Concept rounds with mood boards

Show the client the look of each room, or the whole home, as a mood board with a palette and the idea in words. The client likes pictures, writes notes and approves or asks for changes on their own page. Every round is kept; rounds past those in the fee become a draft bill.
PLANSEvery plan

The problem it solves

  • Mood boards go out as WhatsApp images and the client's "looks nice" is taken as approval.
  • The fifth round of changes is done for free because nobody counted the rounds.
  • Nobody can find which version of the bedroom concept the client finally liked.
  • The design moves to drawings before every room's look is agreed.

How it works

  1. Open Interiors > Design > Briefs and Concepts > Concepts and press New. Pick the project, the room (empty for the whole home) and the designer.
  2. Add the pictures on the Mood Board tab; each picture's description is its caption. On Palette and Idea, add the colours and materials (for example Sage green walls, with its colour code) and The Idea in words.
  3. With AI on (Scale), put a room photo on the board and press Ideas with AI for three redesigned pictures. Or give a picture in Design to Apply and press Apply this Design with AI.
  4. Press Share with Client. The client and their people on the team get Please Decide with a link.
  5. On the page the client sees the pictures, palette and idea, likes pictures, writes notes on them, and presses Approve or Ask for changes.
  6. The round becomes Approved or Changes Asked; with changes, the designer gets a to-do with the note. Next Round copies the round, pictures included, as round 2, 3 ... in draft.

Everything it does

A round

  • Project, Room (empty: the whole home), Designer, round number
  • Mood Board: pictures with captions; other files are shown as files
  • Palette: a line per colour or material, with a colour code shown as a swatch
  • The Idea: text the client reads
  • Statuses: Draft, With the Client, Approved, Changes Asked, Next Round Made
  • Share with Client needs at least one picture
  • Next Round works on a round that was shared, approved or had changes asked

The client's page

  • No login: a private link by email and WhatsApp
  • Like a picture and leave a note on it
  • Approve, or Ask for changes with what to change (needed)
  • The client types their name; the name and time are kept on the Client Wrote tab

Rounds and the design fee

  • Take a project with an agreed design fee and a Fee per Extra Round. A round past the Concept Rounds Included (2 to start with) makes a draft Extra Concept Round bill
  • The new round says so with a link to the bill; the bill goes through approval like any fee bill
  • Rounds are counted per room, or for the whole home

Rounds and the project stages

  • The Design Closure stage check passes when every room has an approved round, or one approved round for the whole home
  • Or when a 3D design version is approved

Ideas with AI and Apply this Design (Scale)

  • Ideas with AI sends the first photo on the board, the project's styles and your idea to the SmartMy AI service. It asks for three pictures of the same room redesigned, walls, windows and doors kept
  • Apply this Design with AI sends the room photo, the design picture and your idea. It asks for three pictures of this room in that design
  • The pictures are added to the mood board straight away, captioned Idea 1 (AI) or Design applied 1 (AI). Delete the ones you do not want before sharing
  • Only on a draft round; nothing reaches the client until you press Share with Client
  • Each picture counts against the plan's AI credits (20 credits a picture); AI must be on for you

Lists and dashboard

  • Filters: Current, With the Client, Changes Asked; group by project
  • The Design dashboard: concepts with the client, changes asked, rounds approved, and rounds per project
  • The client app lists a round waiting for the client under Waiting for you

Who uses it

DesignerBuilds the mood board and palette, shares each round and makes the next one from the client's notes.

Where you use it

  • Web: Interiors > Design > Briefs and Concepts > Concepts, and the Design dashboard
  • The client's decision page: a web link by email and WhatsApp, no login
  • The SmartMy Interiors Client app: rounds waiting under Waiting for you (built and in testing, not in the app stores yet)
  • Not in the staff app: rounds are made on the web

What you control

Settings

  • Concept Rounds Included and Fee per Extra Round: on the design fee agreement (2 and empty to start with)
  • Ideas with AI and Apply this Design with AI: there when the AI part is installed (Scale) and AI is on for the person

Approvals

  • Design Fee Bill: the extra round bill is approved before it becomes an invoice

Notifications

  • Please Decide: to the client and their people on the team, with the link, by email and WhatsApp
  • Client Decided: to the designer, in the app and as a phone notification
  • Both go out at once; the designer gets a to-do when changes are asked

Questions

Can we make one concept for the whole home?

Yes. Leave the room empty. One approved whole-home round also passes the Design Closure check.

How are extra rounds charged?

Set the rounds included and the fee per extra round on the design fee. Each round past that makes a draft bill, which goes through approval before it becomes an invoice.

Do AI pictures go to the client by themselves?

No. They are added to the draft round's mood board. The client sees them only when you press Share with Client, so remove any you do not like first.

Can the client comment on one picture?

Yes. On their page they can like each picture and leave a note on it, besides the note with their decision.

Which plan has it?

Concept rounds with client approval and extra round fees are in every plan, from Starter. Ideas with AI and Apply this Design with AI are in Scale.
