Project stages held by roles, with checks

Every home moves from Site Measurement to Handed Over through stages, each held by a role such as the designer or the site supervisor. A project leaves a stage only when its check passes, for example the measurement sheet approved or every cut list made. The client reads in their app what each stage means.

Why it matters

In an interiors job the costly mistakes happen between stages. Production starts before the client approved the design, or carpenters reach site before the marking was checked. Or the job is called handed over with snags still open. Studio tools keep a project status that anyone can change. In SmartMy Interiors each stage checks the real work before the job moves. It checks the approved measurement sheet, the approved 3D design, the signed drawings, the cut lists made, the work plan done and the handover signed. A due payment can hold the job too. The only way past a failed check is an approval with a reason, kept in the stage history.

The problem it solves

  • The factory starts cutting before the client signed off the design, and the changes come later at your cost.
  • Nobody can say which jobs are stuck at measurement or production, or who is holding them.
  • A job is called finished with snags open and the handover not signed.
  • When a stage is skipped to meet a date, there is no record of who allowed it.

How it works

  1. Eight stages come ready: Site Measurement, Design Closure, Production Design, Pre-production, Production, Onsite Works, Closure and Handed Over. Each has a role that holds it and a target in days.
  2. When a project enters a stage, the holder is picked from the team or by your assignment rules, and told it is theirs.
  3. When the work is done, press Next Stage. The stage's check runs, the roles the next stage needs are filled, and any due payment that stops the job is looked at.
  4. If something is missing, the project stays and the message names it. For example "Not measured yet: Kitchen, Master Bedroom" or "Not made yet" with the cut list.
  5. A manager can press Ask to Move On and write why. The request goes through your Stage Override approval chain; once approved, the project moves and the history says so.
  6. Entering a stage posts "Now: <stage>" on the project feed for your team and the client. The Client app shows the stage with your description of it.

Everything it does

The starter stages and their checks

  • Site Measurement (held by Site Measurement, 7 days): an approved measurement sheet covers every room of the project
  • Design Closure (Designer, 21 days): a 3D design version approved or locked, or every room with an approved concept round
  • Production Design (Designer, 10 days): every drawing of the project approved by the client
  • Pre-production (Project Manager, 7 days): the Site Marking key event done and its follow-ups ticked
  • Production (Factory / Production, 25 days): every cut list of the project made, by your factory or a vendor
  • Onsite Works (Site Supervisor, 30 days): every activity of the work plan done
  • Closure (Project Manager, 7 days): no open snag and the handover signed off by the client
  • Handed Over (Client Relationship): the last stage

Other checks

  • Every needed role has a person
  • Its key events are done (or cancelled)
  • A check runs only when the feature that knows it is installed; until then it does not stop the job
  • Payments marked Stops Moving On: once due and not received, Next Stage names the payment

A stage

  • Name, order, Held By (Role), roles it needs, its checks, Target Days, Can Be Passed by Approval (on to start with), Last Stage
  • A description the client reads in the Client app, such as "Your furniture is being made in the factory"
  • The feed message and who is told (our team and the client to start with)
  • Stages for every entity or for one; rename, add, reorder or archive them

Holders and assignment

  • Roles are data: Sales Person, Designer, 3D Designer, Project Manager, Site Supervisor, QC, Factory / Production, Client Relationship and more
  • Assignment rules by role, stage, city and project value range
  • How to choose: Take Turns or Fewest Open Projects; the first rule that fits is used

Late, history and overrides

  • A project past its target days is marked late (checked every hour); the holder and the project manager are told once
  • Filters Late in Stage and Stage on the project list
  • Stage History: in, out, days held, holder, target, late, moved by, passed by approval
  • Where Jobs Wait (managers): projects by stage and holder
  • Stage Overrides: draft, waiting for approval, approved or rejected, with what was not met and why

Where you use it

  • Web: the project (Next Stage, Ask to Move On, Stage History), Interiors > Projects > Projects > Projects > Where Jobs Wait and Stage Overrides
  • Configuration: Interiors > Projects > Configuration > Projects > Stages, Stage Checks, Assignment Rules
  • The SmartMy Interiors app: each project's stage, who holds it, since when and whether it is late
  • The SmartMy Interiors Client app: the stage and its description
  • The apps are built and in testing, not in the app stores yet
  • Not in the apps: moving a stage is done on the web

What you control

  • Can Be Passed by Approval per stage: on to start with
  • The client's description of each stage and the feed message
  • Assignment rules: Take Turns or Fewest Open Projects
  • The Stage Override approval chain: an Interiors Manager to start with

Approvals

  • Stage Override: a project manager (Interiors Manager) approves to start with; add levels to the chain if you want

Notifications

  • Project Stage Is Yours: to the person who holds the new stage, in the app and by email
  • Project Late in a Stage: to the holder and the project manager, in the app and by email
  • Project Update: the stage post on the feed, to the client by email, WhatsApp and in the app, with their link
  • Sent at once, at any hour: these are work messages, so quiet hours do not hold them back

Questions

Can we use our own stages?

Yes. Rename, add, reorder or archive stages, change the holder role and the target days, and choose which checks each stage carries.

What if we do not use the 3D designer or cut lists?

A check runs only when its feature is installed. Without cut lists the Production check does not stop the job. You can also take a check off a stage.

Can a site supervisor skip a check to meet a date?

No. Only a manager can ask to move on, and the request goes through the Stage Override approval. You can also make a stage strict so it cannot be passed at all.

Does the client see our internal stages?

The client sees the stage name and the description you write for it, not the checks or who holds it.

Which plan has it?

Every plan, Starter included.
