Family page: who approves visitors and who gets alerts

Each flat keeps its own Family members page. The owner or primary contact adds members and decides who may let visitors in and who hears about the gate, without calling the office.
PLANSEvery plan

The problem it solves

  • The teenager in the flat approves a stranger at the gate because every login can.
  • Grandparents get a notification for every delivery and stop reading any of them.
  • Adding a new family member means a visit to the society office and a form.
  • The office is asked to switch alerts on and off for people it has never met.

How it works

  1. A resident opens Family members on the resident portal or in the Resident app (Household > Family). Each member of the flat has a card with their name, masked mobile and relation.
  2. Each card has two switches: Can approve visitors (they are asked when someone is at the gate) and Gets gate alerts (arrivals, parcels and children).
  3. The owner or the primary contact can change both switches for anyone in the flat. Everyone else can change only their own alerts.
  4. To add someone, the owner or primary contact fills in Add member: name, mobile, optional email, relation and Can approve visitors.
  5. The new member gets a login. With an email they get a link to choose a password. From then on they see the flat and, if allowed, answer the gate.

Everything it does

Members

  • Every active resident of the flat, with name, relation and mobile shown masked (98••••3210)
  • The primary contact is marked on their card
  • Members are added with a name and a mobile number or an email
  • Relation: Owner, Tenant, Family (the default on the form) or Other
  • Can approve visitors is ticked on the add form; untick it for a member who should only be told
  • A line in the flat's history says who added the member

Who may change what

  • The owner (relation Owner) or the primary contact adds members and sets both switches for anyone
  • Every member can switch their own gate alerts on or off
  • Nobody but the owner or primary contact can give someone the right to approve visitors
  • The society office can change anything from the back office (Visitors > Residents)

What the switches do

  • Can approve visitors: the member is asked when a walk-in waits for the flat and sees the answer buttons. Others see that a resident who approves visitors will answer
  • Gets gate alerts: the member hears of arrivals, exits, parcels and children. Off, they are told nothing of these, though the flat's alerts feed still keeps them
  • Each member also has their own Notify me about switches on the Alerts page, kind by kind

Children

  • Where children going out is in your plan, children are added on the same page. Give name, date of birth, photo and May go out alone
  • Children have no login and never approve visitors

Questions

Can my teenager see the flat without letting visitors in?

Yes. Add them with Can approve visitors off. They see the flat and its alerts, and the gate never waits for their answer.

Who can add a member to our flat?

The owner of the flat or its primary contact, on the Family members page. Others ask one of them, or the society office.

My parents do not want every notification. What do we do?

Switch off Gets gate alerts on their card, or let them choose kinds under Alerts > Notify me about. A visitor waiting for an answer still reaches those who approve visitors.

Can we add our tenant ourselves?

Yes. Add them with the relation Tenant. Most societies also tell the office, which can make the tenant the primary contact.

We added a member with only a mobile number. How do they sign in?

A login is made with the mobile number, but no invitation is sent without an email. Add their email, or ask the office to send the invitation. Sign-in by OTP is not built yet.
