Placement season, drives and offers
Write the season's placement policy once, and every drive applies it. Students see the drives they may register for, and the exact reason for the others. The company gets its candidates by a link, rounds run with scanned attendance, and offers follow your one-student-one-job rules.
PLANSEvery plan
Why it matters
A placement cell spends most of a drive checking lists: marks, backlogs, fee dues, disciplinary cases and who already holds an offer. SmartMy College reads all of these from the college's own records and applies your season's policy to every drive. Each student sees the drives they can register for and the exact reason for the others. The company works from one link with the verified profiles, and every opening of that link is logged. On the day, attendance is scanned, the queue shows on a screen and results reach students the moment the cell publishes them.
The problem it solves
- The cell checks CGPA, backlogs, fee dues and discipline for 600 students by hand for every drive, and a mistake reaches the company.
- A student who already accepted a Dream offer sits for a mass recruiter and blocks a seat for a classmate.
- Resumes go to the company as email attachments, and nobody knows who saw which student's details.
- On the drive day, attendance is on paper, the waiting hall does not know who is called, and results come by phone.
How it works
- The placement officer creates the season of the academic year. Its policy holds who may register, eligibility, offer rules, tiers, consent and the no-show penalty. Then Open the Season.
- A drive is made from the company's approved job notification form, or by hand, with its roles, eligibility, rounds and the company's panel. Open to Students tells every eligible student.
- Students register on the portal or in the Campus app. Those not eligible see every reason, such as CGPA 6.8, needed 7.0. The cell can add an exception with its reason.
- Freeze the List and Share sends the company a link to its page: the candidates, verified profiles and resumes, as Excel and a zip. No login is needed.
- Each round runs from the drive: attendance scanned in the Campus app, interview slots, a queue and results. Publish the Results tells each student at once.
- Selected students get a draft offer. The cell releases it, and the student accepts or declines within the days the policy gives.
Everything it does
The season and its policy
- One season per college and academic year; only the officer opens, closes and opens it again
- Who may register: programmes, final year batches (jobs) and pre-final year batches (internships)
- Eligibility: Minimum CGPA, Minimum Percentage, Most Active Backlogs (-1 for no limit), No History of Arrears, 10th and 12th marks, Minimum Attendance
- No Disciplinary Action and Fee Dues Cleared: kept out of every drive when ticked
- One Student, One Job (on); a placed student may sit only for a drive 1 tier higher; Days to Accept an Offer: 3
- Tiers by yearly CTC, to start with: Mass (below 4 lakh), Core (4 to 7), Dream (7 to 12), Super dream (12 and above)
- Drives Debarred after a No-Show: 1; Hide Contact Details until Shortlisted: on
- Every change of the policy is kept with who made it
Who is eligible, and why not
- A drive can be stricter than the season; the stricter rule counts
- Marks, CGPA, backlogs and attendance come from the published results
- Fee dues: a due past its date and not fully paid; discipline: an action of a decided or closed case
- Also out: a student who opted out, holds an offer and the drive is not enough tiers higher, or is debarred after a no-show
- Every reason is shown to the student in plain words; a verified profile and consent are needed to register
- Add an Exception keeps the reason, who made it and why the student was out
Drives, rounds and offers
- Types: On campus, Virtual, Pool campus (sister colleges of your account) and Walk-in / open (public registration with a token)
- Rounds: talk, aptitude, technical test, group discussion, technical and HR interview; on campus or online
- The company's link stays open 30 days after the drive; students without consent or a verified profile are left off its list
- Results: Select, Hold or Reject, or an Excel upload; results the company saves wait for the cell to publish
- A display screen for the waiting hall shows who is called and the shortlist, refreshed every 20 seconds
- No-shows are debarred from the next drives the policy says; the cell can pardon with a reason
- Offers: Answer By from the policy, a reminder the day before; on acceptance, other offers and registrations close
- Joined starts a six-month check; Pre-Placement Offer turns an accepted internship into a full-time offer
Rooms, gate passes and notices
- With SmartMy Facility, a round's room is booked for the round (two hours when no end is given); a clash stops the save
- With SmartMy VMS, each panel member with a phone number gets a visitor pass for the drive's days, from half an hour before
- Passes are withdrawn and rooms released when the drive is finished or cancelled
- Placement notices go to every student of the season or those eligible for a drive, with parents if ticked

Questions
Can a student who already has an offer sit for another drive?
That is your policy. With One Student, One Job and May sit for a higher tier, a placed student can register only for drives at least one tier higher. Set A Placed Student to Out of the process to stop them altogether. How are students with fee dues kept out?
Tick Fee Dues Cleared on the season. A student with a fee due past its date and not fully paid is not eligible, and sees Fee dues are not cleared. Once paid, the student can register.Does the company need a login?
No. The company gets a link to its own page with the candidates and resumes. It can mark round results and upload offers there. The link closes 30 days after the drive to start with. What happens when a student does not turn up?
The student is recorded as a no-show and, with the default policy, debarred from the next drive. The cell can pardon the penalty with a reason. Can students of our sister college attend our drive?
Yes. Make it a pool campus drive and choose the guest colleges of your account. Their students register on their own portal and app, with a verified profile and consent from their own college.Related features
PLACEMENTStudent placement profiles, verified and approvedEach student keeps a placement profile with skills, projects and resumes on the portal or in the Campus app. Marks, CGPA and backlogs come from the published results and cannot be typed. The placement cell or the department's coordinator verifies the profile, and more approvers can follow. Nothing is shared with a company until the student gives consent.PLACEMENTCompanies, job notification forms and trainingKeep the companies that recruit from your college, with their contacts, sector, ratings and agreements. Invite a company by a link: it fills in its job notification form on a web page, and approving the form makes the drive. Record training sessions, mock tests and mock interviews with attendance and scores.PLACEMENTPlacement reports for NAAC, NBA and NIRFSee the season in numbers, the students not placed and why, and each company and drive. The placement tables NAAC, NBA and NIRF ask for are built from the drives and offers you recorded. Download them in Excel or PDF, and publish the season's totals on a public page with no student named.MORE IN THE PRODUCTAlumni records and eventsGraduates stay on record as alumni, with their register number, batch, programme, department and college. Keep them in alumni groups by batch, see where each group was first placed, and plan reunions and other events for a group.FEESDeposits, refunds, late fees and services held for duesHold caution deposits and give them back when a student leaves, with unpaid fees cleared first. Late fees are added each night by your slabs. Hall tickets, the transfer certificate and library borrowing can wait while fees are overdue.ACTIVITIES, DISCIPLINE, GROUPDiscipline: incidents, hearings and appealsRecord an incident and open a case for each student responsible. A committee hears it, decides with actions proposed by your action ladder, and the student can appeal online.
