Stock per sale, lots and serial numbers, on hand at the counter

Each paid sale takes its products out of the register's stock location, and each refund puts them back, without anybody typing a stock movement. Lots and serial numbers are kept on the sale line. The app shows Low and Out on the product grid.
PLANSFrom Growth

The problem it solves

  • Stock in the books is right only on the day somebody counts it, because counter sales never reach the store register.
  • A customer brings back a phone, and nobody can say which serial number was sold to them.
  • A cashier promises an item that ran out at noon.
  • Returns are put back on the shelf but not in the stock figures.

How it works

  1. Set the Stock Location of each register, on its Stock tab. It starts as the main stock of the store's warehouse.
  2. Sell as usual. When the sale is paid, one delivery is made from that location to the customer and marked done at once.
  3. For a product tracked by lot or serial number, choose the Lot / Serial No. on the order line in the back office before Pay.
  4. A refund makes the return the other way, back into the same location, with the lot of the refunded line.
  5. The app shows a Low badge on a product at or below its reorder minimum, and Out when nothing is left. The back-office order line shows On Hand Here, in red when low.

Everything it does

What moves

  • Only products kept in stock move; services and products not tracked in stock are sold without a movement
  • One delivery per paid sale, done at once; the order shows a Deliveries button to stock users
  • Refunds use the return type of the register's operation type, else the warehouse's receipts
  • Gift cards, deposits and the loyalty reward line have no stock
  • Selling below zero is allowed: the sale is not blocked and the quantity goes negative until the stock is corrected

Lots and serial numbers

  • A tracked product cannot be paid without its number: "choose the lot / serial number sold"
  • Only lots of that product are accepted
  • A serial number is one line with a quantity of 1
  • A refund takes the number of the refunded line by itself
  • The number is chosen on the back-office order; the selling screen in the browser and the app have no field for it

On hand at the counter

  • Low: at or below the minimum of the reordering rule of the product at that location; without a rule, zero or less
  • The app gets the quantities when it loads the register and at each Sync now. Between two syncs they do not move with other counters' sales
  • The selling screen in the browser does not show the quantities

Register settings

  • Stock Location: an internal location of the store; starts as the warehouse's main stock
  • Operation Type: empty uses the warehouse's delivery type
  • Without a location or an operation type, the sale is refused with a message that names the register

Who uses it

CashierSells; sees Low and Out in the app and chooses the lot or serial number on back-office orders.
POS AdministratorSets the stock location and operation type of each register.
Store or stock keeperReceives goods, moves stock between stores and counts it in the stock screens, and sets reorder minimums.

Where you use it

  • Web: the Stock tab of the register; On Hand Here and Lot / Serial No. on back-office order lines; Deliveries on the order
  • The SmartMy POS app: Low and Out badges on the product grid (built and in testing, not in the app stores yet)
  • Not in SmartMy POS: receiving goods, purchase orders, transfers between stores and stock counts. They are done in your stock screens where your organisation has them
  • Not on the selling screen in the browser: on-hand figures and lot or serial number entry

What you control

Settings

  • Stock Location per register: the store warehouse's main stock to start with
  • Operation Type per register: empty (the warehouse's delivery type)
  • Low stock: the reordering rule minimum at that location, else zero

Questions

Can a cashier sell something the system shows as out of stock?

Yes. The sale is not blocked and the quantity goes below zero. Correct it with a stock count in your stock screens.

Does a refund put the item back in stock?

Yes. The refunded quantity goes back into the register's stock location, with the lot or serial number of the line.

Can we scan serial numbers at the counter?

Not on the selling screen or in the app. Sell tracked products from the back-office order, where you choose the number on the line.

Does SmartMy POS raise purchase orders when stock is low?

No. It shows Low and Out at the counter. Reordering, receiving and counting stock are done in your stock screens.

Does each register have its own stock?

Each register takes from its own Stock Location. Two registers of one store can share a location or use separate ones.
