Task board with checklists and reminders
Every project's to-dos as tasks with people, dates, priority, checklists and subtasks, on a board, list, calendar or pivot. My Tasks shows each person their own, and reminders go out before the deadline and each morning while late. Designer hours stay in designer time, not on timesheets.
PLANSEvery plan
The problem it solves
- Follow-ups like "send the laminate samples" live in the designer's notebook.
- A task is called done while half its steps are open.
- Nobody notices a deadline passed until the client asks.
- Each project starts from a blank list although the steps are the same every time.
How it works
- Open Interiors > Projects > Projects > Tasks > Tasks, or Open Tasks on a project. Add a task: name, project, people, priority, start and deadline, tags.
- Add a checklist (items marked Required) and subtasks for larger work, each with its own people and deadline.
- Move the task across the board: To Do, In Progress, In Review, Done, Cancelled. A task reaches Done only when its required items are ticked and its subtasks are closed.
- Each person works from My Tasks and the Task Calendar. They are told when a task is given to them, before its deadline and every morning while it is late.
- Save the usual steps as a task template, such as "Kitchen handover prep". Add them to a project in one go, with dates counted from its start.
- Mark a task Client Can See: when it is done, it is posted on the project feed for the client.
Everything it does
A task
- Name, project, parent task, assignees (one or more), priority (Low, Normal, High, Urgent), start, deadline, planned hours, tags, description
- A number such as T-00001; comments, files and full history
- Repeat: daily, weekly, monthly or yearly, every n, until a date; the next one is made when the current one is done
Stages
- Five shared ones: To Do, In Progress, In Review, Done, Cancelled
- A project can keep its own stages on its Task Board tab; empty means the shared ones
- Rename, reorder, add, fold or archive stages
Checklists and subtasks
- Checklist items with a person and Required (on for a new item); who ticked it and when
- Checklist Before Done and Subtasks Before Done: both on, in Settings > Tasks
Views and filters
- Board, list, calendar by deadline, pivot
- My Tasks, Not Given to Anyone, Open, Late, Due in 7 Days, High and Urgent, Client Can See
- Task Board tab on the project: tasks and late tasks; Open Tasks button
Templates
- Lines with Starts and Takes (days), Given To (Role), priority, tags, checklist and Client Can See
- Applied from the project, counting from its start or today; the role's person gets the task
Who sees what
- Each person sees tasks given to them and tasks of projects they are on
- Interiors Managers see every task; only managers delete tasks
Who uses it
DesignerWorks from My Tasks: samples to send, drawings to revise, client calls.
Project managerGives out tasks, applies templates and watches late tasks per project.
Site supervisorTicks checklists of site tasks on the web.
Interiors AdministratorSets task stages, tags and templates.
Where you use it
- Web: Interiors > Projects > Projects > Tasks > Tasks, My Tasks, Task Calendar; the project's Task Board tab
- Configuration: Interiors > Projects > Configuration > Tasks and Plans > Task Stages, Task Tags, Task Templates
- Not in the Interiors apps yet: tasks are on the web, which works in a phone's browser
- Not built: timesheets on tasks; designer hours are kept in designer time
What you control
Settings
- Checklist before done: on; Subtasks before done: on
- Days before the deadline for reminders: 1 to start with
- Task stages: the shared five, or a project's own
Notifications
- Task Given to You: to each person added, except whoever added them, in the app and by email
- Task Due or Late: before the deadline, on the day and each morning while late, in the app and by email
- Sent at once, at any hour: these are work messages, so quiet hours do not hold them back
Questions
Is this the same as the work plan?
No. The work plan holds site activities with dates, links and the critical path. The task board holds to-dos for the office and site team. Can designers log hours on a task?
No. Designer hours go into designer time per project, which can be billed when the fee is hourly.Does the client see our tasks?
No list of tasks is shown to the client. A task marked Client Can See is posted on their feed when it is done.Which plan has it?
Every plan, Starter included.Related features
PROJECTSProject stages held by roles, with checksEvery home moves from Site Measurement to Handed Over through stages, each held by a role such as the designer or the site supervisor. A project leaves a stage only when its check passes, for example the measurement sheet approved or every cut list made. The client reads in their app what each stage means.PROJECTSProject feed and key eventsOne feed per project where updates, the daily work log, payments and stage changes land, each marked with who may see it. Key events such as the design presentation, site marking, installation and handover carry their own readiness checks. They also carry invitations the client answers from a link, reminders and follow-ups.PROJECTSWork plan and subcontract work ordersPlan the site work from your template and the approved estimate, with dates, the critical path and a Gantt. Give carpentry, false ceiling or painting to subcontractors on work orders at their rates. Pay them only on measured work your manager certified, and charge back the snags they caused.PROJECTSDashboards: Sales, Design, ProjectsThree ready dashboards open first in Interiors. Sales and Design are for the whole team, and Projects is for managers. Every number counts only what the viewer may open, and a click shows the records behind it.ACROSS SMARTMY INTERIORSNotificationsSmartMy Interiors tells the right person when something needs them. That can be a quote or visit time for a client, a design to decide, a stage that is yours, a payment due.
