Daily help in and out, usual hours and pauses

The flat hears when its help comes in and leaves. The guard sees each helper's usual hours for the day. The society can let helpers in only around those hours and tell the flat when they are late or stay long. Residents pause their help for a holiday.
PLANSEvery plan

The problem it solves

  • You are at work and do not know whether the cook came today.
  • The maid comes at 2 in the afternoon when she should come at 7, and the guard has no way to know.
  • You are away for two weeks, and your help still walks in every morning.
  • The driver is still inside at 10 at night, and nobody noticed.

How it works

  1. Each flat gives the days and the Expected Check-in and Check-out for its helper, when it adds them or later.
  2. At the gate the helper shows the pass. The card says, for example, Maid · A-1204 · expected 07:00–09:00, or not expected today.
  3. The guard presses Let In. The flats expecting them today are told, and told again when they leave.
  4. The resident sees on the Daily help page whether the helper is inside, and came N of 7 days.
  5. Going away, the resident presses Pause; back home, Resume. If every flat pauses the helper, the gate stops them.
  6. If the society switched these rules on, helpers come in only around their hours. The flat is told when the helper is late or stays long.

Everything it does

What the guard sees

  • The flats expecting the helper today and their hours; several flats show each with its hours
  • Not expected today when no flat expects them on that day
  • A warning when the helper is outside their hours under the society's rule
  • Refused with the reason: blocked by the society office, every flat paused them, outside their days or outside their hours
  • Leaving is never refused; the same pass or card checks them out

What the flat sees

  • Each helper's card: name, kind of work, Inside or Not inside, days, expected check-in and check-out
  • Last 7 days · came N of 7 days, for information only
  • Call, Pause and Resume; Paused, Blocked or Waiting for the office to verify
  • Visitor history lists the helper's entries with the filter Daily help

Only in their hours (society rule)

  • Off to start with: helpers come in any day, any time
  • On: the pass works on the days a flat expects them, from the earliest check-in minus the grace to the latest check-out plus the grace
  • Grace: 30 minutes to start with
  • A flat without hours allows the whole day; night hours, such as 20:00 to 08:00, run into the next morning
  • Outside the hours, the guard can still register them as a walk-in, and the flat answers

Late and stays long (society rule)

  • Off to start with
  • Late: not in by the expected check-in plus the alert grace; told once a day per flat
  • Stays long: still inside after the latest expected check-out plus the alert grace; told once a visit
  • Alert grace: 30 minutes to start with; checked every 15 minutes
  • Not sent for a paused helper, a blocked one, or a flat that gave no hours

Who uses it

ResidentSets the days and hours, pauses and resumes the help, and is told of in, out, late and staying long.
GuardReads the expected hours on the card and lets the helper in or out.
CommitteeDecides whether helpers come only in their hours, and whether flats are told of late arrivals.
Society officeSwitches the two rules on or off on the Entity's Visitors tab.

What you control

Settings

  • Daily Help Only in Their Hours: off; Grace (minutes): 30
  • Tell the Flat When Daily Help Is Late or Stays Long: off; Alert Grace (minutes): 30
  • Each resident's Daily help alert switch: on to start with

Approvals

  • No approval for a helper with a valid pass; a helper refused for their hours and registered as a walk-in waits for the flat's answer

Notifications

  • Flat: Daily Help In / Out: to the residents of the flats expecting the helper that day, at entry and exit. By app push, email and in-app
  • Flat: Daily Help Late: to the residents with Daily help alerts on, once a day, by app push, email and in-app
  • Flat: Daily Help Stays Long: to the same residents, once a visit, by app push, email and in-app
  • Each resident can switch Daily help off on their Alerts page. Each person can switch off a channel, such as email, for themselves. In-app notices always arrive

Questions

Will I be told every time my maid comes in?

Yes, while Daily help is on under your alerts. You are told when she comes in and when she leaves, on the days your flat expects her.

What does Pause do?

Your flat stops expecting the helper: you are not told about them. If every flat they work for has paused them, the gate stops them.

Can the guard stop the maid coming in at night?

Yes, if your society switches on Daily Help Only in Their Hours. Outside their hours plus the grace, the pass is refused and the guard sees why.

Is the came N of 7 days figure attendance?

No. It counts the days the helper came in through the gate, for your own information. The product keeps no attendance for pay.

Is this in Starter?

Yes. In and out alerts, pause and resume, expected hours, the hours rule and the late alerts are in every plan of SmartMy Society.
