Companies, job notification forms and training
Keep the companies that recruit from your college, with their contacts, sector, ratings and agreements. Invite a company by a link: it fills in its job notification form on a web page, and approving the form makes the drive. Record training sessions, mock tests and mock interviews with attendance and scores.
PLANSFrom Growth
The problem it solves
- Companies send their job details in emails and PDFs in different formats, and the cell retypes them for every drive.
- A form asks for boys only or a certain community, and nobody catches it before it reaches students.
- The cell cannot say which companies came last year, what they paid or whether they want to come again.
- Training and mock test scores sit in a trainer's sheet, so the cell cannot see who needs help before the season.
How it works
- Add the company under Placement > Companies > Companies, with its contacts, sector and the cell's rating.
- Under Invitations and Job Notifications, choose the season, the company and its contact, then Send the Invitation. The contact gets an email with a link that works for 30 days.
- On a web page without a login, the company fills in its roles and pay and who may apply. It adds the rounds and its needs on the day. The form becomes Received and the cell is told.
- The cell clicks Approve and Make the Drive, Give Back to the Company, or Do Not Accept with a reason. A draft drive is made with the form's roles, rounds and criteria.
- Before and during the season, record training sessions, mock tests and mock interviews with who attended and their scores.
Everything it does
Companies
- Contacts, each marked HR, Hiring manager or Other; messages go to the form's contact, else HR, else the company
- Sector and the Placement Cell's Rating from 1 - Poor to 5 - Excellent
- Drives, the students' rating, Students Hired, Highest Package and Roles Hired
- Blacklist with a reason (officers): no invitations and no drives opened until removed
The job notification form
- Roles: title, Full-time, Internship or Internship + PPO, location, vacancies, yearly CTC with its parts, stipend, service agreement
- Who may apply, the selection rounds, on campus or online, preferred and alternate dates, rooms, computers and panel size
- Questions students must answer when they register
- A full-time role needs the yearly CTC; an internship needs the stipend
- Criteria based on gender, caste, religion, community, marital status, age, disability or origin are refused, naming the words to remove
- Status: Draft, Invited, Received, Approved, Not Accepted or Cancelled
- Approve as Filled Here for details sent by email; New Link (the old one stops); Switch Off the Link
Agreements, feedback and the link log
- Agreements: company, name, Signed On, Valid From, Valid Until and the scanned documents; shown on the company; no approval steps
- Feedback from a company after its drive: a rating from 1 to 5, comments and Would Come Again
- Feedback from a student once their rounds are over; the average shows on the company as the students' rating
- Company Link Log (officers): every use of the links given to outsiders, with when, what was done, how many students and whether it was allowed
Training and mock tests
- Type: Mock test, Training session or Mock interview
- When, Trainer and Maximum Score
- Students tab: Attended (on to start with) and Score per student
- The not-placed report flags students who missed training or have a low mock test average
- Recorded by the cell; tests are taken outside SmartMy and their scores entered here
- Students do not see training sessions on the portal or in the app
Who uses it
Placement officerBlacklists a company, sets up the form's approval chain and reads the link log.
Placement cell memberKeeps companies, sends invitations, reviews forms, keeps agreements and records training.
Company HRFills in the job notification form from the link and gives feedback after the drive.
Where you use it
- Web: Placement > Companies (Companies, Invitations and Job Notifications, Agreements, Feedback)
- Web: Placement > Students > Training and Mock Tests
- Web: Placement > Configuration (Sectors, Approval Chains, Company Link Log)
- Not in the Campus app: companies, forms and training are on the web
What you control
Settings
- Link Valid Until: 30 days from sending, renewed with New Link
- Sectors: your own list
- Approval chain for job notification forms: the cell's approval is enough until you add levels
Approvals
- Job notification form: the placement cell members to start with. With added levels, Approve and Make the Drive sends the form up the chain, and the drive is made after the last level. A refusal with its reason makes the form Not Accepted
Notifications
- Placement Invitation to a Company: to the company's contact with the link, by email
- Job Notification Received: to the placement cell, by app notification, email and in the app
- Job Notification Approved: to the company, by email
- Request Waits for Your Approval: to the approvers of a level of the form's chain
- Sent at once; a person can switch off a channel, not the event
Works with
SmartMy HRMSA company on SmartMy HRMS works the drive from inside its HRMS with the same link, and sends results and offers back.
Questions
Does the company need to create an account?
No. It opens the link in the invitation and fills in the form on a web page. The link works for 30 days, and the cell can send a new one. What if the company sends its details by email instead?
Fill in the form's Roles, Eligibility and Process and Logistics tabs yourself and click Approve as Filled Here. The drive is made the same way.Can the principal approve new companies?
Yes. Add a level with the principal to the job notification form's chain under Placement > Configuration > Approval Chains. The drive is made only after the last level approves. Can students take mock tests online here?
No. Mock tests are run outside SmartMy. The cell records who attended and the score, and the not-placed report uses them. Can we stop a company from coming back?
Yes. An officer types the reason and blacklists it. It cannot be invited and its drives cannot be opened to students until it is removed from the blacklist.Related features
PLACEMENTPlacement season, drives and offersWrite the season's placement policy once, and every drive applies it. Students see the drives they may register for, and the exact reason for the others. The company gets its candidates by a link, rounds run with scanned attendance, and offers follow your one-student-one-job rules.PLACEMENTPlacement reports for NAAC, NBA and NIRFSee the season in numbers, the students not placed and why, and each company and drive. The placement tables NAAC, NBA and NIRF ask for are built from the drives and offers you recorded. Download them in Excel or PDF, and publish the season's totals on a public page with no student named.PLACEMENTStudent placement profiles, verified and approvedEach student keeps a placement profile with skills, projects and resumes on the portal or in the Campus app. Marks, CGPA and backlogs come from the published results and cannot be typed. The placement cell or the department's coordinator verifies the profile, and more approvers can follow. Nothing is shared with a company until the student gives consent.ACROSS SMARTMY COLLEGEApproval chainsLeave, assignments, circulars, elective registrations, credit transfers, certificates, revaluations, fees, placement profiles and job notification forms go to the right people in the right order. You set the chains up without code. Every decision is kept with who made it, when and why.ACROSS SMARTMY COLLEGENotificationsSmartMy College tells students, parents, faculty and recruiters when something needs them: an elective window, a fee due, a result, a drive or an offer. Every message also lands in one inbox in the Campus app and on the portal. Each person chooses their channels and their informational messages.
