Inspection and test plans with hold points
Set the inspection and test plan for each kind of work, with hold points, witness points, document reviews and your own checks. Inspection requests go by email to the client's engineer, the consultant or a third-party inspector. They record the result on a link, without a login. A later step at a place cannot be asked for while an earlier hold point there is not approved.

Why it matters
On a building job, the client's engineer must see the reinforcement before the slab is poured. If the pour goes ahead without that sign-off, the slab can be rejected and the bill held for months. Most site tools keep checklists; the hold point lives in a register in the consultant's office, and the request goes by phone. Nothing stops the next step. In SmartMy Construction the plan for the work sets which steps are hold points. The system will not send a request for a later step at that place until the hold point is approved. The inspector gives the result from the email link, without an account. With the quality gate on, a measurement at that place cannot be certified for billing while its hold point waits or is rejected.
The problem it solves
- Concrete is poured before the consultant has seen the steel, and the slab is questioned at the next running bill.
- Inspection requests go by phone, and nobody can show when the engineer was asked or what they said.
- The third-party inspector has no login, so their result reaches you as a photo of a signed paper.
- The subcontractor's bill for a floor is certified while the hold point on that floor is still rejected.
How it works
- An administrator sets the plan for each kind of work under Construction > Site > Configuration > Inspection and Test Plans. Give the steps in order and who checks (Our Quality Team, Client / Consultant, Third Party). Add the kind (Hold Point, Witness Point, Document Review, Our Check) and the acceptance criteria. A plan for a reinforced concrete slab comes ready.
- A step falls due at a place, say the 4th floor slab of Tower B. The site engineer opens Site > Quality > Inspection Requests > New. Give the project, place, plan step, the inspector and when.
- Press Send. If an earlier hold point of the plan at that place has no approved request, the request is refused and names the step. Otherwise it is marked Requested and the inspector gets an email.
- The inspector opens Record the result in the email, writes their name, picks Approved, Approved with Comments or Rejected, and adds comments. No login is needed; the request shows it was decided on the link.
- Or a Construction Manager records Approved, Approved with Comments or Rejected on the request, for example after a site visit with the consultant.
- A rejected request gets Ask Again, which makes a new draft linked to the first. Quality Gate on Billing can be switched on for the project. Then a measurement at that place is certified only once its hold points are no longer waiting or rejected.
Everything it does
Inspection and test plans
- Name, kind of work, steps in order; for one entity or every entity; archive what you no longer use
- Per step: name, Checked By (Our Quality Team, Client / Consultant, Third Party), Kind (Hold Point, Witness Point, Document Review, Our Check). Acceptance (for example 'As per drawing, IS 456 cl. 26')
- Ready to use, Reinforced concrete slab: shuttering and staging (our check), reinforcement before pour (client hold point), concrete pour (client witness point). Then cube results at 7 and 28 days (third-party document review), de-shuttering and surface (our check)
Inspection requests
- Numbered; project, place, plan step, Inspect At (date and time), Inspected By, Asked By, notes
- Status: Draft, Requested, Approved, Approved with Comments, Rejected
- A sent request is not changed; Ask Again makes a new one
- Approved with Comments and Rejected need the comments
- Decided By (name), Decided At, Decided on the Link
- Filters: Waiting for the Result, Rejected, Hold Points; group by project, place, status
Hold points
- Send checks every hold point that comes earlier in the plan at the same place
- Each must have a request Approved or Approved with Comments, or the new request is refused with the steps named
- Witness points, reviews and our own checks do not hold later steps
The inspector's page
- A private link in the email: plan, step, place, project, time and acceptance criteria
- The inspector writes their name, chooses the result and adds comments; no account or password
- The link works once: a decided request cannot be decided again
- The page is not indexed by search engines
Quality gate on billing
- Quality Gate on Billing per project, off to start with
- When on, Certify on a measurement is refused while a hold-point request at any of its places is Requested or Rejected. The message names them
- A hold point with no request at all does not stop certifying; send the request first
Who uses it

Questions
Does the consultant need a SmartMy login?
No. The email has a private link. They write their name, choose the result and add comments, and the request shows it was decided on the link. What stops the site pouring before the hold point is approved?
The system refuses to send the request for any later step at that place, so the pour cannot be asked for. It does not stop people on site; it makes the gap visible and, with the quality gate, holds the billing. Can we bill a floor whose hold point was rejected?
Not with Quality Gate on Billing on. Certifying a measurement at that place is refused until the hold point is asked again and approved. Can we use our own ITPs from the contract?
Yes. Add a plan per kind of work with its steps, who checks each one, the kind and the acceptance criteria. The slab plan that comes ready can be changed or archived. Can the inspector change a result after giving it?
No. Once decided, the link shows the result and cannot be used again. If the work is redone, press Ask Again for a new request.Related features
PLANT, SCHEDULE, QUALITY, SAFETYChecklists, inspections and snagsInspect work at its place with your own checklists: pass or fail, measurements against tolerances, photos and the engineer's signature. Failed points become snags with a photo before and after, fixed by the crew or subcontractor and closed by your engineer. Material received at a site store gets its own receipt check.PLANT, SCHEDULE, QUALITY, SAFETYLab tests, non-conformances and the quality gate on billingTrack every sample from the pour to the lab result: cubes at 7 and 28 days, steel, soil, brick and water. Each is due on its date and passed or failed against its limits. A failed test raises a non-conformance by itself; a closed one charged to a subcontractor comes off their next running bill. With the quality gate on, work is certified for billing only when its hold points have passed.MONEYMeasurement book, retention and advancesSite staff measure each item's work by place, as Nos. x length x breadth x depth with photos; a manager certifies it, and only certified quantities reach the running bill. Retention is kept from every bill and released in one step, and the mobilisation advance is recovered bill by bill.MONEYWork orders and subcontractor billsA work order to each subcontractor with items, rates and terms, approved before work starts. Running bills come from certified measurements. They take off retention, advance, back-charges and TDS, and become the vendor bill.PROJECTS AND SET-UPKey events: slab casting, handoverBhoomi pooja, foundation pour, slab casting, topping out and handover run as key events.
