Study centres and exam centres

Keep the study and exam centres your distance programmes use, attach each student to a study centre, and allot exam centres for each exam. The hall ticket prints the exam centre, its address and the university registration number. Programmes whose exams the university runs take its marks; that part is partly built.
PLANSScale only
Built, not yet installed and tested: checked in code only, and its tests are written and not yet run. We try it with you before go-live. University-run exams are partly built: the question bank, invigilation and valuation screens are not hidden for them.

The problem it solves

  • The list of which student studies at which centre lives in a spreadsheet at the distance-education office.
  • Exam centres are allotted by hand, and one centre gets more candidates than it has seats.
  • Hall tickets go out without the centre's address or the university registration number.
  • For affiliated programmes the university's marks are typed into a separate sheet, and the grade card never matches.

How it works

  1. Add centres under Campus > Master Configuration > Course > Modes of Study > Study and Exam Centres. Each is a study centre, an exam centre or both, your own campus or an outside place, with address, co-ordinator and seats.
  2. On each programme list its Centres and, on the Mode of Study tab, Exams Run By. That is this college or the university, with the Awarding University and University Programme Code.
  3. Give each student a Study Centre and their University Registration No. on the student form. An applicant's Preferred Study Centre on the admission record becomes the student's centre.
  4. On a scheduled exam, set the Default Exam Centre and press Allot Exam Centres. Each student goes to their study centre when it holds exams, else the chosen centre, or everyone to one centre.
  5. Check the Exam Centres tab and change single students. A centre given more students than seats gets a note on the exam.
  6. Print hall tickets: they carry the exam centre with its address and the university registration number. For university-run exams, enter or import the marks it sends; results and grade cards follow as usual.

Everything it does

Centres

  • Kind: Study centre, Exam centre, or Study and exam centre (default)
  • Our Own Campus, or an outside place with street, city, state, PIN, country, phone and email
  • Co-ordinator: a user, who can then mark contact attendance, or a name and phone for someone without a login
  • Seats (0: no limit) and Rooms in words
  • Students button lists the students attached; a warning shows when more are attached than seats

Students

  • Study Centre and University Registration No. on the student form
  • Group the student list by Mode of Study or Study Centre
  • Preferred Study Centre on the admission record, from the programme's centres, carried to the student

Exam centres

  • Default Exam Centre on the exam, for students without one of their own
  • Allot Exam Centres once the exam is scheduled: by study centre, or everyone to one centre. Only students without a centre (on to start with) or everyone
  • A note on the exam names any centre with more students than seats; allotment is not stopped
  • Exam Centres tab with register number, university registration number, student and centre; a Without Centre count

Hall tickets

  • University Reg. No. and Exam Centre with its address printed on the hall ticket
  • Held for a student short of contact-class attendance when the rule set blocks hall tickets, until condoned
  • The Campus app shows the student's study centre and exam centre

Exams the university runs

  • Exams Run By on the programme: This college (default) or The university
  • Such an exam shows that the university runs it, with the university's name, and a filter Run by the University
  • Enter the papers and dates from the university's schedule, then enter or import its marks; SGPA / CGPA, results and grade cards work as usual

Not built yet

  • For university-run exams, the question bank, invigilation and valuation screens are not hidden; ignore them
  • The study centre is asked only on the admission record in the back office: not on the online application or the staff app's admissions desk
  • Awarding University and University Programme Code are kept on the programme but not yet printed on hall tickets or mark sheets
  • No message to the student when an exam centre is allotted; the hall ticket carries the centre

Import

  • Sheet Study and Exam Centres; Students take Study Centre Code and University Registration No.; Courses take Centre Codes

Questions

Is this ready to use today?

Not yet. It is built and checked in code, but not yet installed on a test system, and its tests are not yet run. We install and test it with you before go-live.

Does the system stop allotting when a centre is full?

No. It allots and writes a note on the exam naming each centre over its seats. Move students on the Exam Centres tab.

What does the hall ticket show?

The exam centre's name and address and the student's university registration number, along with the usual details.

Our affiliated programmes' exams are run by the university. Can we still publish results?

Yes, partly built. Set Exams Run By to The university, enter the papers and dates, and enter or import its marks. Results, SGPA / CGPA and grade cards then work as usual. The exam cell's other screens are not hidden for such exams.

Can applicants choose a study centre online?

Not yet. The preferred study centre is recorded on the admission record in the back office, and carried to the student.
