Assignments, projects and study material

Faculty give assignments, projects and study material to a section or an elective group from the web or the Campus app. Students hand the work in online, faculty mark it and return it, and late or missing work is flagged by itself.
PLANSEvery plan

The problem it solves

  • Assignments go out on class WhatsApp groups and by email, and a student who missed the message misses the deadline.
  • Printed submissions pile up in the staff room, and nobody can tell which student never handed anything in.
  • Marks for assignments sit in each faculty member's own sheet, and the internal assessment is added up by hand at the end of the semester.
  • The head of department cannot see how much work each subject gives, or how much of it comes back.

How it works

  1. The faculty member writes the work: title, type, term and subject, instructions, files, the due date and time, and maximum marks if graded.
  2. For a section, they choose the class sections. For an elective or any group of enrolled students, they choose the subject group, and only the students enrolled in it get the work.
  3. They press Publish. If your college wants a check first, the work waits for an Academic Coordinator, such as the head of department. They approve it or return it with a reason.
  4. Once published, every student it is for gets the work and is told. A reminder goes out 24 hours before it is due.
  5. The student hands the work in on the portal or in the app: an answer, photos or files.
  6. The faculty member opens Submissions to Evaluate, types marks and feedback, returns work to redo or excuses a student. When the due time passes and late work is not accepted, or when the work is closed, anything not handed in is marked Not Submitted.

Everything it does

Giving the work

  • Work types: Homework, Classwork, Assignment, Project and Study Material
  • For: class sections, or a subject group (the students enrolled in that group, for electives); the same work can go to several sections at once
  • Instructions with files attached; Assigned On and Due (date and time); the due date cannot be before the assigned date
  • Submission Required: on to start with; off for study material and notes to read
  • Submission: Online (upload or text) or Offline (in class or on paper)
  • Accept Late Submissions: on to start with
  • Max Marks: 0 means not graded, feedback only
  • Statuses: Draft, Waiting for Approval, Published, Closed and Cancelled; the reference number is given by the system

Approval before it goes out

  • Through the approval chain Homework: Approved at Once to start with, so work goes out when the faculty member publishes
  • Add levels and the work waits as Waiting for Approval; students see nothing yet
  • Academic Coordinators get a to-do; they approve, or return the work with a reason shown at the top of the form
  • A coordinator's own work goes out at once; the faculty member can take waiting work back to draft

Handing in

  • On the portal and in the Campus app: an answer and files, each up to 20 MB. In the app also Take photo and Choose photos
  • Late work is marked Late; the attempt number counts each hand-in
  • Work returned to redo can be handed in again; new files replace the earlier ones
  • Offline work is marked from the paper copy on the work's Submissions tab

Marking

  • Submissions to Evaluate opens with My Classes and To Evaluate; marks and feedback are typed in the list
  • Marks must be between 0 and Max Marks
  • Mark Evaluated, Return for Resubmission (feedback needed) and Excuse
  • Submission statuses: Pending, Submitted, Returned for Resubmission, Evaluated, Not Submitted and Excused
  • Each piece of work shows Students, Submitted, Evaluated, Missing, Completion (%) and Average Score (%)

Late and missing

  • Every hour, work past its due time that does not accept late hand-ins marks its pending students Not Submitted
  • Closing the work marks everyone who did not hand in as Not Submitted
  • Cancel only while no student has handed in; close it instead after that

From the phone

  • The Campus app, faculty view, Homework: class or subject group, Also give to other sections, kind, title, instructions and due time. Also maximum marks, Handed in on paper, files from the camera, photos or files
  • Give it now, Save draft, or Send for approval where your chain asks for it
  • Per student: Evaluate (marks and feedback), Return to redo or Excuse; close the work when done
  • Coordinators approve or return work from the phone too

Reports and internal marks

  • Homework dashboard: published work, work to evaluate, missing and late hand-ins, work by subject, hand-ins by status
  • Homework Analysis (coordinators): published and closed work by institution, subject, faculty member and type
  • Internal marks: an exam can take a share of its internal mark from graded work of the same subject and term. This is Assignments Share of Internal (%), for example 30 %

Who uses it

FacultyGive work to their sections and elective groups, mark it, return it to redo, excuse and close, on the web or in the app.
Head of department or Academic CoordinatorSees all the work, approves or returns it where the chain asks, and reads the Homework Analysis.
StudentReads the work, downloads the study material and hands work in on the portal or in the app.
ParentSees what is due and the marks, without handing in, when your college keeps parents to view only.
AdministratorSets the Homework approval chain and whether coordinators may give work to whole classes from the app.

Where you use it

  • Web: Homework > Homework & Assignments, Submissions to Evaluate and Reporting > Homework Analysis
  • The Campus app, faculty view: Homework, to give, mark, approve and close work (built and in testing, not in the app stores yet)
  • The Campus app for students: Learning > Homework, and what is due on Home
  • Student portal: Homework

What you control

Settings

  • Homework approval chain: Approved at Once to start with; add levels of Academic Coordinators
  • Coordinators Give Homework to Whole Classes (in the app): off to start with; on the web coordinators can always do it
  • Per piece of work: Submission Required on, Online, Accept Late Submissions on, Max Marks 0
  • Parent Access: View only for colleges to start with, so students hand in their own work

Approvals

  • Homework: one chain per college; Approved at Once to start with, with levels of Academic Coordinators when you add them

Notifications

  • New Homework / Material: to the student and parents; informational
  • Homework Due Soon: once, 24 hours before the due time, for online work not yet handed in or returned to redo; informational
  • Homework Evaluated: to the student and parents; informational
  • Homework Returned for Redo: to the student and parents; sent at once
  • Each goes in the app inbox and on the first channel that reaches the person: phone notification, WhatsApp, SMS, then email
  • Request to Approve (level): to the coordinators of the level, as a phone notification, by email and in the app, with a to-do
  • A student can switch off the informational messages and any channel for themselves; the in-app inbox always gets them

Questions

Can an assignment go only to the students of one elective?

Yes. Choose the subject group instead of class sections. Only the students enrolled in that group get the work.

Can the head of department check assignments before students see them?

Yes. Add a level to the Homework approval chain and give the head of department the Academic Coordinator role. Work then waits until it is approved, and returned work goes back with the reason.

Can assignment marks count towards the internal assessment?

Yes, where you run internal assessments in SmartMy College. Set the Assignments Share of Internal (%) on the exam, and graded work of that subject and term makes up that share.

When is work marked as not submitted?

When the due time has passed and late hand-ins are not accepted, checked every hour, or when the faculty member closes the work.

Is there a file size limit?

Each file a student hands in can be up to 20 MB, on the portal and in the app.
