections, polls and results), where those features are in your plan

The feed

  • One feed per flat, shared by its members; each person's read and unread is their own
  • Newest first, 20 to a page, up to the latest 300 alerts
  • The unread count covers the last 14 days
  • Each alert shows its title, the details, its kind and the date and time
  • Filter by kind, search by words, Mark all read

Who is told

  • Members whose Gets gate alerts is on (on to start with) and who have that kind switched on
  • All kinds are on for a new member
  • A visitor waiting for an answer always reaches the members who approve visitors, whatever the switches say
  • Emergencies and security alerts are always sent
  • Each person can also switch off a channel for themselves, such as email; the in-app copy always arrives

Who uses it

ResidentReads the flat's alerts and chooses which kinds reach their phone.
Owner or primary contactCan switch a member's gate alerts off or on from the Family members page.
Society officeSends notices to the flats, which land in the feed as Society alerts.

Where you use it

  • Resident portal: Alerts, and the bell at the top of every page
  • The SmartMy Society Resident app: Alerts in the Menu, with the same switches (built and in testing, not in the app stores yet)
  • Not on the back office: the office reads what was sent in the notification Delivery Log, not in a flat's feed

What you control

Settings

  • Notify me about: Gate, Parcels, Daily help, Kids, Society and the kinds of your plan's features; all on for a new member, per person
  • Gets gate alerts on the Family members page: on to start with

Notifications

  • Flat: Visitor In / Out: to members with Gate on. They get an app notification and the first of WhatsApp, SMS or email that reaches them, and in-app
  • Flat: Society News: to members with Society on, by app notification, email and in-app
  • Parcels, daily help, children, maintenance, homes and votes have events of their own, sent the same way to the members with that kind on

Questions

If I switch Parcels off, will I miss my parcel?

You are not notified, but the parcel is still in the feed under Parcels and on the Parcels page, with its pickup code.

Can each family member choose differently?

Yes. Notify me about belongs to each person. One member can hear everything while another hears only Society notices.

Can I stop the gate asking me about visitors?

Only by not approving visitors. Ask the owner or primary contact to switch off Can approve visitors for you. Then the gate stops asking you.

How far back does the feed go?

It shows the flat's latest 300 alerts, 20 to a page. Older visits are in Visitor history, which goes back 30 days.

The owner or primary contact adds members and decides who may let visitors in and who hears about the gate, without calling the office.VISITORS AT THE GATEEntry and exit alerts and visitor history for the flatThe flat is told when its visitor comes in and when they leave, with the time and the gate. Each resident can look back over 30 days of their visitors, filter by kind and outcome, and download the list as a spreadsheet file.SOCIETY OFFICENotice board for flats, towers and ownersThe society office posts notices to every flat, to chosen towers or to owners only, pins the important ones and attaches files. Residents are alerted when a notice goes up, and the office sees who has seen it.PARCELS AND CHILDRENParcels at the gate with a collection codeThe guard logs each parcel for a flat with the courier, a photo and the shelf. The flat is told at once with a four-digit collection code, and the parcel is handed over only to someone who gives that code.DAILY HELPDaily help in and out, usual hours and pausesThe flat hears when its help comes in and leaves. The guard sees each helper's usual hours for the day. The society can let helpers in only around those hours and tell the flat when they are late or stay long. Residents pause their help for a holiday.ACROSS SMARTMY SOCIETYNotificationsSmartMy Society tells the right person the moment something happens. It might be a visitor waiting for the flat, a parcel at the gate or the maid late. It might be a child at the gate, a bill due, an emergency. Each event has its own recipients and channels: app notification, in-app, email, and SMS or WhatsApp on paid credits.
