Find or add the customer at the counter

Find a customer by typing two letters of the name or digits of the mobile number. Or add a new one with just a name and a phone. Without a customer the sale goes to the register's walk-in customer.
PLANSEvery plan

The problem it solves

  • The cashier asks for a full address when the customer only wants a bill for loyalty points.
  • The same person ends up three times in the list, with three spellings.
  • A regular customer's pay-later account or points cannot be found while the queue grows.

How it works

  1. In the cart the cashier types at least two letters or digits in Customer: name or phone.
  2. The list shows matches by name, mobile or phone, with the mobile number, and the points, deposits and Pay later where they apply.
  3. The cashier taps the customer. Prices, points and payment methods follow that customer.
  4. If nobody matches, + Create makes a new customer. Typing a name gives a customer with that name; typing a phone number gives a customer with that number as name and mobile.
  5. In the app, New customer asks for the Name and the Mobile, then Add and choose.
  6. Change goes back to the default customer. Address and tax number are completed later from the order in the back office.

Everything it does

Search

  • By name, mobile or phone, from two characters; the web counter shows up to 8 matches
  • With SmartMy Campus: by the student's register or admission number
  • With staff purchases: by the employee's badge number; with SmartMy Facility: by the membership number

Quick creation

  • Name only, or a phone number as name and mobile; the app also takes the mobile apart
  • No check for a customer who already exists with the same number
  • In the app, adding a customer needs signal

When a customer is needed

  • An invoice, pay later, loyalty points, deposits, and sales put on a fee account, a hostel bill or a salary
  • Without a customer the register's Default Customer is used and the receipt shows no name

Questions

Do we have to take a customer for every sale?

No. Walk-in sales use the register's default customer. A customer is needed only for invoices, pay later, points, deposits and charges to an account.

Can a customer be added without signal?

Not in the app. Sell to the walk-in customer, or add the customer when the signal is back.

Will it stop us adding the same mobile twice?

No. The search shows existing customers as you type, so search by the mobile number before you press Create.

Is this in Starter?

Yes. Search and quick creation are in every plan.

SET-UPCustomer price lists at the registerMembers, staff and trade customers who have their own price list get its prices at the counter as soon as they are chosen. Each register decides which customer price lists it honours.PAYINGPay later within a credit limitCustomers you allow can buy on their account at the counter. The sale becomes an invoice at once, part can be paid now, and a sale that would take them over their credit limit is refused.LOYALTY, PROMOTIONS AND DEPOSITSLoyalty points for paying customersEach store runs one points programme. Customers earn whole points on what they buy. They use them as a discount at the counter, in the browser, the app or the back office. Refunds take points back, and every movement is kept in a ledger that cannot be changed.LOYALTY, PROMOTIONS AND DEPOSITSAdvance deposits, used on a sale and paid backTake an advance from a customer at the counter, with a numbered slip. The deposit pays a later sale or a confirmed invoice of the same customer, in one go or in parts. What is left can be paid back, in part or in full, with a reason and a supervisor's approval.WITH OTHER SMARTMY PRODUCTSCampus store on the student's fee accountWith SmartMy Campus, a student buys at the campus store without money. The cashier scans the ID card and the sale goes on the student's fee account. On the 1st of each month the last month's purchases become one fee due per student. Parents see and pay it with the other fees, and a monthly limit keeps spending in check.STOCK AND ACCOUNTINGTax invoice at the counter, credit note on refundWhen a customer asks for a tax invoice, the cashier ticks Invoice at payment. A posted customer invoice is made in the customer's name with the taxes of each line, and the counter payments are booked on it. A refund of that sale makes a credit note linked to the invoice.
