Notifications

SmartMy Interiors tells the right person when something needs them. That can be a quote or visit time for a client, a design to decide, a stage that is yours, a payment due. Each event has its own recipients and channels: in the app, by email, as a phone notification or on WhatsApp.
PLANSEvery plan

The problem it solves

  • A client asks for a site visit from their quote page, and the sales person hears about it two days later.
  • Clients are chased by phone to approve a drawing, and nobody knows when they were asked.
  • The next stage's holder does not know the job has reached them, so it sits.
  • When a client says they never got the message, nobody can check what was sent.

How it works

  1. Something happens: a quote is sent, a visit is booked, a design goes to the client, a milestone falls due.
  2. The event finds its recipients: the client and those who decide with them, the designer, the stage's holder, the next approvers.
  3. It goes by email and WhatsApp to clients, and as a phone notification, in the app and by email to your team. Each person gets it in their own language.
  4. Every message leaves a line in the Delivery Log, with the reason when it could not be sent, such as no mobile number.
  5. An administrator can switch an event off for everyone or for one entity, change its channels per entity, and change the wording.

  • Instant Quote Waiting (auto mode, with SmartMy Marketing): to the person on the chat or the Interiors managers; phone notification and in the app
  • Site Visit Booked: to the client when a visit is booked or moved, with the date, time, address and designer; by email and WhatsApp

Projects

  • Project Stage Is Yours: to the holder of the stage a project entered; phone notification, in the app and by email
  • Project Late in a Stage: to the holder and the project manager when a project passes the stage's target days. Phone notification, in the app and by email
  • Project Update: a feed post meant for the client or others outside, with a link to their view; by email, WhatsApp and in the app
  • Project Update Not Seen: one reminder for a post that asks the client to confirm they saw it; by email and WhatsApp
  • Project Payment Due: to the client and the client's people on the team when a milestone falls due; by email, WhatsApp and in the app

  • Event Checks and Follow-ups Due: every morning, to each person with checks or follow-ups due; phone notification and in the app

Tasks, approvals and money

  • Task Given to You and Task Due or Late (each morning, 1 day ahead to start with): to the people on the task. In the app and by email
  • Request Waits for Your Approval: to the next level's approvers, for every Interiors chain. A phone notification if they use an app, otherwise email; always in the app
  • Project Expense Decided (Growth): to the person who asked; in the app and by email
  • Project Budget Alert (Scale): to the project manager at the alert % (80 to start with) and again over 100 %. In the app and by email

Logins and support

  • Login Invitation: to someone given a login without an email address; by WhatsApp, or SMS if WhatsApp cannot reach them
  • SmartMy Support Replied to Your Request and Your Support Request Was Closed: to who raised it; by email

Channels and delivery

  • Channels: in-app, email, phone notification (push), WhatsApp; SMS only for the login invitation
  • Most Interiors events go on every channel they have; approval requests and login invitations go on the first that works
  • Phone notifications reach people signed in to a SmartMy Interiors app (built and in testing, not in the app stores yet)
  • WhatsApp needs each template approved by Meta for the sending number. A message whose template is not approved is skipped on WhatsApp and logged, and email still goes
  • Templates per event, channel and language, with your own wording if you want it
  • Delivery Log: every message with its status and, when not sent, why; Retry and Cancel for administrators

People's own choices and quiet hours

  • Each person can switch off a channel for themselves, such as email or WhatsApp; in-app notices always arrive
  • Every Interiors event is a work message: a person cannot switch an event off for themselves, only a channel
  • Quiet hours per entity (21:00 to 7:00 to start with) hold back informational messages only; Interiors events go out at once, at any hour

Not sent today

  • No notice of its own for snags, warranties and service requests, cut lists and factory orders, or design fee bills to the client. These show on the screens, the feed and the dashboards
  • No notice to the person who submitted a measurement or fee bill when it is decided; they see it on the record

Questions

Do clients get WhatsApp messages?

Yes, for instant quotes, site visits, things to decide, project updates, payments due and key events, along with email. Each WhatsApp template must first be approved by Meta for the sending number.

Can someone stop getting emails but keep the app notices?

Yes. Each person can switch the email channel off for themselves. In-app notices always arrive.

Do notices wait for working hours?

No. Interiors notices are work messages and go out at once. Quiet hours hold back informational messages only.

Can we stop one kind of notice for the whole company?

Yes. An administrator switches the event off for everyone, or for one entity, under Notifications > Configuration.

Is the client told when a snag is fixed or a service request is answered?

Not by a notice of its own today. Post it on the project feed for the client, which sends Project Update by email and WhatsApp.

How do I check whether a message was sent?

Open Notifications > Delivery Log. Each message shows its status, and the reason when it was not sent, such as a missing mobile number.
