Design brief confirmed by the client

Write down what the client wants: styles, colours, who lives there, storage, appliances and each room's wishes with photos. Then send it to the client to approve on their own page. The design starts from a brief they confirmed, with each version kept.
PLANSEvery plan

The problem it solves

  • What the client said at the first meeting lives in one designer's notebook and is lost when they leave.
  • Three weeks into the design, the client says they never wanted a dark kitchen.
  • Must-keep furniture and the size of the fridge are found out at installation.
  • A changed brief overwrites the old one, and nobody can show what was agreed first.

How it works

  1. Press Brief on the enquiry. The first time, it takes the enquiry's styles, budget and rooms. Or start one in Interiors > Design > Briefs and Concepts > Briefs.
  2. Fill in the taste (styles, colours, budget), the Family and Needs tab, and each room with its use, wishes, what to keep and photos.
  3. With AI on (Scale), paste your meeting notes in Notes from the Client and press Draft with AI. It fills the empty fields and rooms.
  4. Press Send to Client. The client, and anyone on the project team in a client role, gets Please Decide with a link.
  5. On the page the client reads the brief, likes pictures and writes notes on them, then presses Approve or Ask for changes.
  6. Approved, the brief is Confirmed with the date. Changes asked, it goes back to Draft and the designer gets a to-do with the client's words. Confirm by Hand covers an agreement in person or by phone.

Everything it does

What the brief holds

  • Client, Project (or the enquiry, until the project is made), Designer
  • Styles Liked, Colours Liked, Colours Not Liked, Budget
  • Who Lives There: family and ages, elders, children, pets, guests, work from home
  • Needs and Habits: cooking, entertaining, prayer, study, hobbies, access
  • Must Keep, Storage, Appliances (with sizes if known)
  • Rooms: name, use, wishes, keep, photos
  • Pictures They Like

The client's decision

  • Statuses: Draft, With the Client, Confirmed, Old Version
  • The page shows every filled field and room, and the pictures; no login is needed
  • The client can like a picture and leave a note on it
  • Ask for changes needs a note; the client types their name
  • Client Decision tab: the decision, who decided, when, what they wrote and when it was asked
  • Confirm by Hand records you as the one who confirmed

Versions

  • New Version on a brief with the client or confirmed copies it as version 2, 3 ... in draft
  • The old one becomes Old Version and stays readable
  • The Current filter hides old versions
  • When the project is made, the enquiry's briefs move to it

Draft with AI (Scale)

  • One call to the SmartMy AI service (task interior_brief, fast tier) with your notes only, up to 12,000 characters
  • Fills only fields that are empty, and only from what the notes say; the rest stays empty
  • Adds rooms the notes mention, and fills empty parts of rooms that are already there
  • Saved straight on the draft brief, with a line in the history: check it before sending
  • Works on a draft brief only; needs AI switched on for you and counts against the plan's AI credits

On the dashboard

  • The Design dashboard counts briefs with the client
  • The client app lists a brief waiting for the client under Waiting for you

Who uses it

DesignerTakes the brief at the visit or meeting, sends it to the client and makes a new version when it changes.
Client and familyRead the brief on their page, note the pictures they like, and approve or ask for changes.

Where you use it

  • Web: Interiors > Design > Briefs and Concepts > Briefs, and the Brief button on an enquiry
  • The client's decision page: a web link sent by email and WhatsApp, no login
  • The SmartMy Interiors Client app: the brief under Waiting for you, opening the same page (built and in testing, not in the app stores yet)
  • Not in the staff app: briefs are written on the web

What you control

Settings

  • Who the client's people are: the project team's client roles (Client's Family, Client's Architect)
  • Draft with AI: there when the AI part is installed (Scale) and AI is on for the person

Notifications

  • Please Decide: to the client and the client's people on the team, with the link, by email and WhatsApp
  • Client Decided: to the designer when the client approves or asks for changes, in the app and as a phone notification
  • Both go out at once; the designer also gets a to-do when changes are asked

Questions

Does the client need a login?

No. The link in the message opens their page. They type their name when they approve or ask for changes, and that name is kept with the time.

Is the client's approval a signature?

It is a recorded approval with the name the client typed and the time, on a private link sent to them. A digital signature is not part of the brief.

Can the AI make things up?

It is told to use only what your notes say and to leave the rest empty, and it never overwrites what you typed. Read the brief before sending it.

What happens to the old brief when things change?

New Version makes a copy to edit. The earlier one stays as Old Version with its decision, so you can show what was agreed.

Which plan has it?

The brief with client confirmation is in every plan, from Starter. Draft with AI is in Scale.
