Notifications

SmartMy POS sends few messages, by design: counter approvals happen at the counter. The cashier can send a paid sale's receipt to the customer by WhatsApp or email from the selling screen. The approvers of a promotion are told when it waits for them. Every message is kept in the Delivery Log.
PLANSEvery plan

The problem it solves

  • A customer asks for the bill on WhatsApp and the cashier sends a photo from a personal phone.
  • A promotion waits for approval for days because the manager never heard of it.
  • When a customer says they never got the receipt, nobody can check.
  • Staff get so many alerts that they stop reading them.

How it works

  1. On the payment screen of the selling screen in the browser, the cashier ticks WhatsApp, Email or both for a chosen customer. Then they complete the sale.
  2. The receipt PDF goes to the customer on the channels ticked, with a short note: "Thank you for shopping at ... Your receipt ... is attached." The order's history says it was sent.
  3. When a promotion waits at a level of its chain, its approvers are told. That is a phone notification where they use a SmartMy app with push, else an email, and always a notice in the app.
  4. Every message leaves a line in the Delivery Log, with the reason when it could not be sent, such as no mobile number.
  5. An administrator can switch an event off for everyone or one Entity, change its channels and edit the wording.

Everything it does

Point of Sale events

  • Point of Sale Receipt: to the customer of a paid sale, when the cashier ticks it; WhatsApp and email, only the channels ticked. Transactional, sent at once at any hour; Recipients Can Opt Out is off. The customer must be chosen and have a mobile number or email
  • Request Waits for Your Approval (Approvals): to the approvers of the level a promotion waits at. Phone notification, email and in-app, the first that works; Transactional, sent at once

What sends no message

  • Counter approvals: refunds, discounts, items on the house, cash moves, differences, copies and deposit pay backs are approved in person at the counter
  • App conflicts: supervisors check Point of Sale > Counter > App Conflicts
  • Sales, refunds, sessions, low stock, gift card expiry, deposits and loyalty points
  • The app does not send receipts by itself: Share uses the apps on the phone

Channels and people's own choices

  • WhatsApp messages come from your message credits; email is sent from your account
  • App push is built into the SmartMy apps and not switched on yet; until then email and the in-app inbox carry approval notices
  • Both events are Transactional: quiet hours (21:00 to 7:00 per Entity) do not hold them back. A person cannot switch the event off, only a channel such as WhatsApp or email
  • Templates per event, channel and language, with your own wording

Where you use it

  • Web: the WhatsApp and Email ticks on the payment screen of the selling screen. Notifications > Delivery Log and Configuration > Events (category Point of Sale)
  • The SmartMy POS app: the Approvals area shows what waits for a manager (built and in testing, not in the app stores yet)
  • Not built: SMS receipts, receipts sent from the app, and messages to customers about points, gift cards or deposits

What you control

Settings

  • Point of Sale Receipt: WhatsApp then email, only those the cashier ticks
  • Quiet hours: 21:00 to 7:00 per Entity (not used by these two events)
  • Templates per channel and language

Questions

Can we send the receipt on WhatsApp?

From the selling screen in the browser, yes, for a chosen customer with a mobile number. WhatsApp uses your message credits.

Can we send receipts by SMS?

No. The receipt goes by WhatsApp or email.

Are supervisors notified of refunds?

No. A refund is approved by a supervisor at the counter, so nothing waits.

Do notices wait for working hours?

No. Both POS events go out at once, at any hour.

How do I check a receipt was sent?

Open Notifications > Delivery Log. Each message shows its status, and why when it was not sent.

ACROSS SMARTMY POSApproval chainsTwo kinds of approval run through the approval chains of SmartMy POS. Counter approvals are decided on the spot by a supervisor or POS manager at the cashier's screen. Promotions can wait for one or several approvers before they run. Each Entity has its own chain of each kind, and every decision is kept with who made it.LOYALTY, PROMOTIONS AND DEPOSITSPromotions, happy hours and coupon codesSet up an offer once and the counter applies it by itself when the cart fits. It can be a % off, an amount off each unit, buy X get Y free, or another product free or cheaper. Or mix and match, a bundle price or a bill over an amount. Limit it to dates, weekdays, hours, registers, products, customer tags or a coupon code. A branch can have promotions approved through an approval chain first.WEB COUNTER AND APPSelling screen in the browserPoint of Sale > Counter > Sell opens a full selling screen in the browser of a counter PC or tablet. It has a product grid with categories and favourites, and search by name, code or barcode. It also has a cart, split payment with a keypad, and a receipt to print. A cart can be parked and resumed on the same browser.PAYINGReceipts on a network printer, and the cash drawerThe SmartMy POS app prints receipts on a network receipt printer, 58 or 80 mm, and opens the cash drawer plugged into it. On the web the receipt prints as a PDF through the browser.WEB COUNTER AND APPSelling when the network is downWhen the signal drops, the SmartMy POS app keeps selling from the copy of the catalogue on the device. Sessions, sales, refunds, cash moves, receipt copies and deposits wait in a queue on the device. They are recorded exactly once when the signal is back. Anything that breaks a rule when it arrives waits for a supervisor to record again or discard.
